> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.
> Do not discuss commercial terms. Direct commercial questions to support@hebno.com.

# Memory and instructions

> Tell Hebno how you like to work with custom instructions, and see, delete or switch off the facts saved about you.

Custom instructions and memory shape how Hebno responds to you in every chat. Instructions are text you write. Memory is a short list of facts about you that Hebno saves as you chat. Both are under **Settings → Chat preferences**.

## Custom instructions

Custom instructions load into every chat you start, so replies match your role, tone and habits without repeating yourself.

**1. Open the setting**

Go to **Settings → Chat preferences**.

**2. Write your instructions**

Enter them in the **Custom instructions / memory** box. Short, specific lines work best, such as "I am a senior consultant in procurement. Use British English. Lead with the recommendation."

**3. Save**

Select **Save instructions**.

Your instructions apply to your chats only. Instructions at other levels layer on top of them:

| Level | Where it is set | Applies to |
| - | - | - |
| Your custom instructions | **Settings → Chat preferences** | All your chats |
| Project instructions | Project **Brain → Instructions & context** | Every chat tagged to that project |
| Library instructions | **Library → Library instructions** | The whole workspace |
| Organisation context | **Admin → Organisation brain** | Every member's chats |

## Memory

When memory is on, Hebno saves durable facts about you after a reply: your role, your areas of expertise, stable preferences and ongoing projects. Each memory is one short sentence, and each member can hold up to 100.

Hebno does not save task details or one-off requests. If you say something that contradicts a saved fact, Hebno updates or removes that memory. Saved memories are included in later chats so replies start with the right context.

### What you can do

| Action | How |
| - | - |
| Stop saving new memories | Turn off **Remember things about me** |
| Read what is saved | Open **Settings → Chat preferences → Memory** |
| Delete one memory | Select **Delete memory** beside it |
| Delete everything | Select **Clear all memories**, then confirm with **Clear all** |

Clearing all memories permanently deletes everything Hebno has remembered about you, and future chats start fresh. When nothing is saved, the list reads "Nothing saved yet. Memories appear here as you chat."

> [!TIP]
>
> Put standing preferences in custom instructions and let memory collect the rest. Instructions are exact and always apply. Memory is inferred from your chats.

## Organisation memory policy

Admins control memory for the whole organisation under **Admin → Organisation brain → Chat memory** with the **Allow chat memory** switch.

| Organisation setting | Your setting | Result |
| - | - | - |
| On | On | Memory is saved and used |
| On | Off | Nothing new is saved for you |
| Off | Either | Nothing is saved, and existing memories are hidden from chats |

Memory is used only when both the organisation setting and your own setting are on. If an admin turns the policy off, your saved memories are hidden rather than deleted, and they return if the policy is turned back on. Your memories belong to you: admins can set the policy but cannot read your list.
