> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.
> Do not discuss commercial terms. Direct commercial questions to support@hebno.com.
> Start with /index and /get-started/quickstart.

# Members

> Invite people, set roles and teams, suspend or reactivate members, and let a company email domain join automatically.

The members page is where you add people to your organisation, decide what each can do, and remove access when someone leaves. Find it under **Admin → Members**. It has two tabs: **Members** and **Domain access**.

## Roles

| Role | What they can do |
| - | - |
| **Owner** | Everything an admin can do. Created with the organisation. The role cannot be changed or suspended, and cannot be granted by invitation. |
| **Admin** | Open every page under **Admin**, manage every project, manage organisation agents and add to the library. |
| **Member** | Chat, research, produce deliverables, manage their own connections, skills and agents. |

See [Roles and permissions](https://hebno.com/docs/concepts/roles-and-permissions.md) for the full comparison. You can assign **Admin** or **Member** to anyone except the owner, and you cannot change your own role.

## Invite members

**1. Open the invitation form**

Go to **Admin → Members** and select **Add member**.

**2. Enter email addresses**

Add one or more addresses in **Teammate emails**, separated by commas or spaces. You can invite up to 20 people at a time. Your own address is skipped.

**3. Choose a role**

Select **Admin** or **Member**. The role applies to everyone in this invitation.

**4. Choose teams**

Select at least one team, up to ten, with **Select teams**. Team membership sets which models and limits apply to the member.

**5. Send**

Select **Send invitation**. Each person receives an email with a link.

If your organisation's email delivery is not configured, the dialog shows the invitation links so you can copy and send them yourself.

### What the invitee sees

The invitee opens the link and signs in with Google, Microsoft, or email and password. They must sign in with the same email address the invitation was sent to. A different account shows **Wrong account**. They then select **Accept invitation** to join. Hebno attaches them to the teams you chose and notifies admins that the invitation was accepted.

### Pending invitations

Invitations appear in the members list with a **Pending** badge and expire after 7 days. For a pending invitation you can:

* **Resend** it, which sends a fresh link and restarts the 7 days.
* **Cancel** it, which makes the link stop working.

An expired link shows **Invitation expired** and the person needs a new one. Resend from the members list.

## Edit a member

Select a member, then **Edit member** to change the name, role or teams. Team membership controls which models and spend limits apply to them, so changing it takes effect on their next chat.

## Suspend and reactivate

Select **Suspend member** when someone leaves or should lose access. The member loses access to the organisation immediately. Their account, chats and history are kept.

To restore access, select **Reactivate member** from the members list. You cannot suspend yourself or the owner.

> [!NOTE]
>
> Suspending a member does not delete their connections in other systems. Revoke those from [Connectors](https://hebno.com/docs/admin/connectors.md) if the person's connected accounts should stop working in Hebno too.

## Domain access

Domain access lets anyone with a verified company email address join your organisation without an invitation. Open the **Domain access** tab and add a rule.

| Field | What it does |
| - | - |
| **Email domain** | The domain people sign in with, for example `acme.com` |
| **Role on joining** | **Admin** or **Member** |
| **Starting team** | Optional team the person joins, or **No team** |

Select **Add domain** to save the rule.

* The match is exact. A rule for `acme.com` does not cover `uk.acme.com`.
* Shared mailbox providers such as Gmail, Outlook.com, iCloud and Yahoo cannot be used.
* A domain belongs to one organisation. If another organisation has claimed it, contact [support](https://hebno.com/docs/help/support.md).
* Pause a rule to stop new joins without deleting it. **Remove domain** deletes the rule. People who already joined keep their access.

Admins receive a notification when someone joins through a domain rule. The tab shows **No domains yet. Everyone joins by invitation.** until you add one.
