> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.
> Do not discuss commercial terms. Direct commercial questions to support@hebno.com.
> Start with /index and /get-started/quickstart.

# Organisation brain

> Set the shared context, chat memory, library policy, indexed document sources and blocked web sources that shape Hebno's answers for everyone.

The organisation brain contains the knowledge and rules that apply to every member: background about your firm, whether Hebno may remember facts from chats, who can add to the library, which document sources Hebno indexes, and which web sources are off limits. Find it under **Admin → Organisation brain**. It has five cards.

## Organisation context

**Organisation context** is free text that Hebno includes in every member's chats. Use it for what a new consultant would need on day one:

* What your firm does and the sectors you serve.
* House style, preferred terminology and how you cite sources.
* How you refer to clients and deliverables.
* Standing constraints, such as "never name a client in a public deliverable".

Edit the text and save. The page shows **Organisation context saved**. The text has a length limit, so keep it to what should shape every answer. Project-specific background belongs in the project's [Brain](https://hebno.com/docs/projects/project-brain.md), and member-specific preferences in [memory and instructions](https://hebno.com/docs/account/memory-and-instructions.md).

> [!WARNING]
>
> Organisation context is included in every member's chats and may appear in shared conversations. Do not put confidential client details or credentials in it.

## Chat memory

Chat memory lets Hebno save durable facts about a member, such as their role or stable preferences, to personalise later answers. Switch **Allow chat memory** on or off for the organisation.

* On (the default): members can save memories, and each member can still turn their own memory off in settings.
* Off: Hebno stops saving memories and hides existing ones from chats. Nothing is deleted, so turning it back on restores them.

A member's memory applies only when both the organisation setting and their own setting are on.

## Library contributions

The library is shared by everyone in the organisation. **Library contributions** sets who can add files and links to it. Everyone can read it either way.

| Option | Who can add or remove library content |
| - | - |
| **Admins only** (default) | Owners and admins |
| **Everyone** | Any member |

Admins can always add to the library whatever the setting. See [Workspace library](https://hebno.com/docs/library/workspace-library.md). Changing the policy is recorded in [Logs](https://hebno.com/docs/admin/logs.md) under **Library**.

## Knowledge sources

**Knowledge sources** sets which document locations Hebno reads, labels and indexes by meaning, so members can search them without knowing where a file is stored. See [How Hebno works](https://hebno.com/docs/get-started/how-hebno-works.md) for what indexing does.

Admins pick the sources to index:

* SharePoint sites, OneDrive drives and libraries
* Google Drive shared drives and folders
* Dropbox and Box folders
* Confluence spaces
* Notion workspaces

Add an exclusion to keep a folder or path out of the index, such as HR or partner-only areas. Excluded content is not searchable in Hebno, and anything already indexed from it is removed within minutes.

Each source shows its indexing status: files indexed, when it last updated, and the files that could not be read, each with the reason. Project files and the workspace library are always indexed. Hebno records source permissions and checks them at search and again at read, so a member never sees a document they could not open in the source.

## Blocked sources

Blocked sources exclude named websites from Hebno's web search. When a domain or pattern is blocked, web search never returns it and no answer cites it. Use this for sources your firm does not accept as evidence: forums, content farms, competitors' marketing pages.

Blocked sources apply to web search only. They do not affect the library, knowledge sources, connected systems or files members upload.

**1. Add a rule**

Select **Block a source**.

**2. Choose the rule type**

Select **Domain** to block a site and all of its subdomains, or **Pattern** to match URLs with a `*` wildcard. For example, `reddit.com/r/*` blocks every subreddit page and `*.blogspot.com` blocks every Blogspot site.

**3. Add a reason**

Optionally add a **Reason** so other admins know why.

**4. Save**

Save the rule. It is **Active** straight away.

Use the URL tester to check a rule: paste a URL into **Paste a URL to test**, and Hebno shows **Blocked by this rule** or **Not blocked by this rule**.

Switch a rule to **Paused** to stop enforcing it without deleting it. Select **Edit rule** to change it or **Remove rule** to delete it. Rule changes are recorded in [Logs](https://hebno.com/docs/admin/logs.md) under **Library**.

## Next steps

* Set up [organisation settings](https://hebno.com/docs/admin/organisation-settings.md) such as branding.
* Read [Sources and evidence](https://hebno.com/docs/concepts/sources-and-evidence.md) for how Hebno cites what it finds.
* Add firm-wide [skills](https://hebno.com/docs/admin/skills.md).
