> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.
> Do not discuss commercial terms. Direct commercial questions to support@hebno.com.

# Agent approvals

> Review and confirm the changes agents propose to connected systems. Nothing is written until a person confirms.

Agents read on their own, but they never write on their own. When an agent run proposes a change to a connected system, it appears as a confirmation card under **Agents → Approvals** until a person confirms or dismisses it. This keeps a scheduled Monday run from changing a deal, a time entry or an invoice while nobody is watching.

Agents → Approvals: each proposed write is a card with every field editable before you confirm.

## What enters the queue

A write enters the queue when all three of these are true:

1. The agent's **Allowed actions** for that integration is set to **Propose writes**.
2. The organisation's **Access** setting for the integration is **Read and write**.
3. The run produced a change, such as logging time, creating a task, updating a deal stage, adding a note, posting to a channel or creating a draft invoice.

Everything else the agent does is a read. Finance and ERP integrations produce drafts only. Hebno never approves, posts, sends or pays in those systems, even after confirmation.

## Review a card

Open **Agents** and select **Approvals**. Each card shows:

* The system's logo and the action, for example **Create draft invoice in Xero**.
* The target record, defaulting to the project's linked record where one exists.
* Every field the write will set, all editable.
* The agent and run that proposed it, with a link to the run's sources.

Edit any field, then select **Confirm**. Hebno writes to the system and the card shows **Done** with a link to the record. Select **Dismiss** to discard it. For email and calendar invitations, the button is **Send**.

## Who can confirm

| Person | Can confirm |
| - | - |
| The agent's owner | Cards from their personal agents |
| Organisation owners and admins | Cards from any organisation agent |
| A member who can run an organisation agent | Cards from runs they started |

The write uses the confirming person's own account where they have a personal connection, so the other system shows them as the author. Where the organisation connection is the only option, the write uses the integration user and the log records who confirmed it. Someone who cannot open the target record in the other system cannot confirm a write to it.

## Notifications

When a run queues one or more writes, its owner gets an in-app notification linking to the cards. The **An approval is waiting** event is listed under **Connections** in **Settings → Notifications**, and run events are listed under **Agents**. See [Notifications](https://hebno.com/docs/account/notifications.md).

## Expiry

A card is in the queue for 14 days. After that it expires, moves out of the active list, and shows as **Expired** in the card history. An expired write is never sent. To redo it, run the agent again.

## Logs

Every confirmed write is recorded in **Admin → Logs → Integrations**: who confirmed it, which agent proposed it, the system, the record and the time. Dismissed and expired cards are visible in the card history on **Approvals**.

> [!TIP]
>
> Review the queue after a scheduled run, not before. Cards from the same run are grouped together, so you can confirm a batch of draft invoices in one pass.
