> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.
> Do not discuss commercial terms. Direct commercial questions to support@hebno.com.
> Start with /index and /get-started/quickstart.

# Save and export

> Save a document, deck or workbook to a project or linked folder, download it in the format you need, and update the same file on later saves.

A file Hebno makes belongs to the chat until you save it. Saving files it in a project, or in a SharePoint, OneDrive, Google Drive, Dropbox or Box folder linked to that project, and every later save updates the same file.

## Formats

| Deliverable | Formats |
| - | - |
| Document | **Markdown** (`.md`), **PDF** (`.pdf`), **Word** (`.docx`) |
| Deck | **PowerPoint** (`.pptx`), **PDF** (`.pdf`) |
| Spreadsheet | **Excel** (`.xlsx`) |

A document, deck or workbook defaults to Word, PowerPoint or Excel. Text answers default to Markdown. Documents include a **Sources** section at the end when exported. Decks have no citation markers. Charts in a document export as charts in PDF and Word. In Word they are native charts, so you can restyle them or edit the figures. Waterfall, scatter and combo charts appear in Word as the table of figures behind the chart. PowerPoint and Markdown exports show that table for every chart. Figures follow your language setting, so a Danish setup writes 5.349.387 and 47,6.

## Save to a project

**1. Select Save**

Use **Save** in the pane toolbar, or the folder button on a file's row in **Chat files**.

**2. Choose the project**

The dialog **Save to a project** requests a project: "Choose a project. This chat will be tagged to it." If the chat already has a project, it is preselected.

**3. Set folder, filename and format**

Choose a **Folder**, edit the **Filename**, and pick the **Format**. For Word and PowerPoint you can also choose a template (see below).

**4. Select Save to the project**

The button reads **Save to** followed by the project name. The file appears under the project's **Brain → Files**.

Saving a second time updates the file you saved before instead of adding another. The dialog says "This will replace the existing file in the project." When you ask Hebno to change a deck, document or workbook that is already saved, the project copy is updated too.

Files saved to a project's **Brain** are available to every chat in that project. See [Project Brain](https://hebno.com/docs/projects/project-brain.md).

## Save to a linked folder

If the project has a linked SharePoint, OneDrive, Google Drive, Dropbox or Box folder, **Save** also offers **Save to folder**. Choose the folder, filename and format, and Hebno writes the file there. Spreadsheets save to linked folders the same way documents and decks do.

* Hebno writes to the folder with your own account, so the file shows you as its author and applies the folder's permissions.
* A confirmation says "This writes a file to the linked folder. Hebno never writes to a customer folder on its own." Nothing is written until you confirm.
* Saving again to the same folder updates the same file.
* If your connection does not have write access, you are asked to reconnect under **Settings → Connections** to grant it.

See [Project brain](https://hebno.com/docs/projects/project-brain.md#linked-sources) for how to link a folder to a project, and the pages for [SharePoint](https://hebno.com/docs/integrations/sharepoint.md), [OneDrive](https://hebno.com/docs/integrations/onedrive.md), [Google Drive](https://hebno.com/docs/integrations/google-drive.md), [Dropbox](https://hebno.com/docs/integrations/dropbox.md) and [Box](https://hebno.com/docs/integrations/box.md).

## Choose a template

When you save or download as Word or PowerPoint, the dialog **Choose a template** offers a library template, a project template, or Hebno's default look. The default for the project, or failing that for the library, is preselected. When a run followed a template's structure, that template is preselected. See [Templates](https://hebno.com/docs/deliverables/templates.md).

With a Word template, lists and links are written into the document as plain text.

## Save states

| State | Meaning |
| - | - |
| **Unsaved** | Changes exist that are not in the project file |
| **Saving** | The file is being written |
| **Saved** | The project file matches what you see. Hover the green check to see the filename and path |
| **Save failed** | The file was not written. Try again |

Turn footers in chat show **Deck saved**, **Document saved**, **Workbook saved** or **No files changed**, with a count of files read. Leaving the editor with unsaved changes shows **Discard your changes?** with **Keep editing**, **Done editing** and **Discard**.

## Download

**Download** in the pane toolbar downloads a file in the format you pick without creating a project file. For a deck, **Download PowerPoint** in the pane header downloads the `.pptx` directly. Downloads match the preview, including colours, fonts and additions.

To keep a whole conversation, open **Chat options** and choose **Download** for Markdown, PDF, Word or PowerPoint. The file includes each message, the research steps, the sources and the claims. See [History and export](https://hebno.com/docs/chat/history-and-export.md).
