> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.
> Do not discuss commercial terms. Direct commercial questions to support@hebno.com.
> Start with /index and /get-started/quickstart.

# Accelo

> Read Accelo clients, projects, tickets, retainers, time and budgets in Hebno, and log time, create tasks and add notes after you confirm.

The Accelo integration makes client work, retainers and time available in your delivery. Ask how much of a retainer period is used, how a project is tracking against budget, or which tickets are open for a client, and Hebno answers from Accelo with each project, ticket and activity cited. When a request implies a change, such as logging time or adding a note, Hebno shows a confirmation card and writes to Accelo only after you confirm.

## At a glance

| | |
| - | - |
| **Connection** | Organisation connection, made by an owner or admin. Members can link their own Accelo account. |
| **Default access** | Read and write. Financial figures are visible to owners and admins until you share them with teams. |
| **Attach** | Companies, projects, tickets, retainers, a member's time for a week |
| **Search** | Hebno searches Accelo when a request mentions a client, project, ticket, retainer, hours or budget |
| **Link** | A project links to an Accelo company and one or more projects or retainers |
| **Write** | Log time, create a task, add a note. Every write needs a person to confirm. |

## Before you start

You need:

* An owner or admin role in Hebno.
* Your Accelo deployment name, the first part of your Accelo address, for example `yourfirm` in `https://yourfirm.accelo.com`.
* An Accelo administrator who can register API applications.

The administrator registers two applications in Accelo under **Configuration → API → Register Application**: a **Service** application for the organisation connection, and a **Web** application with the redirect URI shown on the Accelo card in Hebno for members who link their own account. Copy the client ID and client secret of each.

Hebno requests these OAuth scopes:

| Scope | Why Hebno needs it |
| - | - |
| `read(all)` | Read companies, contacts, projects, milestones, tasks, tickets, retainers, activities and staff |
| `write(all)` | Create time entries, tasks and notes after a person confirms |

Choose **Read only** on the Accelo card in Hebno if you do not want writes. Hebno then requests `read(all)` only.

> [!TIP]
>
> A **Service** application acts with administrator access in Accelo. Use data areas and teams in Hebno to narrow what members see, and ask members who write often to link their own account so their own Accelo permissions apply.

## Connect Accelo

**1. Allow the integration**

Open **Admin → Connectors → Catalogue**, find **Accelo** under **PSA, time and resourcing**, and set it to **Allow**.

**2. Connect the organisation**

Select **Connect**, enter the deployment name and the **Service** application's client ID and secret, then select **Test connection**. Hebno checks that it can connect and lists the areas it can read and write.

**3. Choose teams and data areas**

Under **Who can use it**, choose **All teams** or pick teams. Under **Data areas**, choose what members can see. See [Data areas](#data-areas).

**4. Set access**

Leave **Access** on **Read and write** to let members propose time entries, tasks and notes, or choose **Read only**.

The card shows **Connected** with the Accelo deployment. Enter the **Web** application's client ID and secret under **Member accounts** on the same card so members can link.

### Link your own account

Members can link their own Accelo account so writes are made in their name under their own Accelo permissions.

1. In Hebno, open **Settings → Connections**, find **Accelo** and select **Link your account**.
2. Sign in to Accelo and select **Allow**.

When your account is linked, Hebno reads and writes as you: time is logged against your Accelo staff record, and you see only the clients, projects and tickets your Accelo permissions allow.

## Data areas

Data areas control what members of the allowed teams can see through the organisation connection. They apply on top of whatever the application can read in Accelo.

| Data area | Includes | Default |
| - | - | - |
| **Clients** | Companies, contacts, account managers, addresses | All allowed teams |
| **Projects and tickets** | Projects, milestones, tasks, tickets, status, due dates, managers, assignees | All allowed teams |
| **Time and activities** | Logged time, billable and non-billable hours, notes, emails logged as activities | All allowed teams |
| **Financials** | Project budgets, retainer values, period allowances and usage, rates, invoices | Owners and admins |

![Admin connector panel showing who can use it, access and data areas](https://mintcdn.com/hebno/A7yItabWdPf4lOIs/images/org-connection.png?fit=max\&auto=format\&n=A7yItabWdPf4lOIs\&q=85\&s=8d965e9c74747db0c182b004d569b236)

An organisation connection with team access and data areas. Financial figures default to owners and admins.

To share retainer usage and budgets with account managers, open the Accelo card in **Admin → Connectors**, select **Financials** and add the teams that should see them.

> [!NOTE]
>
> When a member has linked their own account, Hebno uses that member's Accelo permissions instead of the organisation connection. Data areas still apply, so a member never sees more through Hebno than both Accelo and your Hebno settings allow.

## What Hebno reads

| Accelo object | Fields Hebno uses | Typical questions |
| - | - | - |
| **Company** | Name, status, account manager, website, address | "Which projects and retainers do we have with Contoso Retail?" |
| **Contact** | Name, company, position, email, phone | "Who is our sponsor at Contoso?" |
| **Project** (job) | Title, company, manager, status, type, start and due dates, budget, logged and estimated time | "How is the Contoso pricing review tracking against budget?" |
| **Milestone** and **Task** | Title, project, assignee, status, start and due dates, estimated and logged time | "What is left in the analysis milestone?" |
| **Ticket** (issue) | Title, company, type, priority, status, assignee, opened and due dates | "Which Contoso tickets are open?" |
| **Retainer** (contract) | Title, company, value, status, periods, allowance, usage | "How much of the November Contoso retainer is used?" |
| **Activity** | Author, against, date, subject, body, billable and non-billable time | "What did we log on Contoso last week, and who logged it?" |

Retainer usage comes from the current contract period in Accelo, as it is at the time of the request. Reads are live. Hebno queries Accelo when a request needs it. Only what a reply used is stored with the conversation as its sources.

## What Hebno writes

Every write appears first as a confirmation card. You can change any field before you select **Confirm**.

| Action | Accelo object | Fields on the card |
| - | - | - |
| **Log time** | Activity with time | Against (project, task, ticket or retainer period), date, billable and non-billable time, subject, notes |
| **Create a task** | Task | Against (project, milestone or ticket), title, assignee, start and due dates, estimated time |
| **Add a note** | Activity of class **Note** | Against, subject, note text, visibility |

An Accelo change pending confirmation. Nothing is written until you confirm.

Hebno never approves or invoices time, changes rates, budgets or retainer allowances, closes tickets or projects, or creates or sends invoices in Accelo.

If you have linked your own account, the activity is created as you. Otherwise it is created through the organisation connection, with your name in the notes and the write recorded against you in **Admin → Logs → Integrations**.

## Link a project to Accelo

Linking marks which Accelo records belong to a Hebno project, so you can ask "how much retainer is left?" without naming it.

1. Open the project and select **Brain**.
2. Under **Linked records**, select **Link record**, then **Accelo**.
3. Search by company, project or retainer title, and select the record. Link the company and each project or retainer in the engagement.

In chats tagged to the project, Hebno starts with the linked records for any delivery, retainer or time question, and cards default to them. See [Linked records](https://hebno.com/docs/projects/linked-records.md).

## Use Accelo in chat

* **Attach**: open the **+** menu, choose **Sources → Accelo**, and pick a company, a project, a ticket, a retainer or your time. Or type `/` and choose **Accelo**.

* **Ask**: name the client, project or retainer in your request. For example:

  > How much of the Contoso retainer is used this period, and who logged the most time?

  > List open Contoso tickets by priority and draft a short update for the account manager.

  > Add a note to the Contoso pricing review that Sarah Chen confirmed the readout for 24 November.

* **Research runs** show a **Checking Accelo** step, with a chip for each company, project and activity it read.

* **Agents** can read Accelo on a schedule, for example a weekly alert when a retainer period passes 80 per cent of its allowance. Writes an agent proposes appear in [agent approvals](https://hebno.com/docs/automate/agent-approvals.md) for review.

## Troubleshooting

| Symptom | Fix |
| - | - |
| **Test connection** fails with `invalid_client` | Check the deployment name and the **Service** application's client ID and secret. |
| **Link your account** fails with a redirect error | The **Web** application's redirect URI does not match the one shown in Hebno. Correct it in **Configuration → API**. |
| Writes fail with `insufficient_scope` | The connection was made read only. Set **Access** to **Read and write** and reconnect to grant `write(all)`. |
| Retainer usage or budgets are missing | The member's team is not in the **Financials** data area. |
| A time entry fails on a closed period | The retainer period is closed or invoiced. Choose the current period, or ask an Accelo administrator to reopen it. |
| Requests fail with a rate limit message | Accelo limits requests per hour for each deployment. Wait, or narrow the request. |
