> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.
> Do not discuss commercial terms. Direct commercial questions to support@hebno.com.
> Start with /index and /get-started/quickstart.

# Asana

> Read Asana projects, tasks, comments and portfolios in Hebno, and create tasks, update them, comment and complete them after you confirm.

The Asana integration makes project status available in your client work. Ask what is overdue on an engagement, who owns the open tasks, or what changed since Monday, and Hebno answers from Asana with each task cited. When a request implies a change, such as creating a task or completing one, Hebno shows a confirmation card and writes to Asana only after you confirm.

## At a glance

| | |
| - | - |
| **Connection** | Personal connection. Each member connects their own Asana account. |
| **Default access** | Read and write |
| **Attach** | Projects, tasks, portfolios |
| **Search** | Hebno searches Asana when a request mentions a project, task, assignee, due date, status or comment |
| **Link** | A project links to one or more Asana projects |
| **Write** | Create a task, update a task, add a comment, complete a task. Every write needs a person to confirm. |

## Before you start

You need:

* An Asana account in the workspace you want to use.
* An allowed integration. An owner or admin sets **Asana** to **Allow** under **Admin → Connectors → Catalogue**.
* Approval from your Asana workspace admin if they restrict third-party apps.

Hebno requests these OAuth scopes:

| Scope | Why Hebno needs it |
| - | - |
| `projects:read` | Read projects, sections and their details |
| `tasks:read` | Read tasks, subtasks, assignees, due dates and custom fields |
| `tasks:write` | Create and update tasks, and mark them complete, after you confirm |
| `stories:read` | Read comments and activity on tasks |
| `stories:write` | Add comments to tasks after you confirm |
| `portfolios:read` | Read portfolios and the projects they contain |
| `custom_fields:read` | Read custom field definitions and values |
| `workspaces:read` and `users:read` | Identify your workspace and show assignees by name |

## Connect Asana

**1. Start the connection**

Open **Settings → Connections**, find **Asana** and select **Connect**. You can also select **Connect** from the prompt in a chat.

**2. Sign in to Asana**

Sign in, choose your workspace if you belong to more than one, and select **Allow**.

**3. Return to Hebno**

The card shows **Connected** with your workspace name.

Hebno reads and writes with your own permissions, so you see only the projects and tasks that you can open in Asana, including private projects you belong to. Tokens are encrypted at rest. Select **Disconnect** at any time, or ask an admin to revoke the connection under **Admin → Connectors → Connections**.

## What Hebno reads

| Asana object | Fields Hebno uses | Typical questions |
| - | - | - |
| **Project** | Name, owner, due date, status, sections, custom fields | "What is the status of the Contoso rollout project?" |
| **Task** | Name, notes, assignee, due date, completed flag, section, custom fields | "What is overdue on the Contoso rollout?" |
| **Subtask** | Name, assignee, due date, completed flag, parent task | "What is left under the data cleanse task?" |
| **Comment** | Author, date, text (the comments in a task's activity) | "What did Priya say on the sign-off task?" |
| **Custom field** | Name, type, value on a project or task | "Which tasks are marked high risk?" |
| **Portfolio** | Name, projects, status, custom fields | "How are the projects in the Retail portfolio tracking?" |

Reads are live. Hebno queries Asana when a request needs it. Only what a reply used is stored with the conversation as its sources.

> [!WARNING]
>
> Excerpts a reply uses become part of the conversation. Anyone you share the conversation with can read them, including task notes and comments from Asana.

## What Hebno writes

Every write appears first as a confirmation card. You can change any field before you select **Confirm**.

| Action | Asana object | Fields on the card |
| - | - | - |
| **Create a task** | Task | Project, section, name, notes, assignee, due date, parent task for a subtask |
| **Update a task** | Task | Name, notes, assignee, due date, section, custom field values |
| **Add a comment** | Comment | Task, comment text |
| **Complete a task** | Task | Task, completed |

An Asana change pending confirmation. Nothing is written until you confirm.

Hebno never deletes tasks or projects, changes project permissions, or edits workspace settings.

Writes are made as your Asana user, so Asana shows you as the author.

## Link a project to an Asana project

Linking marks which Asana projects belong to an engagement, so you can ask "what is overdue?" without naming the project.

1. Open the project and select **Brain**.
2. Under **Linked records**, select **Link record**, then **Asana**.
3. Search by project name and select it. Repeat for each Asana project in the engagement.

In chats tagged to the project, Hebno starts with the linked Asana projects for any delivery question, and cards for new tasks default to them. See [Linked records](https://hebno.com/docs/projects/linked-records.md).

## Use Asana in chat

* **Attach**: open the **+** menu, choose **Sources → Asana**, and pick a project, a task or a portfolio. Or type `/` and choose **Asana**.

* **Ask**: name the project, task or person in your request. For example:

  > List everything overdue or due this week on the Contoso rollout, grouped by owner.

  > Draft a status update for Contoso from the Asana project, including what moved since last Friday and what is at risk.

  > Mark the stakeholder interview scheduling task complete and add a comment that all six interviews are booked.

* **Research runs** show a **Checking Asana** step, with a chip for each project and task it read.

* **Agents** can read Asana on a schedule, for example a Monday list of overdue tasks. Writes an agent proposes appear in [agent approvals](https://hebno.com/docs/automate/agent-approvals.md) for review.

## Troubleshooting

| Symptom | Fix |
| - | - |
| Asana requires administrator approval | Ask your Asana workspace admin to approve the app, then select **Connect** again. |
| Hebno cannot find a project you can open in Asana | Check that you connected the right workspace. Disconnect and reconnect, choosing the correct one. |
| A task or comment is missing from answers | Your Asana access hides it. Hebno reads only what you can read. |
| A write fails with an Asana message | Fix the field the message names on the card and select **Confirm** again. |
| **Reconnect Asana** appears | The authorisation was revoked. Select **Connect** to authorise again. |
| Requests fail with a rate limit message | Asana limits requests per minute. Wait and retry. |
