> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.
> Do not discuss commercial terms. Direct commercial questions to support@hebno.com.

# Calendly

> Read Calendly event types, scheduled events and invitees in Hebno, and create a single-use scheduling link for a client after you confirm.

The Calendly integration lets you see who has booked time and hand clients a way to book the next session. Ask which Contoso stakeholders have booked interviews, what they answered on the booking form, or who cancelled this week, and Hebno answers from Calendly with each event cited. When you need a client to pick a time, Hebno prepares a single-use scheduling link on a card and creates it in Calendly only after you confirm.

## At a glance

| | |
| - | - |
| **Connection** | Personal connection. Each member connects their own Calendly account. |
| **Default access** | Read and write |
| **Attach** | Event types, scheduled events, an event's invitees |
| **Search** | Hebno searches Calendly when a request mentions a booking, interview, client, invitee email, event type or date |
| **Link** | A project links to one or more Calendly event types |
| **Write** | Create a single-use scheduling link. Every link needs a person to confirm. |

## Before you start

You need:

* A Calendly account with the event types you want to use. For team or collective event types, you must be a host.
* An allowed integration. An owner or admin sets **Calendly** to **Allow** under **Admin → Connectors → Catalogue**.

Hebno connects through Calendly OAuth and uses these Calendly API v2 endpoints:

| Endpoint | Why Hebno needs it |
| - | - |
| `GET /users/me` | Show which Calendly account is connected and find your organisation |
| `GET /event_types` | List your event types, with name, duration, location and booking questions |
| `GET /scheduled_events` | List your upcoming and past events by date and status |
| `GET /scheduled_events/{uuid}/invitees` | Read who booked, their answers to booking questions, and cancellations |
| `POST /scheduling_links` | Create a single-use scheduling link after you confirm |

Calendly applies your own role. If you are an organisation member, Hebno reads only events where you are a host.

## Connect Calendly

**1. Start the connection**

Open **Settings → Connections**, find **Calendly** under **Meetings and calls** and select **Connect**. You can also select **Connect** from the prompt in a chat.

**2. Sign in to Calendly**

Sign in with your Calendly account and select **Allow**.

**3. Return to Hebno**

The card shows **Connected** with your Calendly email address.

Hebno reads and writes with your own Calendly permissions. Tokens are encrypted at rest. Select **Disconnect** at any time, or ask an admin to revoke the connection under **Admin → Connectors → Connections**.

## What Hebno reads

| Calendly object | Fields Hebno uses | Typical questions |
| - | - | - |
| **Event type** | Name, duration, kind (one-on-one, group, round robin, collective), location, active flag, booking questions | "Which event type do we use for Contoso interviews?" |
| **Scheduled event** | Event type, start and end, status, location or join link, hosts | "Which Contoso interviews are booked for next week?" |
| **Invitee** | Name, email, time zone, answers to booking questions, status, cancellation reason, rescheduled flag | "What did Sarah Chen put in the booking form?" |

Reads are live. Hebno queries Calendly when a request needs it, and only what a reply used is stored with the conversation as its sources.

> [!WARNING]
>
> Invitee details a reply uses become part of the conversation, including email addresses and answers to booking questions. Anyone you share the conversation with can read them.

## What Hebno writes

Every write appears first as a confirmation card. You can change any field before you select **Confirm**.

| Action | Calendly object | Fields on the card |
| - | - | - |
| **Create a single-use scheduling link** | Scheduling link owned by an event type | Event type, host, duration, number of bookings, expiry |

![Confirmation card for Calendly with editable fields](https://mintcdn.com/hebno/JIjAXWoGoB3PLSSb/images/card-calendly.png?fit=max\&auto=format\&n=JIjAXWoGoB3PLSSb\&q=85\&s=e6005696da0ed718d1d51fabae94e53f)

A Calendly change pending confirmation. Nothing is written until you confirm.

After you confirm, the card shows the booking URL. Select **Copy link** to paste it anywhere, or **Add to email** to place it in an email draft in [Gmail](https://hebno.com/docs/integrations/gmail.md) or [Outlook](https://hebno.com/docs/integrations/outlook.md), which you send yourself. The link allows one booking and expires once it is used.

Hebno never books, reschedules or cancels an event, never changes event types or availability, and never emails invitees from Calendly.

## Link a project to an event type

Linking marks which Calendly event types belong to an engagement, so you can ask "who has booked?" without naming the event type.

1. Open the project and select **Brain**.
2. Under **Linked records**, select **Link record**, then **Calendly**.
3. Search by event type name and select it, for example Contoso stakeholder interview. Repeat for each event type in the engagement.

In chats tagged to the project, Hebno starts with events of the linked types for any booking question, and scheduling link cards default to them. See [Linked records](https://hebno.com/docs/projects/linked-records.md).

## Use Calendly in chat

* **Attach**: open the **+** menu, choose **Sources → Calendly**, and pick an event type, a scheduled event or its invitees. Or type `/` and choose **Calendly**.

* **Ask**: name the client, invitee, event type or date. For example:

  > Which Contoso stakeholders have booked interviews, and who is still missing from the list of twelve?

  > Summarise what invitees said in the booking questions for next week's Contoso interviews.

  > Create a single-use link for Sarah Chen to book a 30 minute readout prep call and add it to an email.

* **Research runs** show a **Checking Calendly** step, with a chip for each event type and event it read.

* **Agents** can read Calendly on a schedule, for example a morning list of the day's client bookings and their answers. Links an agent proposes appear in [agent approvals](https://hebno.com/docs/automate/agent-approvals.md) for review.

## Troubleshooting

| Symptom | Fix |
| - | - |
| **Reconnect Calendly** appears | The authorisation was revoked or expired. Select **Connect** to authorise again. |
| An event type is missing | The event type is turned off in Calendly, or you are not a host on a team event type. Turn it on or ask the owner to add you. |
| **Permission denied** for an event | The event belongs to another user in your Calendly organisation. Hebno reads only events where you are a host. |
| Booking answers are missing | The event type has no booking questions, or the invitee skipped optional ones. |
| A link fails to create | The event type is inactive or was deleted. Pick an active event type on the card and select **Confirm** again. |
| Requests fail with **429 Too Many Requests** | Calendly limits requests per minute. Wait and retry. |
