# Canva

> Read Canva designs, folders and brand templates in Hebno, attach designs as PDF or PNG, and save decks and images to Canva after you confirm.

The Canva integration brings your firm's designs into client work. Attach the Contoso workshop one-pager as a PDF, find the brand template your team uses for client readouts, or save a finished deck to Canva so the design team can polish it, and Hebno answers from Canva with each design cited. When a request implies a change, such as saving a deck, Hebno shows a confirmation card and creates the design in Canva only after you confirm.

## At a glance

| | |
| - | - |
| **Connection** | Personal connection. Each member connects their own Canva account. |
| **Default access** | Read and write |
| **Attach** | Designs exported as PDF or PNG, folders, brand templates |
| **Search** | Hebno searches Canva when a request mentions a design, deck, one-pager, social post, folder or brand template |
| **Link** | A project links to one or more Canva folders |
| **Write** | Save a deck or image to Canva as a new design. Every write needs a person to confirm. |

## Before you start

You need:

* A Canva account that can open the designs and folders you want to use, in your own account or a Canva team you belong to.
* Access to your team's Brand Kit if you want to read brand templates.
* An allowed integration. An owner or admin sets **Canva** to **Allow** under **Admin → Connectors → Catalogue**.

Hebno requests these Canva Connect scopes:

| Scope | Why Hebno needs it |
| - | - |
| `profile:read` | Identify your Canva user and team |
| `design:meta:read` | List and search designs, and read titles, owners, page counts and thumbnails |
| `design:content:read` | Export designs as PDF or PNG to attach them |
| `design:content:write` | Save a deck or image as a new design after you confirm |
| `folder:read` | List folders and the designs inside them |
| `asset:read` and `asset:write` | Read uploaded images, and upload an image you save to Canva |
| `brandtemplate:meta:read` and `brandtemplate:content:read` | List brand templates and read their fields |

## Connect Canva

**1. Start the connection**

Open **Settings → Connections**, find **Canva** under **Design and whiteboards** and select **Connect**. You can also select **Connect** from the prompt in a chat.

**2. Sign in to Canva**

Sign in, choose the team if you belong to more than one, review the access request and select **Allow**.

**3. Return to Hebno**

The card shows **Connected** with your Canva name and team.

Hebno reads and writes with your own permissions, so you see only the designs and folders you can open in Canva. Tokens are encrypted at rest. Select **Disconnect** at any time, or ask an admin to revoke the connection under **Admin → Connectors → Connections**. You can also remove Hebno in Canva under **Settings → Integrations**.

## What Hebno reads

| Canva object | Fields Hebno uses | Typical questions |
| - | - | - |
| **Design** | Title, owner, type, page count, created and updated dates, thumbnail, edit and view links | "Find the Contoso workshop one-pager." |
| **Design export** | PDF or PNG of all pages or chosen pages | "Attach page 3 of the Contoso readout deck." |
| **Folder** | Name, designs, images and subfolders | "What is in the Contoso Retail folder?" |
| **Brand template** | Title, thumbnail, data fields for text and images | "Which brand template do we use for client readouts?" |
| **Asset** | Name, tags, thumbnail of uploaded images | "Find the Contoso store photos we uploaded." |

Designs are exported through a Canva export job when you attach them, so Hebno reads the text and images as they are now. Reads are live. Hebno queries Canva when a request needs it. Only what a reply used is stored with the conversation as its sources.

> [!WARNING]
>
> Excerpts and images a reply uses become part of the conversation. Anyone you share the conversation with can see them, even if they cannot open the design in Canva.

## What Hebno writes

Every write appears first as a confirmation card. You can change any field before you select **Confirm**.

| Action | Canva object | Fields on the card |
| - | - | - |
| **Save a deck to Canva** | New design imported from a PowerPoint or PDF file | Deliverable, design title, format |
| **Save an image to Canva** | Asset upload and new design | Image, design title, asset name |

A Canva change pending confirmation. Nothing is written until you confirm.

Each save creates a new design in your Canva account. The design appears under **Projects** in Canva, and the reply contains an edit link. Hebno never edits or deletes existing designs, changes sharing, publishes designs, or changes Brand Kit content.

Designs are created as your Canva user, so Canva shows you as the owner.

## Link a project to a folder

Linking marks which Canva folders belong to an engagement, so you can ask for "the client's one-pager" without naming the folder.

1. Open the project and select **Brain**.
2. Under **Linked records**, select **Link record**, then **Canva**.
3. Search by folder name and select it. Repeat for each folder in the engagement.

In chats tagged to the project, Hebno searches the linked folders first for any design request. See [Linked records](https://hebno.com/docs/projects/linked-records.md).

## Use Canva in chat

* **Attach**: open the **+** menu, choose **Sources → Canva**, and pick a design, a folder or a brand template. Pick pages to attach part of a long design. Or type `/` and choose **Canva**.

* **Ask**: name the design, folder or template in your request. For example:

  > Attach the Contoso workshop one-pager and check its figures against the interview summary.

  > Which brand template should we use for the Contoso readout, and what fields does it have?

  > Save the steering committee deck to Canva as Contoso pricing review readout, 12 Nov.

* **Research runs** show a **Checking Canva** step, with a chip for each design it read.

* **Agents** can read Canva on a schedule, for example a list of designs updated in a linked folder each week. Writes an agent proposes appear in [agent approvals](https://hebno.com/docs/automate/agent-approvals.md) for review.

## Troubleshooting

| Symptom | Fix |
| - | - |
| **Reconnect Canva** appears | The authorisation was revoked or expired. Select **Connect** to authorise again. |
| An export fails with `license_required` | The design contains premium elements your Canva account cannot export. Replace them in Canva, or ask the owner to export it. |
| A design you expect is missing | The design was not shared with you, or it is in another team. Ask the owner to share it, or reconnect with the right team. |
| Brand templates do not appear | Your Canva team has no brand templates, or you cannot open the Brand Kit. Ask your Canva team admin. |
| Saving a deck fails | The file is larger than Canva accepts for import. Save fewer slides, or export to PDF and save again. |
| Requests fail with `429 Too Many Requests` | Canva limits requests per minute for each user. Wait and retry. |
