> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.

# DATEV

> Read DATEV accounts, open items, BWA reports and documents in Hebno, and upload documents to the DATEV Unternehmen online document inbox after you confirm.

The DATEV integration makes your accounting in DATEV Unternehmen online and DATEV Rechnungswesen available in client work. Ask which open items a customer has, what the latest BWA shows for revenue and personnel costs, or whether a supplier invoice has reached your tax adviser, and Hebno answers from DATEV with each record cited. When a request implies a change, such as passing an invoice to bookkeeping, Hebno shows a confirmation card and uploads the document to DATEV only after you confirm.

## At a glance

| | |
| - | - |
| **Connection** | Organisation connection, made by an owner or admin who signs in with DATEV and selects one or more clients (Mandanten). Members can link their own DATEV sign-in. |
| **Default access** | Read only. Financial figures are visible to owners and admins until you share them with teams. |
| **Attach** | Accounts, open items, BWA reports, documents |
| **Search** | Hebno searches DATEV when a request mentions an account, balance, open item, BWA, supplier invoice or document |
| **Link** | A project links to a DATEV client and one or more debtor accounts |
| **Write** | Upload a document to the DATEV document inbox. Every write needs a person to confirm. Hebno never creates postings. |

## Before you start

You need:

* An owner or admin role in Hebno.
* Your DATEV consultant number (Beraternummer) and client number (Mandantennummer) for each client you want to connect. If a tax adviser does your bookkeeping, they can give you both numbers.
* A DATEV sign-in with **DATEV SmartLogin**, a **DATEV SmartCard** or **mIDentity**.
* The client set up for **DATEV Unternehmen online**, with **Belege online** for document uploads.
* Rights for your DATEV user on each client, assigned in **DATEV Rechteverwaltung online** by the DATEV administrator in your company or at your tax adviser. Grant read access to accounting data, and the right to upload documents if you want members to pass invoices to bookkeeping.

### Permissions

DATEV shows the requested scopes when you sign in. Hebno requests:

| Scope | Why Hebno needs it |
| - | - |
| `openid`, `profile`, `email` | Identify the DATEV user who signs in |
| `accounting:clients:read` | List the clients the user can open |
| `accounting:documents` | Upload documents to the client's document inbox in Unternehmen online |

Hebno also requests the DATEV read scopes for accounts, open items and evaluations. The DATEV consent screen lists every scope before you approve it.

> [!TIP]
>
> DATEV applies the signing-in user's rights from Rechteverwaltung online on every call. A client or area outside those rights returns a permission error rather than partial data.

## Connect DATEV

**1. Allow the integration**

Open **Admin → Connectors → Catalogue**, find **DATEV** under **Finance**, and set it to **Allow**.

**2. Connect the organisation**

Select **Connect** and sign in with DATEV using SmartLogin, SmartCard or mIDentity. Approve the scopes, then choose each client Hebno may use. Hebno lists the clients by consultant number, client number and name.

**3. Choose teams and data areas**

Under **Who can use it**, choose **All teams** or pick teams for each client. Under **Data areas**, choose what members can see. See [Data areas](#data-areas).

**4. Set access**

**Access** is **Read only** by default. Choose **Read and write** to let members propose document uploads.

The card shows **Connected** with each client. To add another client later, select **Add client** on the card.

### Link your own account

Members can link their own DATEV sign-in so uploads are made in their name under their own DATEV rights.

1. In Hebno, open **Settings → Connections**, find **DATEV** and select **Link your account**.
2. Sign in with DATEV and approve the request.

When your account is linked, Hebno reads and uploads as you, and you see only the clients and areas your rights in Rechteverwaltung online allow.

## Data areas

Data areas control what members of the allowed teams can see through the organisation connection. They apply on top of the connecting user's DATEV rights.

| Data area | Includes | Default |
| - | - | - |
| **Documents** | Documents in Unternehmen online, document type, upload date, status | All allowed teams |
| **Debtors and creditors** | Customer and supplier accounts, names, addresses | All allowed teams |
| **Financials** | Account balances, open items, BWA reports, totals and balances lists | Owners and admins |

![Admin connector panel showing who can use it, access and data areas](https://mintcdn.com/hebno/A7yItabWdPf4lOIs/images/org-connection.png?fit=max\&auto=format\&n=A7yItabWdPf4lOIs\&q=85\&s=8d965e9c74747db0c182b004d569b236)

An organisation connection with team access and data areas. Financial figures default to owners and admins.

To share financials with delivery leads, open the DATEV card in **Admin → Connectors**, select **Financials** and add the teams that should see them.

> [!NOTE]
>
> When a member has linked their own account, Hebno uses that member's DATEV rights instead of the organisation connection. Data areas still apply, so a member never sees more through Hebno than both DATEV and your Hebno settings allow.

## What Hebno reads

| DATEV object | Fields Hebno uses | Typical questions |
| - | - | - |
| **Client** (Mandant) | Consultant number, client number, name, financial year | "Which DATEV clients can I use?" |
| **Account** | Account number, name, chart of accounts (for example SKR 03 or SKR 04), balance by month | "What is the balance on revenue account 8400 for October?" |
| **Debtor and creditor account** | Account number, name, address, balance | "What is Contoso Retail's debtor account?" |
| **Open item** (OPOS) | Account, invoice number, document date, due date, amount open, days overdue | "Which Contoso invoices are still open in DATEV?" |
| **BWA** | Evaluation month, revenue, material and personnel costs, operating result, comparison with prior year | "What did the September BWA show for personnel costs?" |
| **Document** | File name, document type, upload date, processing status | "Has the October subcontractor invoice been uploaded?" |

Reads are live. Hebno queries DATEV when a request needs it, so figures match the last evaluation your accounting team or tax adviser prepared. Only what a reply used is stored with the conversation as its sources.

> [!WARNING]
>
> Excerpts a reply uses, including balances and BWA figures, become part of the conversation. Anyone you share the conversation with can read them.

## What Hebno writes

Every write appears first as a confirmation card. You can change any field before you select **Confirm**. Hebno uploads documents only.

| Action | DATEV object | Fields on the card |
| - | - | - |
| **Upload a document** | Document in the Unternehmen online document inbox | Client, file, document type (for example **Rechnungseingang** or **Rechnungsausgang**), note |

A DATEV change pending confirmation. Nothing is written until you confirm.

An uploaded document is waiting in the document inbox until your accounting team or tax adviser processes it. Hebno never creates postings or booking proposals, changes accounts, clears open items, starts payments or changes documents that are already in DATEV.

If you have linked your own account, the document is uploaded as you. Otherwise it is uploaded through the organisation connection, with the write recorded against you in **Admin → Logs → Integrations**.

## Link a project to DATEV

Linking marks which DATEV records belong to a project, so you can ask "what does Contoso still owe?" without naming the debtor account.

1. Open the project and select **Brain**.
2. Under **Linked records**, select **Link record**, then **DATEV**.
3. Choose the client, then search and select the **debtor account** for each client company the engagement bills.

In chats tagged to the project, Hebno starts with the linked records for any receivables question, and upload cards default to the linked client. See [Linked records](https://hebno.com/docs/projects/linked-records.md).

## Use DATEV in chat

* **Attach**: open the **+** menu, choose **Sources → DATEV**, and pick an account, an open items list, a BWA or a document. Or type `/` and choose **DATEV**.

* **Ask**: name the client, account or month in your request. For example:

  > Which Contoso Retail invoices are still open in DATEV, and how overdue are they?

  > Compare the September and October BWA for revenue and personnel costs.

  > Upload the attached subcontractor invoice to DATEV as Rechnungseingang.

* **Research runs** show a **Checking DATEV** step, with a chip for each account, report or document it read.

* **Agents** can read DATEV on a schedule, for example a monthly summary when a new BWA is available. Uploads an agent proposes appear in [agent approvals](https://hebno.com/docs/automate/agent-approvals.md) for review.

## Troubleshooting

| Symptom | Fix |
| - | - |
| Sign-in fails | Your SmartLogin, SmartCard or mIDentity is not active, or the authenticator app was not confirmed. Complete the DATEV sign-in and try again. |
| A client is missing from the list | Your DATEV user has no rights for it. Ask the DATEV administrator to assign them in **Rechteverwaltung online**. |
| Uploads fail with a permission error | The client is not set up for Belege online, or your user lacks the upload right. Ask your DATEV administrator or tax adviser. |
| An upload is rejected | The file type or size is not accepted by DATEV. Upload PDF or image files and split very large scans. |
| BWA figures are older than expected | DATEV returns the last evaluation prepared in Rechnungswesen. Ask your accounting team or tax adviser for the current month. |
| Financial figures are missing from answers | The member's team is not in the **Financials** data area. |
