> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.

# Dynamics 365 Business Central

> Read Business Central customers, projects, time, invoices and ledger entries in Hebno, and create time entries and draft sales invoices after you confirm.

The Business Central integration adds finance and project data to client work. Ask how a project is tracking against its budget, which invoices are overdue, or what a customer owes, and Hebno answers from Business Central with each record cited. When a request implies a change, Hebno shows a confirmation card and creates a time registration entry or a draft sales invoice only after you confirm. It never posts.

## At a glance

| | |
| - | - |
| **Connection** | Organisation connection to one environment and company, made by an owner or admin. Members can link their own Microsoft account. |
| **Default access** | Read only. Financial figures are visible to owners and admins until you share them with teams. |
| **Attach** | Customers, projects, time registration entries, sales invoices |
| **Search** | Hebno searches Business Central when a request mentions a customer, project, budget, hours, invoice or receivable |
| **Link** | A project links to a Business Central customer or project |
| **Write** | Create a time registration entry or a draft sales invoice. Every write needs a person to confirm. |

## Before you start

You need:

* An owner or admin role in Hebno.
* The name of your Business Central environment, for example `Production`, and the company to connect.
* A Business Central user for the integration, with permission sets for the data areas you want to read and, if members will write, for time registration and sales invoices. Do not assign `SUPER`.
* A directory administrator to approve the permission below, if your tenant blocks user consent. See the [Microsoft Entra admin guide](https://hebno.com/docs/integrations/microsoft-entra-admin.md).

| Permission | Why Hebno needs it |
| - | - |
| `Financials.ReadWrite.All` | Read finance data and create time registration entries and draft sales invoices as the signed-in user |

Hebno requests delegated permission only. A user can reach only what their Business Central permission sets allow.

## Connect Business Central

**1. Allow the integration**

Open **Admin → Connectors → Catalogue**, find **Dynamics 365 Business Central** under **ERP**, and set it to **Allow**.

**2. Connect the organisation**

Select **Connect** and sign in with the integration user's Microsoft account. Choose the **Environment** and the **Company**, then select **Test connection**. Hebno lists the data areas that user can read.

**3. Choose teams and data areas**

Under **Who can use it**, choose **All teams** or pick teams. Under **Data areas**, choose what members can see. See [Data areas](#data-areas).

**4. Set access**

Leave **Access** on **Read only**, or choose **Read and write** to let members propose time entries and draft invoices.

The card shows **Connected** with the environment and company. To use more than one company, connect each one separately.

### Link your own account

Members link their Microsoft account so reads and writes run under their own Business Central permissions.

1. Open **Settings → Connections**, find **Dynamics 365 Business Central** and select **Link your account**.
2. Sign in with your Microsoft account and approve the permission.

When your account is linked, entries and drafts show your name and you see only what your permission sets allow. Without a linked account, Hebno uses the organisation connection.

## Data areas

Data areas control what members of the allowed teams can see through the organisation connection. They apply on top of what the integration user can read.

| Data area | Includes | Default |
| - | - | - |
| **Customers** | Customer names, numbers, contact details, currency, payment terms | All allowed teams |
| **Projects and time** | Projects, planning lines, budget against usage, time registration entries | All allowed teams |
| **Sales and receivables** | Sales invoices, posted invoices, aged receivables | Owners and admins |
| **Ledger** | General ledger entries | Owners and admins |

An organisation connection with team access and data areas. Financial figures default to owners and admins.

To share invoices or the ledger with delivery leads, open the card in **Admin → Connectors**, select the data area and add teams.

## What Hebno reads

| Business Central object | Fields Hebno uses | Typical questions |
| - | - | - |
| **Customer** | Number, name, address, email, currency, payment terms, blocked status | "What are Contoso Retail's payment terms?" |
| **Project** | Number, name, customer, status | "What projects do we run for Contoso?" |
| **Planning lines and budget** | Planned quantity and amount, actual usage, remaining | "Are we over budget on the Contoso pricing review?" |
| **Time registration entry** | Employee, project, task, date, quantity, status | "How many hours did we register on Contoso last month?" |
| **Sales invoice** | Number, customer, dates, status, amounts excluding and including tax, remaining amount | "Which Contoso invoices are still open?" |
| **Posted sales invoice** | Number, customer, posting date, due date, amounts, remaining amount | "What did we invoice Contoso in October?" |
| **G/L entry** | Posting date, document number, account, description, debit, credit | "What was posted to account 4100 this quarter?" |
| **Aged receivables** | Customer, balance by age band | "Who owes us more than 60 days?" |

Reads are live. Hebno queries Business Central when a request needs it, and only what a reply used is stored with the conversation as its sources.

> [!WARNING]
>
> Excerpts a reply uses become part of the conversation. Anyone you share the conversation with can read them, including invoice and ledger figures.

## What Hebno writes

Writes create drafts or open entries only. Every write appears first as a confirmation card, and you can change any field before you select **Confirm**.

| Action | Business Central object | Fields on the card |
| - | - | - |
| **Log time** | Time registration entry | Employee, project, task, date, quantity |
| **Create a draft invoice** | Sales invoice, draft | Customer, invoice date, due date, lines with description, quantity and unit price |

A Dynamics 365 Business Central change pending confirmation. Nothing is written until you confirm.

Hebno never posts an invoice, posts a journal, changes a ledger entry, approves a time entry, or edits a customer or project in Business Central. A person posts the draft inside Business Central.

## Link a project to a customer or project

1. Open the Hebno project and select **Brain**.
2. Under **Linked records**, select **Link record**, then **Dynamics 365 Business Central**.
3. Search by customer name or project number and select the record. Repeat for each record in the engagement.

In chats tagged to the project, the linked records are searched first for any budget or receivables question, and cards default to them. See [Linked records](https://hebno.com/docs/projects/linked-records.md).

## Use Business Central in chat

* **Attach**: open the **+** menu, choose **Sources → Dynamics 365 Business Central**, and pick a customer, project or invoice. Or type `/` and choose **Dynamics 365 Business Central**.

* **Ask**: name the customer or project. For example:

  > How much of the Contoso pricing review budget have we used, and what is still unbilled?

  > List overdue Contoso invoices and draft a polite reminder for Priya.

  > Draft a sales invoice for Contoso Retail covering the 18 hours registered on the pricing review.

* **Research runs** show a **Checking Dynamics 365 Business Central** step, with a chip for each record read.

* **Agents** can read Business Central on a schedule, for example a Monday list of invoices past due. Writes an agent proposes appear in [agent approvals](https://hebno.com/docs/automate/agent-approvals.md).

## Troubleshooting

| Symptom | Fix |
| - | - |
| **Test connection** fails | Check the environment name and that the user has a Business Central licence and permission sets in that environment. |
| No companies are listed | The user has no permission set in the environment. Assign one in Business Central. |
| Financial figures are missing | The member's team is not in that data area, or the user lacks permission to the ledger. |
| A draft invoice is refused | The permission sets do not allow creating sales invoices, or the customer is blocked. |
| Entries are created under the integration user | Link your own account under **Settings → Connections**. |
| A project shows no budget | The project has no planning lines in Business Central. |
