> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.

# Dynamics 365 Sales

> Read Dynamics 365 Sales accounts, contacts, leads, opportunities and activities in Hebno, and add notes, tasks and stage updates after you confirm.

The Dynamics 365 Sales integration adds your pipeline to client work. Ask where the Contoso opportunity stands, who the contacts are, or what was logged last month, and Hebno answers from Dynamics with each record cited. When a request implies a change, such as adding a note after a call or moving an opportunity stage, Hebno shows a confirmation card and writes to Dynamics only after you confirm.

## At a glance

| | |
| - | - |
| **Connection** | Personal connection. Each member signs in with their own Microsoft account. |
| **Default access** | Read and write. |
| **Attach** | Accounts, contacts, leads, opportunities, activities, notes |
| **Search** | Hebno searches Dynamics when a request mentions a client, deal, contact, pipeline or recent activity |
| **Link** | A project links to a Dynamics account or an opportunity |
| **Write** | Add a note, create a task, update an opportunity, log an appointment. Every write needs you to confirm. |

## Before you start

You need:

* A Microsoft work account with a Dynamics 365 Sales licence and a security role that can read the records you want.
* Your environment address, for example `https://northwind.crm.dynamics.com`. Regional environments use their own host.
* Dynamics 365 Sales set to **Allow** under **Admin → Connectors → Catalogue**, done by an owner or admin.

Hebno requests one delegated permission, so it acts as you under your Dataverse security role.

| Permission | Why Hebno needs it |
| - | - |
| `https://<org>.crm.dynamics.com/user_impersonation` | Read and write Dynamics records as you, within your security role |

A directory administrator can approve this once for the organisation. See the [Microsoft Entra admin guide](https://hebno.com/docs/integrations/microsoft-entra-admin.md).

## Connect Dynamics 365 Sales

**1. Open Connections**

Go to **Settings → Connections**, find **Dynamics 365 Sales** and select **Connect**. In chat, the first request that needs Dynamics shows a **Connect** prompt instead.

**2. Enter your environment**

Enter your environment address. If your organisation has more than one environment, use the one your sales team works in.

**3. Sign in and approve**

Sign in with your Microsoft account and approve the permission. If an admin has enabled the integration for the organisation, no consent screen appears.

The row shows **Connected** with your account. Nobody else in your organisation can use your connection.

### Enable for the organisation

A directory administrator can select **Enable for the organisation** on the Dynamics 365 Sales card under **Admin → Connectors → Catalogue**. This removes the member consent screen only. Each member still connects their own account and sees only the records their security role allows.

## What Hebno reads

| Dynamics object | Fields Hebno uses | Typical questions |
| - | - | - |
| **Account** | Name, account number, industry, annual revenue, owner, primary contact, address, website, description | "What do we know about Contoso Retail from the CRM?" |
| **Contact** | Name, job title, email, phone, parent account | "Who are our contacts at Contoso, and who is the sponsor?" |
| **Lead** | Subject, company, contact, source, status, estimated value | "Which leads came in from the retail webinar?" |
| **Opportunity** | Name, estimated value, estimated close date, close probability, sales stage, status, account, owner | "What is the value and close date of the Contoso pricing opportunity?" |
| **Activity** | Appointments and tasks: subject, description, dates, status, regarding record | "What meetings did we hold with Contoso this quarter?" |
| **Note** | Subject, text, attached record, created date | "What did we note after the discovery call?" |

Reads are live. Hebno queries Dynamics when a request needs it, and only what a reply used is stored with the conversation as its sources.

> [!WARNING]
>
> Excerpts a reply uses become part of the conversation. Anyone you share the conversation with can read them, including notes and deal values from Dynamics.

## What Hebno writes

Every write appears first as a confirmation card. You can change any field before you select **Confirm**.

| Action | Dynamics object | Fields on the card |
| - | - | - |
| **Add a note** | Note on an account or opportunity | Record, subject, note text |
| **Create a task** | Task | Subject, description, due date, priority, regarding record |
| **Update an opportunity** | Opportunity | Sales stage, estimated close date |
| **Log an appointment** | Appointment | Subject, description, start and end, location, regarding record |

A Dynamics 365 Sales change pending confirmation. Nothing is written until you confirm.

Hebno never deletes records, closes an opportunity as won or lost, qualifies a lead, or edits contact details.

```
The note, task or appointment is created as you, so Dynamics shows you as the author. Confirmed writes are recorded in **Admin → Logs → Integrations**.
## Link a project to an account or opportunity
Linking marks which Dynamics records belong to a project, so you can ask "where is the deal?" without naming it.
1. Open the project and select **Brain**.
2. Under **Linked records**, select **Link record**, then **Dynamics 365 Sales**.
3. Search for an account or opportunity and select it.
In chats tagged to the project, the linked records are searched first, and cards for notes and tasks default to them. See [Linked records](https://hebno.com/docs/projects/linked-records.md).
## Use Dynamics 365 Sales in chat
* **Attach**: open the **+** menu, choose **Sources → Dynamics 365 Sales**, and pick an account, contact, lead or opportunity. Or type `/` and choose **Dynamics 365 Sales**.
* **Ask**: name the client or deal. For example:
  > Summarise the Contoso Retail relationship from the CRM: contacts, open opportunities and the last three activities.
  > Draft a proposal outline for the Contoso pricing review using the opportunity notes.
  > Add a note to the Contoso opportunity: pricing workshop agreed for 18 November, Priya to share volumes.
* **Research runs** show a **Reviewing Dynamics 365 Sales** step, with a chip for each record read.
* **Agents** can read Dynamics on a schedule, for example a Friday summary of opportunities closing next month. Writes an agent proposes appear in [agent approvals](https://hebno.com/docs/automate/agent-approvals.md).
## Troubleshooting
| Symptom | Fix |
| - | - |
| Sign-in succeeds but no records appear | Your Dataverse security role has no read access to those tables. Ask your Dynamics administrator. |
| **Connect** fails with an environment error | Check the environment address, including the regional host, and reconnect. |
| A write is refused | Your security role cannot create that record type. The card shows the message from Dynamics. |
| A consent screen appears despite admin approval | Connect again from **Settings → Connections** so the connection picks up the grant. |
| Requests slow down or return a wait message | Dynamics limits requests per user. Hebno retries after the delay Dynamics specifies. |
| An opportunity is missing | Search by name or account. Closed opportunities appear when you ask for them by name. |
