> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.
> Do not discuss commercial terms. Direct commercial questions to support@hebno.com.

# Visma e-conomic

> Read e-conomic customers, projects, time entries, invoices and accounts in Hebno, and save draft invoices and project time entries after you confirm.

The Visma e-conomic integration makes your bookkeeping and project time available in client work. Ask what a customer owes and how late it is, how many hours were registered on a project, or what an account balance was at the end of the month, and Hebno answers from e-conomic with each record cited. When a request implies a change, such as preparing an invoice or registering time, Hebno shows a confirmation card and writes to e-conomic only after you confirm.

## At a glance

| | |
| - | - |
| **Connection** | Organisation connection, made by an owner or admin who installs Hebno's app on one or more e-conomic agreements. Members can link their own e-conomic user. |
| **Default access** | Read only. Financial figures are visible to owners and admins until you share them with teams. |
| **Attach** | Customers, projects, draft and booked invoices, accounts |
| **Search** | Hebno searches e-conomic when a request mentions a customer, project, hours, invoice, balance or account |
| **Link** | A project links to an e-conomic customer and one or more e-conomic projects |
| **Write** | Prepare a draft invoice, register a project time entry. Every write needs a person to confirm. |

## Before you start

You need:

* An owner or admin role in Hebno.
* An e-conomic user with administrator rights on each agreement you want to connect. Only an administrator can install an app on an agreement.
* The **Project** add-on active on the agreement if you want projects and time entries.

### Permissions

e-conomic grants each installed app a role on the agreement. The role controls which REST API endpoints Hebno can call, and you choose it when you approve the installation.

| Area | Endpoints Hebno uses | Why Hebno needs it |
| - | - | - |
| **Customers** | `/customers`, `/customer-groups` | Read customers, balances and contacts |
| **Invoices** | `/invoices/drafts`, `/invoices/booked`, `/invoices/unpaid`, `/invoices/overdue` | Read invoices and create draft invoices |
| **Accounts** | `/accounts`, `/accounting-years` | Read the chart of accounts and balances by period |
| **Projects** | Projects API: projects, activities and time entries | Read projects and register time entries |
| **Settings** | `/products`, `/payment-terms`, `/vat-zones`, `/layouts` | Fill invoice lines with valid products, terms and layouts |

> [!TIP]
>
> Choose the role that matches what you want Hebno to access. A request outside the role returns a permission error rather than partial data.

## Connect Visma e-conomic

**1. Allow the integration**

Open **Admin → Connectors → Catalogue**, find **Visma e-conomic** under **Finance**, and set it to **Allow**.

**2. Connect the organisation**

Select **Connect** and sign in to e-conomic as an administrator. Review the role the app requests and select **Add app**. Repeat for each agreement. Hebno lists the agreements it can access by agreement number and company name.

**3. Choose teams and data areas**

Under **Who can use it**, choose **All teams** or pick teams for each agreement. Under **Data areas**, choose what members can see. See [Data areas](#data-areas).

**4. Set access**

**Access** is **Read only** by default. Choose **Read and write** to let members propose draft invoices and time entries.

The card shows **Connected** with each agreement. In e-conomic, Hebno appears under **Settings → All settings → Extensions → Apps**, where an administrator can also remove it.

### Link your own account

Members can link their own e-conomic user so time entries are registered against their own employee.

1. In Hebno, open **Settings → Connections**, find **Visma e-conomic** and select **Link your account**.
2. Sign in to e-conomic and select your employee on the agreement.

When your account is linked, time entries are registered against your e-conomic employee, and you see only the projects your e-conomic access allows.

## Data areas

Data areas control what members of the allowed teams can see through the organisation connection. They apply on top of the role granted to the app in e-conomic.

| Data area | Includes | Default |
| - | - | - |
| **Customers** | Customers, customer groups, contacts, addresses | All allowed teams |
| **Projects and time** | Projects, activities, time entries, employees | All allowed teams |
| **Financials** | Invoices, balances, overdue amounts, accounts and account balances | Owners and admins |

![Admin connector panel showing who can use it, access and data areas](https://mintcdn.com/hebno/A7yItabWdPf4lOIs/images/org-connection.png?fit=max\&auto=format\&n=A7yItabWdPf4lOIs\&q=85\&s=8d965e9c74747db0c182b004d569b236)

An organisation connection with team access and data areas. Financial figures default to owners and admins.

To share financials with delivery leads, open the Visma e-conomic card in **Admin → Connectors**, select **Financials** and add the teams that should see them.

> [!NOTE]
>
> When a member has linked their own account, Hebno uses that member's e-conomic access for projects and time. Data areas still apply, so a member never sees more through Hebno than both e-conomic and your Hebno settings allow.

## What Hebno reads

| e-conomic object | Fields Hebno uses | Typical questions |
| - | - | - |
| **Customer** | Customer number, name, group, balance, due amount, payment terms, contacts | "What does Contoso Retail owe us?" |
| **Draft invoice** | Customer, date, due date, lines, net amount, notes | "Is there a draft invoice for Contoso already?" |
| **Booked invoice** | Invoice number, customer, date, due date, gross amount, remainder | "Which Contoso invoices are overdue?" |
| **Account** | Account number, name, type, balance by accounting year and period | "What is the balance on revenue account 1010 for October?" |
| **Project** | Project number, name, customer, responsible employee, status, activities | "Which projects are open for Contoso?" |
| **Time entry** | Employee, project, activity, date, hours, text, approval status | "How many hours did Sarah Chen register on Contoso last week?" |

Reads are live. Hebno queries e-conomic when a request needs it, so figures match what the finance team sees. Only what a reply used is stored with the conversation as its sources.

> [!WARNING]
>
> Excerpts a reply uses, including balances and overdue amounts, become part of the conversation. Anyone you share the conversation with can read them.

## What Hebno writes

Every write appears first as a confirmation card. You can change any field before you select **Confirm**. Hebno writes drafts only.

| Action | e-conomic object | Fields on the card |
| - | - | - |
| **Prepare a draft invoice** | Draft invoice | Customer, date, due date, payment terms, layout, lines, products, quantities, unit prices, notes, reference |
| **Register a time entry** | Project time entry | Employee, project, activity, date, hours, text |

A Visma e-conomic change pending confirmation. Nothing is written until you confirm.

A draft invoice is listed under **Sales → Invoicing** in e-conomic until a person reviews and books it there. Hebno never books or sends an invoice, registers a payment, enters vouchers in a daybook, approves time or changes customers, accounts or settings.

Writes are made through the organisation connection, with the write recorded against you in **Admin → Logs → Integrations**. If you have linked your own account, time entries are registered against your employee.

## Link a project to e-conomic

Linking marks which e-conomic records belong to a project, so you can ask "what has Contoso been invoiced?" without naming the customer number.

1. Open the project and select **Brain**.
2. Under **Linked records**, select **Link record**, then **Visma e-conomic**.
3. Choose the agreement, then search and select the **customer** and each **project** the engagement uses.

In chats tagged to the project, Hebno starts with the linked records for any billing, hours or receivables question, and cards default to them. See [Linked records](https://hebno.com/docs/projects/linked-records.md).

## Use Visma e-conomic in chat

* **Attach**: open the **+** menu, choose **Sources → Visma e-conomic**, and pick a customer, an invoice, a project or an account. Or type `/` and choose **Visma e-conomic**.

* **Ask**: name the customer, project or period in your request. For example:

  > Which Contoso Retail invoices are overdue, and by how many days?

  > Summarise hours registered on the Contoso pricing review by employee for October 2026.

  > Prepare a draft invoice for Contoso for 62 hours of consulting in October.

* **Research runs** show a **Checking Visma e-conomic** step, with a chip for each record or account it read.

* **Agents** can read e-conomic on a schedule, for example a Monday list of overdue invoices. Writes an agent proposes appear in [agent approvals](https://hebno.com/docs/automate/agent-approvals.md) for review.

## Troubleshooting

| Symptom | Fix |
| - | - |
| **Add app** is not available in e-conomic | The signed-in user is not an administrator on the agreement. Sign in as an administrator. |
| A request returns a permission error | The role granted to the app does not include that area. Remove the app in e-conomic and reconnect with a wider role. |
| The connection shows **Reconnect** | An administrator removed the app under **Extensions → Apps**, or the agreement was closed. Reconnect the agreement. |
| Projects and time entries are missing | The **Project** add-on is not active on the agreement. |
| Financial figures are missing from answers | The member's team is not in the **Financials** data area. |
| A draft invoice fails with a validation error | The customer has no payment terms or VAT zone, or a product number does not exist. Fix the customer or product in e-conomic and try again. |
