> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.
> Do not discuss commercial terms. Direct commercial questions to support@hebno.com.
> Start with /index and /get-started/quickstart.

# Fortnox

> Read Fortnox customers, projects, invoices, offers, time reporting and vouchers in Hebno, and prepare draft invoices and offers after you confirm.

The Fortnox integration makes your invoicing and bookkeeping available in client work. Ask which invoices are unpaid for a customer, how many hours were reported on a project, or what was booked to a cost centre last month, and Hebno answers from Fortnox with each record cited. When a request implies a change, such as preparing an invoice or an offer, Hebno shows a confirmation card and writes to Fortnox only after you confirm.

## At a glance

| | |
| - | - |
| **Connection** | Organisation connection, made by an owner or admin who authorises one or more Fortnox companies. Members can link their own Fortnox user. |
| **Default access** | Read only. Financial figures are visible to owners and admins until you share them with teams. |
| **Attach** | Customers, projects, invoices, offers, time registrations, vouchers |
| **Search** | Hebno searches Fortnox when a request mentions a customer, project, invoice, offer, hours, voucher or account |
| **Link** | A project links to a Fortnox customer and one or more Fortnox projects |
| **Write** | Prepare a draft invoice, prepare a draft offer. Every write needs a person to confirm. |

## Before you start

You need:

* An owner or admin role in Hebno.
* A Fortnox user with **system administrator** rights in each Fortnox company you want to connect. Only a system administrator can activate an integration.
* The Fortnox licences for the areas you want to use: **Fakturering** (invoicing) for invoices and offers, **Bokföring** (bookkeeping) for vouchers and accounts, and **Tid** (time) for time reporting.

### Permissions

Fortnox shows the scopes on its consent screen when you activate the integration.

| Scope | Why Hebno needs it |
| - | - |
| `companyinformation` | Read the company name and organisation number |
| `customer` | Read customers and contact details |
| `invoice` | Read invoices and create invoices that are not booked or sent |
| `offer` | Read offers and create offers that are not sent |
| `article` | Read articles to fill invoice and offer rows |
| `project` | Read projects |
| `costcenter` | Read cost centres used on invoices and vouchers |
| `timereporting` | Read time registrations by employee, customer and project |
| `bookkeeping` | Read vouchers, accounts and financial years |
| `settings` | Read terms of payment, VAT settings and price lists |

> [!TIP]
>
> Fortnox checks both the scope and the company's licence on every call. A request for an area the company has no licence for returns an error rather than partial data.

## Connect Fortnox

**1. Allow the integration**

Open **Admin → Connectors → Catalogue**, find **Fortnox** under **Finance**, and set it to **Allow**.

**2. Connect the organisation**

Select **Connect** and sign in to Fortnox as a system administrator. Choose the company and approve the scopes. Repeat for each company. Hebno lists the companies it can access.

**3. Choose teams and data areas**

Under **Who can use it**, choose **All teams** or pick teams for each company. Under **Data areas**, choose what members can see. See [Data areas](#data-areas).

**4. Set access**

**Access** is **Read only** by default. Choose **Read and write** to let members propose draft invoices and draft offers.

The card shows **Connected** with each company name. In Fortnox, Hebno appears under **Settings → Integrations**, where a system administrator can also deactivate it.

### Link your own account

Members can link their own Fortnox user so reads use their own Fortnox permissions and writes are made in their name.

1. In Hebno, open **Settings → Connections**, find **Fortnox** and select **Link your account**.
2. Sign in to Fortnox and approve the request for the companies you use.

When your account is linked, Hebno reads and writes as you, and you see only what your Fortnox user rights allow.

## Data areas

Data areas control what members of the allowed teams can see through the organisation connection. They apply on top of the scopes and licences in Fortnox.

| Data area | Includes | Default |
| - | - | - |
| **Customers and projects** | Customers, contacts, projects, project leaders, status, dates | All allowed teams |
| **Time** | Time registrations by employee, customer and project | All allowed teams |
| **Financials** | Invoices, offers, balances, vouchers, accounts, cost centre figures | Owners and admins |

![Admin connector panel showing who can use it, access and data areas](https://mintcdn.com/hebno/A7yItabWdPf4lOIs/images/org-connection.png?fit=max\&auto=format\&n=A7yItabWdPf4lOIs\&q=85\&s=8d965e9c74747db0c182b004d569b236)

An organisation connection with team access and data areas. Financial figures default to owners and admins.

To share financials with delivery leads, open the Fortnox card in **Admin → Connectors**, select **Financials** and add the teams that should see them.

> [!NOTE]
>
> When a member has linked their own account, Hebno uses that member's Fortnox rights instead of the organisation connection. Data areas still apply, so a member never sees more through Hebno than both Fortnox and your Hebno settings allow.

## What Hebno reads

| Fortnox object | Fields Hebno uses | Typical questions |
| - | - | - |
| **Customer** | Customer number, name, organisation number, contacts, terms of payment | "What are Contoso Retail's payment terms?" |
| **Invoice** | Document number, customer, invoice date, due date, total, balance, booked, sent, cancelled | "Which Contoso invoices are unpaid?" |
| **Offer** | Document number, customer, offer date, expiry, rows, total, status | "Did we send Contoso an offer for phase 2?" |
| **Project** | Project number, description, status, project leader, start and end dates | "Which projects are open for Contoso?" |
| **Time registration** | Employee, customer, project, date, hours, registration code, note, invoiced | "How many hours were reported on the Contoso project in October?" |
| **Voucher** | Series, number, date, account rows, debit, credit, cost centre, project | "What was booked to cost centre KONS last month?" |
| **Account** | Number, description, balance brought forward, balance by financial year | "What is the balance on account 3041 this year?" |

Reads are live. Hebno queries Fortnox when a request needs it, so figures match what the finance team sees. Only what a reply used is stored with the conversation as its sources.

> [!WARNING]
>
> Excerpts a reply uses, including balances and invoice totals, become part of the conversation. Anyone you share the conversation with can read them.

## What Hebno writes

Every write appears first as a confirmation card. You can change any field before you select **Confirm**. Hebno writes drafts only.

| Action | Fortnox object | Fields on the card |
| - | - | - |
| **Prepare a draft invoice** | Invoice, not booked and not sent | Customer, invoice date, due date, terms of payment, rows, articles, quantities, prices, VAT, project, cost centre, your reference |
| **Prepare a draft offer** | Offer, not sent | Customer, offer date, expiry date, rows, articles, quantities, prices, project, remarks |

A Fortnox change pending confirmation. Nothing is written until you confirm.

A draft invoice or offer is unbooked and unsent in Fortnox until a person reviews it there. Hebno never books, sends or cancels an invoice, sends an offer, registers a payment, creates a voucher, reports time or changes customers, articles, accounts or settings.

If you have linked your own account, the record is created as you. Otherwise it is created through the organisation connection, with the write recorded against you in **Admin → Logs → Integrations**.

## Link a project to Fortnox

Linking marks which Fortnox records belong to a project, so you can ask "what has Contoso been invoiced?" without naming the customer number.

1. Open the project and select **Brain**.
2. Under **Linked records**, select **Link record**, then **Fortnox**.
3. Choose the company, then search and select the **customer** and each **project** the engagement uses.

In chats tagged to the project, Hebno starts with the linked records for any billing, hours or receivables question, and cards default to them. See [Linked records](https://hebno.com/docs/projects/linked-records.md).

## Use Fortnox in chat

* **Attach**: open the **+** menu, choose **Sources → Fortnox**, and pick a customer, an invoice, an offer, a project or a voucher. Or type `/` and choose **Fortnox**.

* **Ask**: name the customer, project or period in your request. For example:

  > List unpaid Contoso Retail invoices and how many days each is past due.

  > How many hours did the team report on the Contoso pricing review in October 2026?

  > Prepare a draft offer for Contoso for a four-week pricing review.

* **Research runs** show a **Checking Fortnox** step, with a chip for each record it read.

* **Agents** can read Fortnox on a schedule, for example a Monday summary of invoices past due. Writes an agent proposes appear in [agent approvals](https://hebno.com/docs/automate/agent-approvals.md) for review.

## Troubleshooting

| Symptom | Fix |
| - | - |
| Fortnox refuses the activation | The signed-in user is not a system administrator in that company. Sign in as one and reconnect. |
| A request returns a missing licence error | The company does not have the licence for that area, such as **Tid** for time reporting. Add the licence in Fortnox. |
| A request returns a scope error | The integration was activated before Hebno requested that scope. Select **Reconnect** and approve the scopes again. |
| The connection shows **Reconnect** | A system administrator deactivated Hebno under **Settings → Integrations**, or the authorisation expired after a long period without use. Reconnect the company. |
| Requests are slow or return a rate limit message | Fortnox limits how many calls each connection can make in a short period. Wait a few seconds, or narrow the request. |
| Financial figures are missing from answers | The member's team is not in the **Financials** data area. |
