> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.

# Google Calendar

> Read your events, find free time with colleagues and send calendar invitations with a Meet link from a confirmation card.

The Google Calendar integration lets Hebno answer questions from your diary and book the next meeting. Ask when you last met Contoso, who is free for a workshop on Thursday, or have Hebno draft an invitation. Hebno reads with your own Google permissions and sends an invitation only when you select **Send** on the card.

## At a glance

| | |
| - | - |
| **Connection** | Personal. Each member connects their own Google account. |
| **Default access** | Read and write. Sending invitations is a second grant, **Allow invitations**, that you approve yourself. |
| **Attach** | An event from your calendar |
| **Search** | Hebno searches your events and colleagues' free and busy times when a request mentions a client, person, domain or meeting time |
| **Link** | Not applicable. Calendar does not link to projects. |
| **Write** | Send a calendar invitation with a Google Meet link. Every send needs you to select **Send**. |

## Before you start

You need a Google account with Google Calendar. Free and busy times are available for colleagues in your Google Workspace domain who share availability with you.

### Permissions

| Scope | Why Hebno needs it |
| - | - |
| `https://www.googleapis.com/auth/calendar.readonly` | Read your events and the calendars you can open. |
| `https://www.googleapis.com/auth/calendar.freebusy` | Check when colleagues are free or busy without reading their event details. |
| `https://www.googleapis.com/auth/directory.readonly` | Match a name such as "Priya" to a colleague's email address. |
| `https://www.googleapis.com/auth/calendar.events` | Create the event and send invitations. Granted only when you select **Allow invitations**. |

## Connect Google Calendar

**1. Open Connections**

Go to **Settings → Connections** and find **Google Calendar** under **Calendar**. Or type `/` in the composer, choose **Google Calendar** and select **Connect**.

**2. Approve read access**

Select **Connect** (or **Grant access** if you already connected another Google product), sign in to Google and approve reading your calendar.

**3. Allow invitations, if you want them**

Select **Allow invitations** on the Google Calendar row and approve the event permission. Without it, Hebno can suggest times and draft an invitation but cannot send it.

### Enable for the organisation

An owner or admin can select **Enable for the organisation** on the **Google Calendar** card under **Admin → Connectors → Catalogue**. A Workspace super admin approves the read permissions for the domain, and members connect without a Google consent screen. Invitations remain a personal grant. See [Google Workspace admin](https://hebno.com/docs/integrations/google-workspace-admin.md).

## What Hebno reads

| Calendar object | Fields Hebno uses | Typical questions |
| - | - | - |
| **Event** | Title, start and end, organiser, location, Meet link, attendees, description | "When did we last meet the Contoso steering committee?" |
| **Calendars you can open** | Your primary calendar and calendars colleagues have shared with you | "What is on the delivery team's calendar next week?" |
| **Free and busy** | Busy blocks for colleagues in your organisation, without event details | "When are Priya, Marcus and I all free for 90 minutes?" |
| **Directory** | Colleague name and email address | "Invite Marcus from the delivery team." |

The picker shows upcoming events for the next 90 days. Searching spans the past year and the next 90 days. When you attach an event, it becomes a Markdown file with the title, time (UTC), organiser, location, link, attendees and description. Hebno searches your calendar by client, company, domain or person across the last three years by default, and you can name a date range.

Free-time suggestions need colleagues in your own Workspace domain. Hebno cannot read the availability of a client outside it, and says so. Suggestions fall within 08:00 to 18:00, from 5 to 480 minutes long, and only offer slots that suit every attendee. Nothing is booked until you agree and an invitation is sent.

Reads are live. Hebno queries Calendar when a request needs it, and only what a reply used is stored with the conversation as its sources.

> [!WARNING]
>
> Event details a reply uses become part of the conversation, including attendees and descriptions. Anyone you share the conversation with can read them.

## What Hebno writes

Hebno shows a card titled **Calendar invitation**. Edit any field, then select **Send**. **Dismiss** discards it.

| Action | Calendar object | Fields on the card |
| - | - | - |
| **Send an invitation** | Event on your primary calendar, with a Google Meet link | Attendees, Subject, Start, End, Message |

![Confirmation card for Google Calendar with editable fields](https://mintcdn.com/hebno/A7yItabWdPf4lOIs/images/card-google-calendar.png?fit=max\&auto=format\&n=A7yItabWdPf4lOIs\&q=85\&s=f533984962fd9c74c34c6249866dd2bc)

A Google Calendar change pending confirmation. Nothing is written until you confirm.

A time with no length becomes 30 minutes. Hebno adds a Google Meet link, and Google sends the invitation to every attendee. Attendees are required guests. If you ask for a free slot without naming a time, Hebno finds suggestions first, then drafts the card.

Hebno never changes, moves or cancels an existing event, and never sends an invitation on its own.

## Use Google Calendar in chat

* **Attach**: open the **+** menu, choose **Sources → Google Calendar**, and pick an event. Or type `/` and choose **Google Calendar**.

* **Ask**: name the client, person or time. For example:

  > How many times have we met Contoso this year, and who attended?

  > Find 90 minutes this week when Priya, Marcus and I are free, and draft an invitation for the pricing workshop.

  > Invite the delivery team to a Contoso readout rehearsal on Thursday at 10:00.

* **Research runs** show a **Checking Google Calendar** step, with a chip for each event.

* **Agents** can read your calendar on a schedule, for example a Monday brief on client meetings. An agent cannot send. Any invitation it proposes appears in [agent approvals](https://hebno.com/docs/automate/agent-approvals.md).

## Troubleshooting

| Symptom | Fix |
| - | - |
| **Allow invitations** appears on the row | Calendar is connected for reading only. Select **Allow invitations** to approve the event permission. |
| **Google Calendar can read events but cannot send invitations yet** | Select **Allow invitations**, then select **Send** again. |
| No free slot found | Widen the days or shorten the meeting. Every attendee must be free. |
| A client's availability is not found | Availability is visible only inside your Workspace domain. Propose times and let the client choose. |
| A name matches more than one person | You are asked which one. Reply with the email address. |
| **Unavailable** on the row | An admin blocked the integration. Ask an owner or admin to allow it under **Admin → Connectors → Catalogue**. |
