> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.
> Do not discuss commercial terms. Direct commercial questions to support@hebno.com.
> Start with /index and /get-started/quickstart.

# Google Meet

> Read Meet conference records, transcripts, Gemini notes and recording details so client calls become cited input for your work.

With the Google Meet integration, client calls become material you can work from. Ask what Contoso agreed in Tuesday's workshop, pull the action items from the Gemini notes, or draft the follow-up email from the transcript. Hebno reads Meet with your own Google permissions, cites the meeting it used, and never writes to Meet.

## At a glance

| | |
| - | - |
| **Connection** | Personal. Each member connects their own Google account. |
| **Default access** | Read only. Meet has no write actions. |
| **Attach** | A meeting's details, transcript, Gemini notes or full record |
| **Search** | Hebno searches your meetings when a request mentions a client, company, domain or person |
| **Link** | Not applicable. Meet does not link to projects. |
| **Write** | None |

## Before you start

You need a Google account that organised or joined the meeting. Transcripts and Gemini notes exist only when the host turned them on during the meeting and the Workspace allows them. Personal Google accounts may not have transcripts. A super admin controls these settings. See [Google Workspace admin](https://hebno.com/docs/integrations/google-workspace-admin.md#meet-transcripts-and-notes).

### Permissions

| Scope | Why Hebno needs it |
| - | - |
| `https://www.googleapis.com/auth/meetings.space.readonly` | Read conference records, participants, transcripts, transcript entries, recording details and Gemini notes for meetings you organised or joined. |
| `https://www.googleapis.com/auth/drive.meet.readonly` | Open the Google Docs and files Meet saves to Drive, such as transcripts and notes. Narrower than full Drive access. |
| `https://www.googleapis.com/auth/calendar.readonly` | Find the meetings on your calendar that have a Meet link. |

## Connect Google Meet

**1. Open Connections**

Go to **Settings → Connections** and find **Google Meet** under **Communication**. Or type `/` in the composer, choose **Google Meet** and select **Connect**.

**2. Approve access**

Select **Connect** (or **Grant access** if you already connected another Google product), sign in to Google and approve reading your meetings.

### Enable for the organisation

Meet permissions are sensitive, so a Workspace super admin often approves them for the domain. An owner or admin can select **Enable for the organisation** on the **Google Meet** card under **Admin → Connectors → Catalogue**. Members then connect without a Google consent screen, and still see only meetings they organised or joined. See [Google Workspace admin](https://hebno.com/docs/integrations/google-workspace-admin.md).

## What Hebno reads

| Meet object | Fields Hebno uses | Typical questions |
| - | - | - |
| **Conference record** | Title, organiser, start and end, participants, join link | "Which Contoso calls did I join in October?" |
| **Transcript** | Speaker, time and text of each utterance, as `[mm:ss] Speaker: text` lines | "What did Priya say about the delivery date?" |
| **Gemini notes** | Meeting summary, decisions and action items with owners, read from the Google Doc in the organiser's Drive | "List the action items from the workshop." |
| **Recording details** | Whether a recording exists, its state, and a link to the file in Drive. Hebno does not read the audio or video. | "Is there a recording of the kickoff?" |

Hebno reads the most recent meetings that appear on your calendar with a Meet link. A meeting opens as up to four files: **Meeting details**, **Gemini notes**, **Transcript** and **Full meeting record**, which combines the others. Consecutive turns by one speaker are merged in transcripts. For recurring meetings, Hebno uses only the artefacts close to the occurrence you picked.

Hebno searches by client, company, email domain or person, ranks meetings by how many of those terms appear in the title, organiser and attendees, and returns up to three. For each meeting it prefers Gemini notes (already a summary), then a transcript excerpt, then meeting details, and says which it used.

> [!NOTE]
>
> Google deletes transcript entries 30 days after a conference ends. Attach or ask about a transcript within 30 days. Gemini notes are stored in Drive under your Drive retention rules.

Reads are live. Hebno queries Meet when a request needs it. Only what a reply used is stored with the conversation as its sources.

> [!WARNING]
>
> Transcript and notes excerpts that a reply uses become part of the conversation. Anyone you share the conversation with can read them, including remarks from other attendees.

## What Hebno writes

Hebno does not write to Google Meet. It does not start, join, record, transcribe or end meetings. To schedule a follow-up with a Meet link, use [Google Calendar](https://hebno.com/docs/integrations/google-calendar.md).

## Use Google Meet in chat

* **Attach**: open the **+** menu, choose **Sources → Google Meet**, pick a meeting, then pick the transcript, notes or full record. Or type `/` and choose **Google Meet**.

* **Ask**: name the client, person or date. For example:

  > Summarise the Contoso stakeholder workshop and list every decision with who made it.

  > Pull the action items from Tuesday's Contoso call and draft the follow-up email.

  > What objections did Contoso raise about the timeline across our last three calls?

* **Research runs** show a **Reviewing Google Meet** step, with a chip for each meeting and the source used.

* **Agents** can read recent meetings on a schedule, for example a Monday digest of last week's client calls with action items. Writes an agent proposes elsewhere appear in [agent approvals](https://hebno.com/docs/automate/agent-approvals.md) for review.

## Troubleshooting

| Symptom | Fix |
| - | - |
| **No transcript** | The host did not turn on transcription during the meeting. Turn it on from the Meet **Activities** panel in future meetings. |
| **No Gemini notes** | Notes need **Take notes for me** turned on in the meeting, and a Workspace edition and admin setting that allow it. |
| Transcript entries are missing | Google deletes entries 30 days after the meeting ends. The notes document may remain in Drive. |
| A meeting does not appear | Hebno finds meetings on your calendar with a Meet link that you organised or joined. Check your calendar. |
| **Your organisation has turned off transcript access for apps** | A super admin restricts access. Ask them to trust Hebno. See [Google Workspace admin](https://hebno.com/docs/integrations/google-workspace-admin.md). |
| **Unavailable** on the row | An admin blocked the integration. Ask an owner or admin to allow it under **Admin → Connectors → Catalogue**. |
