> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.
> Do not discuss commercial terms. Direct commercial questions to support@hebno.com.

# Guru

> Search Guru collections and cards with their verification status in Hebno, and create a draft card after you confirm.

The Guru integration makes your firm's verified knowledge available in client work. Ask what the approved pricing review methodology says about sample size, which card covers the data request checklist, or whether a card is still verified, and Hebno answers from Guru with each card and its verification status cited. When you want a result kept in Guru, Hebno drafts the card and creates it only after you confirm.

## At a glance

| | |
| - | - |
| **Connection** | Personal connection. Each member connects with their own Guru user token. |
| **Default access** | Read and write. |
| **Attach** | Cards, folders and collections you can open |
| **Search** | Hebno searches Guru when a request mentions a method, a policy, a template, an internal how-to or a collection |
| **Link** | A project links to one or more Guru collections or folders |
| **Write** | Create a draft card. Every draft needs a person to confirm, and an author publishes it in Guru. |

## Before you start

You need:

* A Guru account with access to the collections you want to use. Hebno reads only the collections and cards your Guru groups allow.
* **Author** or higher permission on a collection where you want to create drafts.
* An allowed integration. An owner or admin sets **Guru** to **Allow** under **Admin → Connectors → Catalogue**.
* A Guru user token. In Guru, open **Apps & Integrations → API Access**, select **Generate User Token** and copy it.

Hebno calls the Guru API with your email address and user token, so every request runs with your own Guru permissions:

| Guru permission | What it means for Hebno |
| - | - |
| **Read Only** on a collection | Hebno reads its cards and folders |
| **Author** on a collection | Hebno can also create draft cards in it after you confirm |
| **Collection Owner** or **Admin** | No extra access through Hebno. Hebno never publishes, verifies, archives or deletes cards. |

## Connect Guru

**1. Check the integration is allowed**

An owner or admin controls this under **Admin → Connectors → Catalogue**. If **Guru** shows **Blocked**, ask an admin to set it to **Allow**.

**2. Create a token in Guru**

In Guru, open **Apps & Integrations → API Access**, select **Generate User Token**, name it Hebno and copy the token.

**3. Connect in Hebno**

Open **Settings → Connections**, find **Guru** under **Knowledge**, select **Connect**, enter your Guru email and paste the token. The row shows **Connected** with your Guru team name.

Hebno stores the token encrypted at rest. To revoke it, delete it in Guru under **API Access**, or select **Disconnect** in Hebno. Admins can revoke any member's connection from **Admin → Connectors → Connections**.

## What Hebno reads

The collections your organisation selects are stored in the [knowledge index](https://hebno.com/docs/get-started/how-hebno-works.md) and searched by meaning, with Guru permissions checked at search and again at read. Opening a specific card reads it as it is now, with your token. Only the excerpts a reply used are stored with the conversation as its sources.

| Guru object | Fields Hebno uses | Typical questions |
| - | - | - |
| **Collection** | Name, description, folders, card count | "Which Guru collections cover delivery methods?" |
| **Folder** | Name, parent collection, cards | "What is in the Pricing reviews folder?" |
| **Card** | Title, content as text, owner, tags, collection, folder, last modified, link | "What does our pricing review method say about test store selection?" |
| **Verification** | Verification state (**Trusted** or **Needs verification**), verifier, last verified date, verification interval | "Is the data request checklist card still verified?" |
| **Tag** | Tag names and categories | "Show cards tagged retail and pricing." |

Each source shows the card's verification state. When a card is marked **Needs verification**, the reply says so and names the verifier, so you can check with them before you rely on it.

> [!WARNING]
>
> Excerpts a reply uses become part of the conversation. Anyone you share the conversation with can read them, even if they cannot open the collection in Guru.

## What Hebno writes

Every draft appears first as a confirmation card. You can change any field before you select **Confirm**.

| Action | Guru object | Fields on the card |
| - | - | - |
| **Create a draft card** | Draft | Collection, folder, title, card content, tags |

![Confirmation card for Guru with editable fields](https://mintcdn.com/hebno/JIjAXWoGoB3PLSSb/images/card-guru.png?fit=max\&auto=format\&n=JIjAXWoGoB3PLSSb\&q=85\&s=2c562119d072b9780361e155dea9ed1a)

A Guru change pending confirmation. Nothing is written until you confirm.

The draft is saved under your Guru account, in **My Drafts**. You or another author reviews it in Guru, sets the verifier and interval, and publishes it to the collection. Hebno never publishes, verifies, edits, archives or deletes cards, and never changes collection permissions.

## Link a project to a collection

Linking marks which Guru collections or folders belong to an engagement, so you can ask "what is our method?" without naming the collection.

1. Open the project and select **Brain**.
2. Under **Linked sources**, select **Link source**, then **Guru**.
3. Search by collection or folder name and select **Link**.

In chats tagged to the project, Hebno searches the linked collections first, and draft cards default to them. Each person still reads cards with their own Guru access. See [Linked records](https://hebno.com/docs/projects/linked-records.md).

## Use Guru in chat

* **Attach**: open the **+** menu, choose **Sources → Guru**, and pick a card, a folder or a collection. Or type `/` and choose **Guru**.

* **Ask**: name the method, policy or collection in your request. For example:

  > What does our pricing review method say about choosing test and control stores? Cite only verified cards.

  > Build a kickoff agenda for Contoso Retail from the engagement kickoff and data request cards.

  > Save this interview guide as a draft card in the Pricing reviews folder, tagged retail.

* **Research runs** show a **Reviewing Guru** step, with a chip for each card Hebno read and its verification state.

* **Agents** can read Guru on a schedule. Drafts an agent proposes appear in [agent approvals](https://hebno.com/docs/automate/agent-approvals.md) for review.

## Troubleshooting

| Symptom | Fix |
| - | - |
| **Connect** fails with an authentication error | The email does not match the token's user, or the token was deleted. Generate a new user token and connect again. |
| A collection you expect is missing | None of your Guru groups have access to it. Ask a collection owner to add your group. |
| A draft card fails with a permission message | You have **Read Only** permission on that collection. Ask for **Author** access, or choose another collection. |
| An answer cites a card marked **Needs verification** | The card's verification interval has passed. Ask the verifier to review it in Guru. |
| A card you expect is not found | Archived cards are not searched. Restore the card in Guru, or ask about it by title. |
| Requests fail with a rate limit message | Guru limits API requests per minute. Wait and retry. |
