> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.
> Do not discuss commercial terms. Direct commercial questions to support@hebno.com.
> Start with /index and /get-started/quickstart.

# HiBob

> Read the HiBob people directory, departments, managers and who is out in Hebno through a read-only service user, so staffing starts from live HR data.

The HiBob integration makes your people directory available in client work. Ask who a consultant reports to, who is in a department, or who is out the week of a client workshop, and Hebno answers from Bob with each employee record cited. The integration reads only. Hebno never writes to HiBob and never reads salary, bank details, national identifiers or performance data.

## At a glance

| | |
| - | - |
| **Connection** | Organisation connection, made by an owner or admin with a HiBob service user. |
| **Default access** | Read only. Members see directory and time off fields in the data areas their team is allowed. |
| **Attach** | Employee profiles, a department, who is out for a period |
| **Search** | Hebno searches HiBob when a request mentions a colleague, department, manager, site or time off |
| **Link** | A project links to the HiBob employees on its team |
| **Write** | None. Hebno reads only. |

## Before you start

You need:

* An owner or admin role in Hebno.
* A HiBob admin who can create service users and permission groups.

Set up the service user in Bob:

1. Open **Settings → Integrations → Automation → Service users** and select **Create service user**. Name it, for example **Hebno**, and copy the service user ID and token. The token appears once.
2. Open **Settings → Account → Permission groups** and create a group for the service user, for example **Hebno integration**. Add the service user as its only member.
3. Under **People's data**, give the group **View** access to the **Basic info** and **Work** categories for all employees. Leave **Payroll**, **Compensation**, **Bank**, **Identification** and **Performance** without access.
4. Under **Time off**, give the group **View** access to who is out and approved requests for all employees.

HiBob has no scopes. The service user can read only what its permission group allows, so the group is the boundary for what Hebno can read.

> [!TIP]
>
> Hebno requests only the fields listed on this page in each people search. Even if the permission group allows more, Hebno never requests payroll, compensation, bank, identification or performance fields.

## Connect HiBob

**1. Allow the integration**

Open **Admin → Connectors → Catalogue**, find **HiBob** under **People and HR**, and set it to **Allow**.

**2. Connect the organisation**

Select **Connect**, enter the service user ID and token, then select **Test connection**. Hebno checks that it can search people and read who is out.

**3. Choose teams and data areas**

Under **Who can use it**, choose **All teams** or pick teams. Under **Data areas**, choose what members can see. See [Data areas](#data-areas).

The card shows **Connected** with the HiBob company name. **Access** is fixed to **Read only**. Members do not link their own HiBob accounts: every read goes through the service user and your data areas.

## Data areas

Data areas control what members of the allowed teams can see through the organisation connection. They apply on top of the service user's permission group in HiBob.

| Data area | Includes | Default |
| - | - | - |
| **Directory** | Display names, job titles, work email, site, employment status | All allowed teams |
| **Organisation** | Departments, divisions, managers and direct reports | All allowed teams |
| **Time off** | Who is out, dates and policy type for approved requests | All allowed teams |

An organisation connection with team access and data areas. Financial figures default to owners and admins.

To keep time off visible to resource managers only, open the HiBob card in **Admin → Connectors**, select **Time off** and choose the teams that should see it.

## What Hebno reads

| HiBob object | Fields Hebno uses | Typical questions |
| - | - | - |
| **Employee** (basic info) | Display name, first and surname, work email, avatar | "What is Sarah Chen's work email?" |
| **Employee** (work) | Title, department, division, site, reports to, start date, status | "Who does Priya Nair report to?" |
| **Department** | Name, members, parent | "Who is in the retail practice?" |
| **Who's out** | Employee, policy type, start and end dates, part day | "Who is out in the week of 16 November?" |
| **Time off request** | Employee, policy type, dates, duration, status (approved only) | "Is Sarah away before the Contoso readout?" |

A HiBob employee profile attached to a chat.

Reads are live. Hebno queries HiBob when a request needs it and does not copy the directory into Hebno. Only what a reply used is stored with the conversation as its sources. Hebno never reads salary, payroll, bank details, identification numbers, performance reviews, time off reasons or employee documents.

> [!WARNING]
>
> Excerpts a reply uses become part of the conversation. Anyone you share the conversation with can read them, including who is out and when.

## Hebno reads only

Hebno does not write to HiBob. It does not create or approve time off requests, edit employee records, or change departments, managers or sites. To book a consultant once you know they are free, use a resourcing integration such as [Float](https://hebno.com/docs/integrations/float.md).

  You->>Hebno: Who on the Contoso team is out before the readout?
  Hebno->>HiBob: Read who's out from 2 to 24 November
  HiBob-->>Hebno: Priya Nair out 12 to 13 November
  Hebno->>HiBob: Search people for the linked team
  HiBob-->>Hebno: Titles, departments and managers
  Hebno-->>You: Answer with the employee records cited
```
## Link a project to its team
Linking marks which HiBob employees work on a project, so you can ask "who on the team is away?" without naming everyone.
1. Open the project and select **Brain**.
2. Under **Linked records**, select **Link record**, then **HiBob**.
3. Search by name or department, and select each employee. You can link a whole department instead.
In chats tagged to the project, Hebno starts with the linked people for any availability or reporting line question. See [Linked records](https://hebno.com/docs/projects/linked-records.md).
## Use HiBob in chat
* **Attach**: open the **+** menu, choose **Sources → HiBob**, and pick an employee, a department or a who's out period. Or type `/` and choose **HiBob**.
* **Ask**: name the person, team or period in your request. For example:
  > Who in the pricing team is out between 16 and 20 November?
  > List the Contoso project team with titles, sites and managers for the kickoff deck.
  > Who reports to Sarah Chen, and is anyone away next week?
* **Research runs** show a **Checking HiBob** step, with a chip for each employee and who's out period it read.
* **Agents** can read HiBob on a schedule, for example a Monday list of who is out on each active project this week.
## Troubleshooting
| Symptom | Fix |
| - | - |
| **Test connection** fails with `401 Unauthorized` | The service user ID or token is wrong, or the token was reset. Reset the token in **Service users** and reconnect. |
| Every field is empty | The service user is not in a permission group, or the group has no **People's data** access. Add it in **Permission groups**. |
| A field is empty in answers | The permission group cannot view that field's category. Change the group in HiBob. |
| An employee is missing | The employee is inactive, or the permission group is limited to a population that excludes them. |
| Time off is missing | The permission group has no **Time off** view access, or the member's team is not in the **Time off** data area. |
| Requests fail with `429 Too Many Requests` | HiBob limits requests per endpoint. Wait a moment and retry. |
