> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.
> Do not discuss commercial terms. Direct commercial questions to support@hebno.com.
> Start with /index and /get-started/quickstart.

# iManage Work

> Search iManage Work libraries, workspaces and documents with your own security in Hebno, and save deliverables as new documents or versions after you confirm.

The iManage Work integration makes your firm's document management system available in client work. Ask which documents in the Contoso Retail matter workspace cover the pricing terms, compare the latest version of an engagement letter with the signed one, or file a finished memo back to the matter. Hebno reads with your own iManage security, including ethical walls, and saves a document only after you confirm.

## At a glance

| | |
| - | - |
| **Connection** | Personal connection. An iManage administrator registers Hebno once, then each member connects their own iManage account. |
| **Default access** | Read and write. |
| **Attach** | Documents and specific versions from workspaces and folders you can open. Picking a workspace or folder attaches a reference, not its contents. |
| **Search** | Hebno searches iManage by document name, profile fields and full text when a request mentions a client, matter, document or author |
| **Link** | A project links to one or more iManage workspaces |
| **Write** | Save a deliverable as a new document, or as a new version of an existing document. Every write needs a person to confirm. |

## Before you start

You need:

* An iManage Work user with access to the libraries and workspaces you want to use.
* Hebno registered as an application in your iManage environment. On iManage Cloud, an iManage administrator adds it under **Control Center → Applications** and enables it for your libraries. For an on-premises server, the administrator registers it in the same place on your own server and shares the server address.
* An owner or admin in Hebno who enters your iManage address once, for example `https://cloudimanage.com` or `https://dms.yourfirm.com`, under **Admin → Connectors → Catalogue → iManage Work**, and sets the integration to **Allow**.

Hebno uses OAuth 2.0 with the iManage Work API. Every request runs as the signed-in member, so iManage applies that member's document security on each call:

| iManage control | How Hebno respects it |
| - | - |
| **Default security** (public, view, private) | Hebno reads only documents your security level allows |
| **Access control lists** | User and group rights on a document, folder or workspace apply to every search and read |
| **Ethical walls** from iManage Security Policy Manager | Documents behind a wall that excludes you never appear in search results, attachments or answers |
| **Check-out** | Hebno does not save a new version over a document another person has checked out |

## Connect iManage Work

**1. Register Hebno in iManage**

An iManage administrator registers Hebno in **Control Center → Applications** with the redirect address shown on the **iManage Work** card in **Admin → Connectors → Catalogue**, and copies the client ID back to that card.

**2. Allow the integration**

An owner or admin enters the iManage address, pastes the client ID and sets **iManage Work** to **Allow**. Hebno checks that it can reach the server.

**3. Connect your account**

Each member opens **Settings → Connections**, finds **iManage Work** under **Files** and selects **Connect**. Sign in to iManage with your firm credentials and approve access. The row shows **Connected** with your iManage user ID.

Select **Reconnect** to refresh the session, or **Disconnect** to remove it. Admins can revoke any member's connection from **Admin → Connectors → Connections**.

## What Hebno reads

The libraries and workspaces your organisation selects are stored in the [knowledge index](https://hebno.com/docs/get-started/how-hebno-works.md) and searched by meaning. iManage security, including ethical walls, is checked at search and again at read, so a document that becomes restricted to you disappears from results straight away. Attaching a specific document reads it as it is now, with your account. Only the excerpts a reply used are stored with the conversation as its sources.

| iManage object | What Hebno uses | Typical questions |
| - | - | - |
| **Library** | Name and the workspaces you can open in it | "Which library contains the Contoso work?" |
| **Workspace** | Name, client and matter numbers, owner, folders | "What is in the Contoso Retail pricing review workspace?" |
| **Folder** | Name, parent, documents, search folder criteria | "List the documents in the Correspondence folder." |
| **Document** | Document number, version, name, author, operator, class, type, last edited, and the text of Word, PowerPoint, Excel, PDF, email and text files | "Which documents in the matter mention the price-match clause?" |
| **Version** | Version number, comment, author and date of each version | "What changed between version 3 and version 4 of the engagement letter?" |
| **Matter** | Client and matter fields as your firm maps them, for example custom1 and custom2 | "Show me every workspace for Contoso Retail matters opened this year." |

Documents larger than 25 MB, images and audio appear in lists with their profile but cannot be read as text, so you are prompted to open them in iManage.

> [!WARNING]
>
> Excerpts a reply uses become part of the conversation. Anyone you share the conversation with can read them, even if iManage security or an ethical wall would stop them opening the document.

## What Hebno writes

Every write appears first as a confirmation card. You can change any field before you select **Confirm**.

| Action | iManage object | Fields on the card |
| - | - | - |
| **Save as a new document** | Document in a workspace folder | Library, workspace, folder, name, class, type, author, format (Word, PowerPoint, Excel, PDF or Markdown) |
| **Save as a new version** | Version of an existing document | Document number, version comment, format |

An iManage Work change pending confirmation. Nothing is written until you confirm.

New documents inherit the default security of the folder they are saved to, and the document is profiled with you as operator. Hebno never deletes documents or versions, changes security or access control lists, checks documents out, moves documents between workspaces or creates workspaces.

## Link a project to a workspace

Linking marks which iManage workspaces belong to an engagement, so you can ask about "the matter documents" without naming the workspace.

1. Open the project and select **Brain**.
2. Under **Linked sources**, select **Link source**, then **iManage Work**.
3. Search by workspace name, client or matter number, and select **Link**.

In chats tagged to the project, Hebno searches the linked workspaces first, and save cards default to them. Each person still opens documents with their own iManage security. See [Linked records](https://hebno.com/docs/projects/linked-records.md) and [Save and export](https://hebno.com/docs/deliverables/save-and-export.md).

## Use iManage Work in chat

* **Attach**: open the **+** menu, choose **Sources → iManage Work**, and pick a document or a version. Or type `/` and choose **iManage Work**.

* **Ask**: name the client, matter, document number or author in your request. For example:

  > Search the Contoso Retail workspace for anything on minimum advertised price and summarise each document with its number.

  > Compare version 3 and version 4 of the Contoso engagement letter and list every change to scope and fees.

  > Save the steering committee pack to the Deliverables folder of the Contoso workspace as a new document.

* **Research runs** show a **Searching iManage Work** step, with a chip for each document and version Hebno read.

* **Agents** can read linked workspaces on a schedule. A save an agent proposes appears in [agent approvals](https://hebno.com/docs/automate/agent-approvals.md) for review.

## Troubleshooting

| Symptom | Fix |
| - | - |
| **Connect** fails with an invalid client message | The client ID or redirect address on the card does not match the registration in **Control Center → Applications**. Ask an iManage administrator to check both. |
| A workspace or document you expect is missing | Your iManage security, an access control list or an ethical wall excludes you. Hebno shows only what iManage lets you open. |
| **Save as a new version** fails because the document is checked out | Another person has the document checked out in iManage. Ask them to check it in, or save as a new document. |
| A save fails with an access message | You have read-only rights on the folder or document. Ask for edit rights, or choose a folder you can write to. |
| A document is listed but Hebno cannot read it | It is larger than 25 MB, or it is an image, audio or another type that cannot be read as text. Open it in iManage. |
| **Reconnect iManage Work** appears | Your iManage session expired or your password changed. Select **Reconnect** under **Settings → Connections**. |
