> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.

# Mailchimp

> Read Mailchimp audiences, campaigns and reports in Hebno, and create draft email campaigns after you confirm. A person sends from Mailchimp.

The Mailchimp integration brings email marketing results into your client work. Ask how Contoso's October loyalty newsletter performed, which links readers clicked, or how many subscribers the audience gained this quarter, and Hebno answers from Mailchimp with each campaign and report cited. When a request implies a new campaign, such as the November price-promise email, Hebno shows a confirmation card and creates a draft campaign in Mailchimp only after you confirm. A person reviews and sends it from Mailchimp.

## At a glance

| | |
| - | - |
| **Connection** | Personal connection. Each member connects their own Mailchimp login. |
| **Default access** | Read and write |
| **Attach** | Audiences, campaigns, campaign reports |
| **Search** | Hebno searches Mailchimp when a request mentions a newsletter, email campaign, audience, segment, subscribers, open rate or click rate |
| **Link** | A project links to a Mailchimp audience and, optionally, to campaigns |
| **Write** | Create a draft campaign. Hebno never sends or schedules it. Every write needs a person to confirm. |

## Before you start

You need:

* A Mailchimp login with access to the account that contains the client's audiences. The **Viewer** role can read reports, and the **Author** role or higher can create draft campaigns.
* An allowed integration. An owner or admin sets **Mailchimp** to **Allow** under **Admin → Connectors → Catalogue**.

Mailchimp OAuth grants access to one Mailchimp account at a time, with the permissions of your user role in that account. Mailchimp has no separate scopes, so your role sets what Hebno can do. Hebno uses only these Marketing API areas:

| API area | Why Hebno needs it |
| - | - |
| **Lists** (audiences) | Read audiences, member counts, growth, merge fields, segments and tags |
| **Lists members** | Read a contact's status, merge fields, tags and activity when you ask about a contact |
| **Campaigns** | Read campaigns, settings and content, and create a draft campaign after you confirm |
| **Reports** | Read opens, clicks, bounces, unsubscribes and click details for sent campaigns |
| **Automations** | Read automation flows, their status and the emails in each flow |

If you use Mailchimp for several clients with separate accounts, connect the account you need, then select **Switch account** on the card to change it.

## Connect Mailchimp

**1. Start the connection**

Open **Settings → Connections**, find **Mailchimp** under **Marketing and advertising** and select **Connect**. You can also select **Connect** from the prompt in a chat.

**2. Sign in to Mailchimp**

Sign in, choose the account if your login has access to more than one, and select **Allow**.

**3. Return to Hebno**

The card shows **Connected** with the Mailchimp account name.

Hebno reads and writes with your own permissions, so you see only what your Mailchimp role allows. Tokens are encrypted at rest. Select **Disconnect** at any time, or ask an admin to revoke the connection under **Admin → Connectors → Connections**.

## What Hebno reads

| Mailchimp object | Fields Hebno uses | Typical questions |
| - | - | - |
| **Audience** | Name, member count, unsubscribe count, open and click rates, growth by month | "How many subscribers did the Contoso audience gain since August?" |
| **Segment and tag** | Name, type, conditions, member count | "How many contacts are in the loyalty members segment?" |
| **Contact** | Email address, status, merge fields, tags, member rating, recent activity | "Is Sarah Chen subscribed to the Contoso newsletter?" |
| **Campaign** | Name, type, status, subject line, preview text, from name, audience, segment, send time, content | "What subject lines did we use for the last three Contoso newsletters?" |
| **Report** | Emails sent, unique opens, open rate, clicks, click rate, bounces, unsubscribes, abuse reports, clicks by link | "Which links did readers click in the October loyalty email?" |
| **Automation flow** | Name, status, starting point, emails and their reports | "How is the Contoso welcome flow performing?" |

Reads are live. Hebno queries Mailchimp when a request needs it. Reports come from Mailchimp as they are at the time of the request, so figures match the **Reports** page. Only what a reply used is stored with the conversation as its sources.

> [!WARNING]
>
> Excerpts a reply uses become part of the conversation. Anyone you share the conversation with can read them, including contacts' email addresses and merge field values.

## What Hebno writes

Every write appears first as a confirmation card. You can change any field before you select **Confirm**.

| Action | Mailchimp object | Fields on the card |
| - | - | - |
| **Create a draft campaign** | Regular email campaign with status **Draft** | Campaign name, audience, segment or tag, subject line, preview text, from name, reply-to address, email content |

A Mailchimp change pending confirmation. Nothing is written until you confirm.

The campaign is created as a draft in Mailchimp, and a person reviews it, sends a test and sends or schedules it there. Hebno never sends, schedules or tests a campaign, adds, changes, tags or unsubscribes contacts, edits automation flows, or changes audience settings.

The draft is created by your Mailchimp user, so Mailchimp shows you as its creator.

## Link a project to an audience

Linking marks which Mailchimp audience belongs to a client engagement, so you can ask "how did the last newsletter do?" without naming the audience.

1. Open the project and select **Brain**.
2. Under **Linked records**, select **Link record**, then **Mailchimp**.
3. Search by audience name and select it. To narrow the link, select the campaigns that belong to the engagement.

In chats tagged to the project, Hebno starts with the linked audience for any email marketing question, and cards for new campaigns default to it. See [Linked records](https://hebno.com/docs/projects/linked-records.md).

## Use Mailchimp in chat

* **Attach**: open the **+** menu, choose **Sources → Mailchimp**, and pick an audience, a campaign or a campaign report. Or type `/` and choose **Mailchimp**.

* **Ask**: name the client, campaign or audience in your request. For example:

  > Compare open and click rates for the last six Contoso newsletters and show which subject lines did best.

  > Which links in the October loyalty email had the most clicks, and how many people unsubscribed?

  > Draft a campaign to the loyalty members segment announcing the November price promise, based on the pricing review summary.

* **Research runs** show a **Checking Mailchimp** step, with a chip for each audience, campaign and report it read.

* **Agents** can read Mailchimp on a schedule, for example a report two days after each Contoso newsletter is sent. Writes an agent proposes appear in [agent approvals](https://hebno.com/docs/automate/agent-approvals.md) for review.

## Troubleshooting

| Symptom | Fix |
| - | - |
| The audience you expect is not found | You connected a different Mailchimp account. Select **Switch account** on the card and choose the client's account. |
| A draft fails with **User does not have access to the requested operation** | Your Mailchimp role is **Viewer**. Ask the account owner for the **Author** role or higher. |
| Mailchimp shows a warning on the draft's from address | The sending domain is not verified in Mailchimp. Verify the domain there before a person sends the campaign. |
| Open rates look higher than expected | Mailchimp counts opens from email privacy features that load images automatically. Compare click rates as well. |
| **Reconnect Mailchimp** appears | The authorisation was revoked in Mailchimp. Select **Connect** to authorise again. |
| Requests fail with a too many requests message | Mailchimp limits simultaneous connections for each user. Wait a moment and retry. |
