> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.

# Microsoft 365

> Connect OneDrive, SharePoint, Outlook, Outlook Calendar, Teams and OneNote with one Microsoft account, and see what each one reads and writes.

The Microsoft 365 integrations add your firm's files, email, calendar, meetings and notes into client work. You connect one Microsoft account, and Hebno reads and writes with your own permissions, so you see nothing through Hebno that you could not open in Microsoft directly. Writes such as sending an email or saving a deck to a client folder always need your confirmation on a card.

Settings → Connections lists each Microsoft integration with its status.

## At a glance

| | |
| - | - |
| **Connection** | Personal connection. Each member connects their own Microsoft account. One connection applies to every Microsoft integration except Dynamics 365 Business Central, which is an organisation connection. |
| **Default access** | Read and write. Sending email, sending invitations, posting to Teams and creating OneNote pages each need a second grant, chosen by the member. |
| **Attach** | Files, SharePoint documents, emails, calendar events, Teams meetings and OneNote pages |
| **Search** | Hebno searches Microsoft 365 when a request mentions a client, a meeting, an email thread, a file or a note |
| **Link** | A project links to SharePoint sites and libraries, and to OneDrive folders |
| **Write** | Save a deliverable to a linked folder, send an email, send a calendar invitation, post a Teams channel message, create a OneNote page. Every write needs a person to confirm. |

## One connection, incremental consent

Each member has a single Microsoft connection. Each integration requests its own permissions only when you first use it, so connecting OneDrive never requests Outlook, Teams or SharePoint access. When you approve another integration later, its permissions are added to the connection and the ones you already granted remain.

Three practical effects:

* A member who connects OneDrive sees the consent screen for OneDrive only. Selecting **Connect** or **Grant access** on SharePoint later requests only the SharePoint permissions.
* Disconnecting any Microsoft integration removes the whole Microsoft account from Hebno, including OneDrive, SharePoint, Outlook, Teams and Calendar. You can connect again at any time.
* Sending, inviting, posting and page creation are separate grants. **Allow sending** on Outlook adds `Mail.Send`, **Allow invitations** on Outlook Calendar adds `Calendars.ReadWrite`, **Allow posting** on Teams adds `ChannelMessage.Send`, and **Allow page creation** on OneNote adds `Notes.Create`. Each is your own choice.

Work, school and personal Microsoft accounts can all sign in. SharePoint sites, Teams meeting content and organisation-wide enabling belong to work and school accounts.

## Every Microsoft integration

| Integration | Reads | Writes (after you confirm) | Connection |
| - | - | - | - |
| **OneDrive** | Files and folders in your OneDrive, recent files, linked folders | Saves a deliverable to a linked folder | Personal |
| **SharePoint** | Sites, document libraries, files, recent site documents | Saves a deliverable to a linked folder or a library folder you choose | Personal |
| **Outlook** | Email threads, subjects, senders, bodies | Sends an email | Personal |
| **Outlook Calendar** | Your calendar, shared calendars you have opened, free slots with colleagues | Sends a calendar invitation with a Teams link | Personal |
| **Microsoft Teams** | Meetings, transcripts, Copilot notes, channel messages, chats | Posts a channel message | Personal |
| **OneNote** | Notebooks, sections and pages | Creates a page in a section you choose | Personal |
| **Dynamics 365 Sales** | Accounts, contacts, leads, opportunities, activities, notes | Notes, tasks, opportunity updates and appointments | Personal |
| **Dynamics 365 Business Central** | Customers, projects, time, invoices, ledger | Time registration entries and draft sales invoices | Organisation connection, members link through their Microsoft account |

## Connect your Microsoft account

**1. Start from chat or settings**

Open **Settings → Connections** and select **Connect** on any Microsoft integration. Or use the integration in chat: a **Connect** prompt appears inline the first time.

**2. Sign in and approve**

Sign in to Microsoft and approve the permissions for that integration. If your organisation has enabled it, you see no consent screen.

**3. Add more integrations when you need them**

Select **Grant access** on another Microsoft row. Only that integration's permissions are requested.

The row shows **Connected as** with your email address. A row that shows **Access not granted** has the Microsoft account connected but not this integration's permissions: select **Grant access**.

## Enable Microsoft 365 for the organisation

Some permissions, such as Teams transcripts, need a Microsoft directory administrator to approve them. An owner or admin can approve them once so members never see a consent screen.

**1. Open the catalogue**

Go to **Admin → Connectors → Catalogue** and find the integration under **Files**, **Mail**, **Calendar**, **Communication** or **Knowledge**.

**2. Enable for the organisation**

On the card, select **Enable for the organisation**. You are sent to Microsoft to approve that integration's permissions as a directory administrator.

**3. Tell members to grant it for their account**

Members select **Grant access** on the row. Their rows show **Enabled by your organisation**.

You approve one integration at a time, so approving SharePoint never approves Teams. Enabling for the organisation removes a prompt only. Each member still connects their own account, and Microsoft still enforces each member's permissions. **Return to personal approval** clears the setting in Hebno. To withdraw the approval itself, revoke it in the Microsoft Entra admin centre.

OneDrive needs no administrator approval, so members approve it themselves.

For the full list of permissions, Entra enterprise application setup and revocation, see the [Microsoft Entra admin guide](https://hebno.com/docs/integrations/microsoft-entra-admin.md).

## Use Microsoft 365 from Word, PowerPoint, Excel and the desktop app

The Office add-ins and the desktop app use the same Microsoft connection and the same project context as the web app. Draft in Word, then save the result to a linked SharePoint folder from the same project. See [Office add-ins](https://hebno.com/docs/apps/office-add-ins.md) and the [desktop app](https://hebno.com/docs/apps/desktop-app.md).

## Use Microsoft 365 in chat

* **Attach**: open the **+** menu, choose **Sources**, then pick OneDrive, SharePoint, Outlook, Outlook Calendar, Microsoft Teams or OneNote. Or type `/` and the integration name.

* **Ask**: name the client or the source. For example:

  > What did Contoso say about the pricing review in email and in last week's Teams meetings?

  > Find the latest Contoso Retail steering committee deck on SharePoint and summarise the open actions.

* **Research runs** show a step for each system, such as **Reviewing Outlook**, **Reviewing recent Teams meetings** and **Searching SharePoint**.

* **Agents** can read Microsoft 365 on a schedule. Writes an agent proposes appear in [agent approvals](https://hebno.com/docs/automate/agent-approvals.md).

> [!WARNING]
>
> Excerpts a reply uses from email, meetings and files become part of the conversation. Anyone you share the conversation with can read them.

## Troubleshooting

| Symptom | Fix |
| - | - |
| A Microsoft row shows **Access not granted** | The account is connected without this integration's permissions. Select **Grant access**. If your organisation must approve it first, ask an admin to use **Enable for the organisation**. |
| Microsoft shows "Need admin approval" | A directory administrator must approve the permissions. An owner or admin selects **Enable for the organisation** on the card. |
| A row is missing from chat | An admin has blocked the integration, or it shows **Unavailable** in **Settings → Connections**. Ask an owner or admin to **Allow** it in **Admin → Connectors → Catalogue**. |
| **Sign in to Microsoft again** appears | Conditional access, multi-factor authentication or a password change needs a fresh sign-in. Select **Reconnect**. |
| **Your Microsoft connection needs reconnecting** notification | Microsoft ended the grant. Connect again under **Settings → Connections**. |
