> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.

# Microsoft Entra admin guide

> Approve Hebno as an enterprise application in Microsoft Entra ID, review every delegated permission by integration, and grant or revoke admin consent.

This guide is for Microsoft Entra ID directory administrators. It lists every permission Hebno requests for OneDrive, SharePoint, Outlook, Outlook Calendar, Microsoft Teams, OneNote, Dynamics 365 Sales and Dynamics 365 Business Central, and shows how to approve them once for your whole tenant.

Members connect their own accounts. For their steps, see [Microsoft 365](https://hebno.com/docs/integrations/microsoft-365.md).

## How Hebno uses your tenant

| Detail | Value |
| - | - |
| Protocol | OAuth 2.0 with the Microsoft identity platform, authorisation code flow with PKCE |
| Permission type | Delegated only. Hebno requests no application permissions. |
| Account types | Work or school accounts. Personal Microsoft accounts can connect the integrations that support them, but cannot grant admin consent. |
| Microsoft Graph | v1.0 |
| Admin consent endpoint | `login.microsoftonline.com/organizations/v2.0/adminconsent`, with the exact scopes for one integration at a time |

Every search, read and write runs as the signed-in member, under that member's own Microsoft permissions. Hebno cannot open a file, message, event, notebook or record the member cannot already open.

Consent is per integration. Approving Teams does not approve SharePoint, and approving SharePoint does not approve Outlook. Each integration's **Enable for the organisation** button requests only its own permissions.

## Permissions by integration

All permissions are delegated. `User.Read`, `email`, `openid` and `offline_access` are requested with every integration to identify the connection and maintain sign-in.

### OneDrive

| Permission | Why Hebno needs it |
| - | - |
| `Files.ReadWrite` | Browse, search and read the member's files, and save deliverables to a linked OneDrive folder |

### SharePoint

| Permission | Why Hebno needs it |
| - | - |
| `Files.ReadWrite` | Read and save files in the member's own storage |
| `Files.ReadWrite.All` | Browse, search, read and save files in libraries on sites the member can already open |
| `Sites.Read.All` | Open a site from its link and list the sites and recent files the member can already open |

### Microsoft Teams: meetings

| Permission | Why Hebno needs it |
| - | - |
| `Calendars.ReadBasic` | List the member's Teams meetings from the last 60 days, without message bodies |
| `OnlineMeetings.Read` | Look up a meeting the member organised or was invited to |
| `OnlineMeetingTranscript.Read.All` | Read transcripts of meetings the member can already open |
| `OnlineMeetingAiInsight.Read.All` | Read Copilot meeting notes and action items for members with a Microsoft 365 Copilot licence |

### Microsoft Teams: channels and chats

| Permission | Why Hebno needs it |
| - | - |
| `ChannelMessage.Read.All` | Read messages in channels the member can already open |
| `Team.ReadBasic.All` | List the teams the member belongs to |
| `Channel.ReadBasic.All` | List the channels in those teams |
| `Chat.Read` | Read the member's own chats when they attach one |
| `ChannelMessage.Send` | Post a channel message the member confirmed. Added when the member selects **Allow posting**. |

### Outlook

| Permission | Why Hebno needs it |
| - | - |
| `Mail.Read` | Search and read the member's own mailbox to attach email and cite correspondence |
| `Mail.Send` | Send an email the member confirmed, saved to their Sent Items. Added when the member selects **Allow sending**. |
| `Calendars.Read`, `People.Read` | Optional. Match a name to an email address when the member drafts an email. These come with Outlook Calendar. |

Hebno does not move, edit or delete email.

### Outlook Calendar

| Permission | Why Hebno needs it |
| - | - |
| `Calendars.Read` | Read events on the member's default calendar, past and future, including the body |
| `Calendars.Read.Shared` | Read calendars a colleague has shared with the member, and find a time with colleagues in your organisation |
| `People.Read` | Match a colleague's name to the people the member works with |
| `Calendars.ReadWrite` | Create an event and send the invitation the member confirmed. Added when the member selects **Allow invitations**. |

Hebno does not request `Calendars.ReadWrite.Shared`. It cannot read or edit a colleague's calendar beyond what that colleague has shared with the member.

### OneNote

| Permission | Why Hebno needs it |
| - | - |
| `Notes.Read` | Read notebooks the member owns, including page content |
| `Notes.Create` | Create a page in a section the member chose and confirmed. Added when the member selects **Allow page creation**. |

Hebno does not edit or delete existing notes.

### Dynamics 365 Sales

| Permission | Why Hebno needs it |
| - | - |
| `https://<org>.crm.dynamics.com/user_impersonation` | Read and write Dataverse records as the signed-in member, under that member's security role. Entra lists it as **Access Dynamics 365 as organization users**. |

Replace `<org>` with your environment address. Regional environments use their own host, for example `crm4.dynamics.com`.

### Dynamics 365 Business Central

| Permission | Why Hebno needs it |
| - | - |
| `Financials.ReadWrite.All` | Read finance data and create time registration entries and draft sales invoices as the signed-in user, under that user's Business Central permission sets |

Hebno never posts a document, whatever the user's permission sets allow.

## Which consent each integration needs

| Integration | Member can approve alone | Needs admin consent |
| - | - | - |
| OneDrive | Yes | No |
| SharePoint | Yes, unless your tenant blocks user consent | Optional |
| Teams meetings | No | `OnlineMeetingTranscript.Read.All`, `OnlineMeetingAiInsight.Read.All` |
| Teams channels and chats | No | `ChannelMessage.Read.All` |
| Outlook | `Mail.Read`, then `Mail.Send` per member | Optional, read permission only |
| Outlook Calendar | Yes, then `Calendars.ReadWrite` per member | Optional, read permissions only |
| OneNote | Yes, unless your tenant blocks user consent | Optional |
| Dynamics 365 Sales | Yes, unless your tenant blocks user consent | Optional |
| Business Central | Yes, unless your tenant blocks user consent | Optional |

Organisation grants never include `Mail.Send`, `Calendars.ReadWrite`, `ChannelMessage.Send` or `Notes.Create`. Each member approves those from **Allow sending**, **Allow invitations**, **Allow posting** and **Allow page creation** under **Settings → Connections**.

## Roles required

| Task | Required role |
| - | - |
| Connect a Microsoft account in Hebno | Any Entra ID user |
| Grant admin consent for any integration | Global Administrator or Cloud Application Administrator |
| Enable an integration for the organisation in Hebno | Hebno owner or admin |
| Change Teams transcript settings | Teams administrator |

The account that grants consent must belong to the same Microsoft tenant as your members.

## Grant admin consent

**1. Allow the integration in Hebno**

An owner or admin opens **Admin → Connectors → Catalogue** and confirms the integration is set to **Allow**.

**2. Start the grant**

On the integration's card, select **Enable for the organisation**.

**3. Sign in as a directory administrator**

Sign in with a Global Administrator or Cloud Application Administrator account.

**4. Review and accept**

Check the permissions listed against the tables above, then select **Accept**. Microsoft returns you to Hebno and the card shows **Organisation-wide**.

Repeat for each integration. Members then see **Enabled by your organisation** on that integration under **Settings → Connections** and connect without a Microsoft consent screen. Each member still connects their own account.

For Dynamics 365 Sales, the card requests your environment address first, so the grant names the right `user_impersonation` scope. For Business Central, grant consent before an admin connects the organisation, see [Business Central](https://hebno.com/docs/integrations/dynamics-365-business-central.md).

> [!NOTE]
>
> Admin consent removes a prompt. It does not widen access. Microsoft still enforces each member's own permissions on every request.

## Conditional access

Hebno signs members in through the standard Microsoft sign-in, so your conditional access policies apply as they do for any enterprise application. Multi-factor authentication, compliant device and location rules all run at sign-in and when a token refreshes.

When a policy requires a fresh sign-in, the member sees **Sign in to Microsoft again to keep using your files.** and reconnects from **Settings → Connections**. The connection record and any project links are retained while they do.

## Teams admin centre settings

Teams transcripts depend on two meeting policy settings in the Teams admin centre:

| Setting | Needed for |
| - | - |
| Graph API access to transcripts for apps | Reading meeting transcripts in Hebno |
| Speaker attribution in transcripts | Seeing who said what |

If your policy blocks apps from transcripts, Teams items in Hebno show meeting details and Copilot notes only, with the line "Your organisation has turned off transcript access for apps." Transcription must also be on during the meeting. Teams retains meetings and their artefacts for 60 days after they end, so Hebno lists the last 60 days.

## Revoke access

**1. Return to personal approval in Hebno**

On the integration's card under **Admin → Connectors → Catalogue**, select **Return to personal approval**. The integration is no longer treated as approved for the organisation.

**2. Remove the grant in Entra**

In the Microsoft Entra admin centre, open **Enterprise applications**, find **Hebno**, and delete the permission grant under **Permissions**.

**3. Revoke member connections if needed**

Open **Admin → Connectors → Connections** and select **Revoke** on any member's connection. The change is recorded in **Admin → Logs**.

Removing a grant in Entra does not delete members' connections. Members approve again the next time they use that integration, and their other Microsoft integrations are unaffected.

## Verify the setup

1. As a test member, open **Settings → Connections** and confirm each approved integration shows **Enabled by your organisation**.
2. Connect the account and confirm no Microsoft consent screen appears.
3. Open a chat, select **+ → Sources**, and pick the integration to browse an item.

## Troubleshooting

| Symptom | Fix |
| - | - |
| Admin consent fails | The signed-in account is not a Global Administrator or Cloud Application Administrator, or belongs to another tenant. |
| A member still sees a consent screen | They connected before the grant. Select **Reconnect** under **Settings → Connections**. |
| SharePoint shows **Access not granted** | Neither the member nor an admin has approved SharePoint. Grant it from the row or the card. |
| Teams shows details without transcripts | Transcript access for apps is off in the Teams admin centre, or transcription was off in the meeting. |
| Channel messages are missing | `ChannelMessage.Read.All` has no admin consent. Run **Enable for the organisation** on the Teams card. |
| Dynamics 365 Sales sign-in fails | The environment address on the card does not match your environment, or the member has no Dynamics security role. |
| Business Central returns no companies | The signed-in user has no permission set in that environment. Assign one in Business Central. |

Hebno stores access and refresh tokens encrypted. It never stores a member's Microsoft password.
