> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.

# Microsoft Planner

> Read Planner plans, buckets, tasks and checklists in Hebno, and create, update and complete tasks after you confirm.

The Microsoft Planner integration makes your team's plans available in client work. Ask what is overdue in the Contoso pricing review plan, which bucket a task is in, or what is left on a checklist, and Hebno answers from Planner with each task cited. When a request implies a change, such as creating a task or marking one complete, Hebno shows a confirmation card and writes to Planner only after you confirm.

Planner uses your existing [Microsoft 365](https://hebno.com/docs/integrations/microsoft-365.md) connection. You do not connect a separate account: you grant Planner's permissions on top of the Microsoft connection you already have.

## At a glance

| | |
| - | - |
| **Connection** | Personal connection, through your Microsoft 365 account. Each member grants Planner access for their own account. |
| **Default access** | Read and write. Changing tasks is a separate grant, chosen by the member. |
| **Attach** | Plans, buckets, tasks |
| **Search** | Hebno searches Planner when a request mentions a plan, bucket, task, assignee, due date, progress or checklist |
| **Link** | A project links to one or more Planner plans |
| **Write** | Create a task, update a task, complete a task. Every write needs a person to confirm. |

## Before you start

You need:

* A work or school Microsoft account with access to Planner.
* Membership of the Microsoft 365 group that owns each plan you want to use. Planner shares a plan with every member of its group, and Hebno sees the same plans you see.
* An allowed integration. An owner or admin sets **Microsoft Planner** to **Allow** under **Admin → Connectors → Catalogue**.

Hebno requests these delegated Microsoft Graph permissions. `User.Read`, `email`, `openid` and `offline_access` come with every Microsoft integration.

| Permission | Why Hebno needs it |
| - | - |
| `Tasks.Read` | List your plans and read buckets, tasks, task details and checklists in plans you can open |
| `User.ReadBasic.All` | Show assignees by name instead of by user ID |
| `Tasks.ReadWrite` | Create and update tasks, and mark them complete, after you confirm. Added when you select **Allow task changes**. |

Members can approve these permissions themselves unless your tenant blocks user consent. A directory administrator can approve them once for everyone. See the [Microsoft Entra admin guide](https://hebno.com/docs/integrations/microsoft-entra-admin.md).

## Connect Microsoft Planner

**1. Open connections**

Open **Settings → Connections** and find **Microsoft Planner** under **Projects**. You can also type `/` in chat and choose **Microsoft Planner**.

**2. Grant access**

Select **Grant access** if your Microsoft account is connected, or **Connect** if it is not. Sign in to Microsoft and approve read access. The row shows **Connected as** with your email address.

**3. Allow task changes (optional)**

Select **Allow task changes** on the **Microsoft Planner** row to add `Tasks.ReadWrite`. The same button appears on a task card if you try to write first.

If your organisation has enabled Planner for everyone, you see no consent screen. See [Enable for the organisation](https://hebno.com/docs/integrations/microsoft-365.md#enable-microsoft-365-for-the-organisation). Disconnecting Planner removes the whole Microsoft connection, as it does for every Microsoft integration.

## What Hebno reads

| Planner object | Fields Hebno uses | Typical questions |
| - | - | - |
| **Plan** | Title, owning group, buckets, labels | "What plans do we have for Contoso Retail?" |
| **Bucket** | Name, order, tasks in the bucket | "What is in the Analysis bucket of the pricing review plan?" |
| **Task** | Title, bucket, assignees, start date, due date, progress (not started, in progress, completed), priority, labels | "What is overdue on the Contoso pricing review?" |
| **Task details** | Notes (description), checklist items and their checked state, attached links | "What is left on the checklist for the store visits task?" |
| **Assignee** | Display name and email of each assigned person | "What is Priya Nair working on this week?" |

Reads are live. Hebno queries Planner through Microsoft Graph when a request needs it. Only what a reply used is stored with the conversation as its sources.

> [!WARNING]
>
> Excerpts a reply uses become part of the conversation. Anyone you share the conversation with can read them, including task notes and checklists from plans they are not a member of.

## What Hebno writes

Every write appears first as a confirmation card. You can change any field before you select **Confirm**.

| Action | Planner object | Fields on the card |
| - | - | - |
| **Create a task** | Task | Plan, bucket, title, notes, assignees, start date, due date, priority, checklist items |
| **Update a task** | Task | Title, bucket, progress, assignees, dates, priority, labels, notes, checklist items |
| **Complete a task** | Task | Task, progress set to completed |

A Microsoft Planner change pending confirmation. Nothing is written until you confirm.

Planner allows up to 20 assignees and 20 checklist items on a task, and the card shows the same limits. Hebno never deletes tasks, creates or deletes plans and buckets, or changes group membership.

Writes are made as your Microsoft user, so Planner shows you as the person who created or changed the task.

## Link a project to a plan

Linking marks which Planner plans belong to an engagement, so you can ask "what is overdue?" without naming the plan.

1. Open the project and select **Brain**.
2. Under **Linked records**, select **Link record**, then **Microsoft Planner**.
3. Search by plan name and select the plan. Repeat for each plan in the engagement.

In chats tagged to the project, Hebno starts with the linked plans for any delivery question, and cards for new tasks default to them. Each person still reads the plan with their own Microsoft access. See [Linked records](https://hebno.com/docs/projects/linked-records.md).

## Use Microsoft Planner in chat

* **Attach**: open the **+** menu, choose **Sources → Microsoft Planner**, and pick a plan, a bucket or a task. Or type `/` and choose **Microsoft Planner**.

* **Ask**: name the plan, bucket, task or person in your request. For example:

  > List everything overdue or due this week in the Contoso pricing review plan, grouped by assignee.

  > Draft a status update for Contoso from the Planner plan, with what moved to completed since Monday.

  > Mark the store visits task complete and tick the last two checklist items.

* **Research runs** show a **Checking Microsoft Planner** step, with a chip for each plan and task it read.

* **Agents** can read Planner on a schedule, for example a Monday list of overdue tasks across linked plans. Writes an agent proposes appear in [agent approvals](https://hebno.com/docs/automate/agent-approvals.md) for review.

## Troubleshooting

| Symptom | Fix |
| - | - |
| A plan you expect does not appear | You are not a member of the Microsoft 365 group that owns it. Ask the group owner to add you. |
| The row shows **Access not granted** | Your Microsoft account is connected without Planner's permissions. Select **Grant access**. |
| Microsoft shows "Need admin approval" | Your tenant blocks user consent. Ask an owner or admin to select **Enable for the organisation** on the Planner card. |
| A write fails because the task changed | Someone edited the task in Planner after Hebno read it, and Microsoft Graph rejected the stale update. Ask again so Hebno reads the latest version, then confirm. |
| **Allow task changes** appears on a card | Select it to grant `Tasks.ReadWrite`, then confirm again. |
| **Sign in to Microsoft again** appears | Conditional access, multi-factor authentication or a password change needs a fresh sign-in. Select **Reconnect**. |
