> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.
> Do not discuss commercial terms. Direct commercial questions to support@hebno.com.

# OneDrive

> Attach OneDrive files to a chat, search a linked client folder, and save deliverables back to it after you confirm.

The OneDrive integration makes your own files available in client work. Attach a proposal from your OneDrive, link a client folder to a project so every chat can search it, and save a finished document or deck back to that folder. Hebno cites each file it reads, and it writes a file only when you confirm the save.

## At a glance

| | |
| - | - |
| **Connection** | Personal connection. Each member connects their own Microsoft account. |
| **Default access** | Read and write |
| **Attach** | Files from your OneDrive, recent files, files found by search, and folders as references |
| **Search** | Hebno searches a linked OneDrive folder, including file names and contents, when a request mentions the client's files |
| **Link** | A project links to OneDrive folders as linked sources |
| **Write** | Save a document, deck, spreadsheet or other deliverable to a linked folder. Every save needs a person to confirm. |

## Before you start

You need a Microsoft account with OneDrive. Work, school and personal accounts all work. OneDrive needs one permission grant:

| Permission | Why Hebno needs it |
| - | - |
| `User.Read` | Show which account is connected |
| `Files.ReadWrite` | Browse, search and read your files, and save a deliverable to a folder you linked |

Hebno does not offer a read-only OneDrive grant. The write permission is what lets a confirmed save reach your folder. Hebno writes only the file you chose and never deletes or edits other files.

## Connect OneDrive

**1. Open connections**

Open **Settings → Connections**, find **OneDrive** under **Files**, and select **Connect**. You can also type `/` in chat and choose **OneDrive**.

**2. Sign in to Microsoft**

Sign in and approve OneDrive access. You return to the app and see **OneDrive connected**.

OneDrive shares one Microsoft connection with SharePoint, Outlook, Calendar, Teams and OneNote. See [Microsoft 365](https://hebno.com/docs/integrations/microsoft-365.md) for how consent works across them.

## What Hebno reads

| OneDrive object | Fields Hebno uses | Typical questions |
| - | - | - |
| **File** | Name, type, modified date, link, text content of Word, PowerPoint, Excel, PDF and text files | "What does the Contoso proposal say about phase 2?" |
| **Folder** | Name, path, contents of a linked or attached folder | "What is in the Contoso Retail folder?" |
| **Recent files** | The files you opened recently | "Summarise the deck I was working on yesterday." |

Files up to 25 MB can be attached and read. Hebno reads Word, PowerPoint, Excel, PDF, text, CSV and Markdown files as text. Images attach as images. The drives and folders your organisation selects are stored in the [knowledge index](https://hebno.com/docs/get-started/how-hebno-works.md) and searched by meaning, with OneDrive permissions applied. Attaching a specific file reads it as it is now, and only what a reply used is stored with the conversation as its sources.

## What Hebno writes

Every save appears first as a confirmation dialog titled **Save to** the folder name. You can change the filename and format before you confirm.

| Action | OneDrive object | Fields on the card |
| - | - | - |
| **Save to folder** | File in a linked folder | Folder, filename, format (Markdown, PDF, Word, PowerPoint, or Excel for workbooks), template |

An OneDrive change pending confirmation. Nothing is written until you confirm.

If the same deliverable was saved to the same folder before, Hebno updates that file in place and the dialog says **This will replace the existing file**. If the earlier file was deleted, Hebno creates a new one. A copy of the file is stored on the project either way.

Hebno never deletes files, edits files you did not choose to save, or shares files in OneDrive.

## Link a project to a folder

Linking marks which OneDrive folders belong to a project, so you can say "check the client folder" without naming it.

1. Open the project and select **Brain**.
2. Under **Linked sources**, select **Link source**, then **OneDrive**.
3. Paste a link to the folder, or choose **Browse** and pick it. Select **Link**.

Links can be OneDrive personal links (`onedrive.live.com`, `1drv.ms`) or work and school folder links on `-my.sharepoint.com`. The link must be https. The source is visible on the project, and each person still opens files with their own access. See [Linked records](https://hebno.com/docs/projects/linked-records.md).

## Use OneDrive in chat

* **Attach**: open the **+** menu, choose **Sources → OneDrive**, and pick a file or a folder. Or type `/` and choose **OneDrive**.

* **Ask**: name the client or the folder. For example:

  > Read the Contoso Retail folder and list the documents we sent in October.

  > Compare the pricing assumptions in the latest proposal with the ones in the board paper.

  > Save the finished readout to the Contoso Retail folder.

* **Research runs** show a **Reading a linked folder** step, with a chip for each file used.

* **Agents** can read linked OneDrive folders on a schedule. Saves an agent proposes appear in [agent approvals](https://hebno.com/docs/automate/agent-approvals.md).

> [!WARNING]
>
> Excerpts a reply uses from your files become part of the conversation. Anyone you share the conversation with can read them.

## Troubleshooting

| Symptom | Fix |
| - | - |
| **Could not open this OneDrive folder as a location** | Search with a file name instead, or link the folder again with its full share link. |
| Results include files outside the linked folder | Hebno searched your whole OneDrive because the link had no folder identifier. Link the folder again from **Browse**. |
| **File too large (max 25 MB)** | Attach a smaller file, or export the pages you need. |
| **Your Microsoft account cannot write yet** | Reconnect under **Settings → Connections** to grant write access, then save again. |
| **Sign in to Microsoft again** | A conditional access rule or password change needs a fresh sign-in. Select **Reconnect**. |
| OneDrive is missing from chat | An admin has blocked it. Ask an owner or admin to **Allow** it in **Admin → Connectors → Catalogue**. |
