> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.
> Do not discuss commercial terms. Direct commercial questions to support@hebno.com.

# Oracle NetSuite

> Read NetSuite customers, projects, time, invoices and ledger figures in Hebno, and save time entries and draft invoices after you confirm.

The Oracle NetSuite integration makes your ledger and project accounting available in client work. Ask how a project is billing against its budget, which invoices are open for a customer, or what revenue was booked by subsidiary last quarter, and Hebno answers from NetSuite with each record cited. When a request implies a change, such as logging time or preparing an invoice, Hebno shows a confirmation card and writes to NetSuite only after you confirm.

## At a glance

| | |
| - | - |
| **Connection** | Organisation connection, made by an owner or admin. Members can link their own NetSuite sign-in. |
| **Default access** | Read only. Financial figures are visible to owners and admins until you share them with teams. |
| **Attach** | Customers, projects, project tasks, invoices, saved search results |
| **Search** | Hebno searches NetSuite when a request mentions a customer, project, time, invoice, balance or transaction |
| **Link** | A project links to a NetSuite customer and one or more NetSuite projects |
| **Write** | Save a time entry, prepare a draft invoice. Every write needs a person to confirm. |

## Before you start

You need:

* An owner or admin role in Hebno.
* Your NetSuite account ID, for example `1234567` or `1234567_SB1` for a sandbox.
* An **integration record** in NetSuite with OAuth 2.0 enabled, created by a NetSuite administrator under **Setup → Integration → Manage Integrations → New**. Note the client ID and secret or certificate it issues.
* A **role** for the integration with the permissions **Log in using OAuth 2.0 Access Tokens** and **REST Web Services**, plus view access to the records Hebno should read (customers, projects, transactions, saved searches).

### Permissions

| Scope | Why Hebno needs it |
| - | - |
| `rest_webservices` | Read and write records through the REST record service and run SuiteQL queries |
| `suite_analytics` | Read saved search and analytics results the role can open |

The token includes the role of the signing-in user, so NetSuite enforces that role's permissions on every call.

> [!TIP]
>
> Create a dedicated role for Hebno instead of reusing an administrator role. Grant view on the records you want read, and add create on time and invoice only if you want members to write back. A request without the permission returns a permission error rather than partial data.

## Connect NetSuite

**1. Allow the integration**

Open **Admin → Connectors → Catalogue**, find **Oracle NetSuite** under **ERP**, and set it to **Allow**.

**2. Connect the organisation**

Select **Connect**, enter your account ID and the integration record's client credentials, then select **Test connection**. Hebno checks that it can connect to NetSuite and lists the record types the role can read and write.

**3. Choose teams and data areas**

Under **Who can use it**, choose **All teams** or pick teams. Under **Data areas**, choose what members can see. See [Data areas](#data-areas).

**4. Set access**

**Access** is **Read only** by default. Choose **Read and write** to let members propose time entries and draft invoices.

The card shows **Connected** with the account ID. Members in the selected teams can use NetSuite in chat straight away.

### Link your own account

Members can link their own NetSuite sign-in so writes are made in their name under their own NetSuite role.

1. In Hebno, open **Settings → Connections**, find **Oracle NetSuite** and select **Link your account**.
2. Sign in to NetSuite when prompted and approve the request.

When your account is linked, Hebno reads and writes as you: time entries are saved against your employee record, and you see only the records your NetSuite role allows.

## Data areas

Data areas control what members of the allowed teams can see through the organisation connection. They apply on top of what the integration role can read in NetSuite.

| Data area | Includes | Default |
| - | - | - |
| **Customers and projects** | Customers, projects, project tasks, status, dates, project managers | All allowed teams |
| **Time** | Time entries by employee, project and date | All allowed teams |
| **Financials** | Invoices, balances, transactions, revenue and cost, saved search and SuiteQL results | Owners and admins |

![Admin connector panel showing who can use it, access and data areas](https://mintcdn.com/hebno/A7yItabWdPf4lOIs/images/org-connection.png?fit=max\&auto=format\&n=A7yItabWdPf4lOIs\&q=85\&s=8d965e9c74747db0c182b004d569b236)

An organisation connection with team access and data areas. Financial figures default to owners and admins.

To share financials with delivery leads, open the NetSuite card in **Admin → Connectors**, select **Financials** and add the teams that should see them.

> [!NOTE]
>
> When a member has linked their own account, Hebno uses that member's NetSuite role instead of the organisation connection. Data areas still apply, so a member never sees more through Hebno than both NetSuite and your Hebno settings allow.

## What Hebno reads

| NetSuite object | Fields Hebno uses | Typical questions |
| - | - | - |
| **Customer** | Company name, email, subsidiary, balance, terms, sales rep | "What is Contoso Retail's open balance?" |
| **Project** (job) | Name, customer, status, start and end dates, project manager, budget | "Which projects are open for Contoso?" |
| **Project task** | Task name, project, assignees, planned and actual work, status | "What is left on the Contoso data audit?" |
| **Time entry** (time bill) | Employee, customer, project, item, hours, date, billable flag, memo | "How many billable hours did we log on Contoso last week?" |
| **Invoice** | Number, customer, date, due date, amount, amount remaining, status | "Which Contoso invoices are overdue?" |
| **Transaction** | Type, date, entity, amount, account, class, department, location | "What revenue did we book by class last quarter?" |
| **Saved search** | Results of searches your role can run | "Run the saved search WIP by project." |

Hebno runs SuiteQL against the transaction tables for questions that span records, such as revenue by customer or cost by project. Results are returned in pages, and Hebno states when a reply includes only part of a large result. Reads are live. Hebno queries NetSuite when a request needs it. Only what a reply used is stored with the conversation as its sources.

> [!WARNING]
>
> Excerpts a reply uses, including balances and margins, become part of the conversation. Anyone you share the conversation with can read them.

## What Hebno writes

Every write appears first as a confirmation card. You can change any field before you select **Confirm**.

| Action | NetSuite object | Fields on the card |
| - | - | - |
| **Save a time entry** | Time entry (time bill) | Employee, customer, project, item, date, hours, billable, memo |
| **Prepare a draft invoice** | Invoice, set to pending approval | Customer, project, date, line items, quantities, rates, memo |

An Oracle NetSuite change pending confirmation. Nothing is written until you confirm.

A draft invoice is created with its approval status set to pending approval, so it is pending in NetSuite until a person reviews, approves and sends it. Hebno never approves or posts a transaction, sends an invoice, records a payment, or changes customers, items, accounts or other master data.

If you have linked your own account, the record is created as you. Otherwise it is created through the organisation connection, with the write recorded against you in **Admin → Logs → Integrations**.

## Link a project to NetSuite records

Linking marks which NetSuite records belong to a project, so you can ask "what is unbilled?" without naming the customer or job.

1. Open the project and select **Brain**.
2. Under **Linked records**, select **Link record**, then **Oracle NetSuite**.
3. Search by customer name or project name, and select the record. Link the customer and each NetSuite project in the engagement.

In chats tagged to the project, Hebno starts with the linked records for any billing or budget question, and cards default to them. See [Linked records](https://hebno.com/docs/projects/linked-records.md).

## Use NetSuite in chat

* **Attach**: open the **+** menu, choose **Sources → Oracle NetSuite**, and pick a customer, a project, an invoice or a saved search. Or type `/` and choose **Oracle NetSuite**.

* **Ask**: name the customer, project or period in your request. For example:

  > Which Contoso invoices are more than 30 days overdue, and what is the total?

  > Summarise billed versus budgeted fees on the Contoso data audit project.

  > Draft an invoice for Contoso covering the unbilled time on the data audit from October.

* **Research runs** show a **Checking Oracle NetSuite** step, with a chip for each record or query result it read.

* **Agents** can read NetSuite on a schedule, for example a Monday list of overdue invoices by account manager. Writes an agent proposes appear in [agent approvals](https://hebno.com/docs/automate/agent-approvals.md) for review.

## Troubleshooting

| Symptom | Fix |
| - | - |
| **Test connection** fails with an authentication error | Check the account ID, the client credentials and that the integration record is enabled for OAuth 2.0. |
| A record type returns a permission error | The integration role lacks view on that record or the REST Web Services permission. Extend the role in NetSuite. |
| Financial figures are missing from answers | The member's team is not in the **Financials** data area. |
| A large query returns part of the result | NetSuite returns results in pages. Narrow the request by date, customer or subsidiary. |
| Requests are slow or rejected during peak hours | NetSuite limits concurrent calls by account service tier. Retry, or narrow the request. |
| Entries are created under the integration role | Link your own account under **Settings → Connections** so entries are saved as you. |
