> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.
> Do not discuss commercial terms. Direct commercial questions to support@hebno.com.
> Start with /index and /get-started/quickstart.

# Otter.ai

> Read Otter.ai conversations, transcripts, summaries and action items in Hebno with your own access. Hebno reads only and never writes to Otter.

The Otter.ai integration makes the conversations Otter records available in your client work. Ask what Contoso said about the pilot stores in the last interview, pull the action items from Thursday's workshop, or compare what two stakeholders said about pricing, and Hebno answers from Otter with each conversation cited. Otter is read only: Hebno never writes to it.

## At a glance

| | |
| - | - |
| **Connection** | Personal connection. Each member connects their own Otter account. |
| **Default access** | Read only |
| **Attach** | A conversation's details, summary, action items, transcript or full record |
| **Search** | Hebno searches your Otter conversations when a request mentions a client, company, person, keyword or date |
| **Link** | A project links to an Otter folder or channel |
| **Write** | None. Hebno reads only. |

## Before you start

You need:

* An Otter account that recorded the conversations, or that the owner shared them with.
* An allowed integration. An owner or admin sets **Otter.ai** to **Allow** under **Admin → Connectors → Catalogue**.
* Approval from your Otter workspace admin if they restrict which apps members can connect.

When you connect, the Otter consent screen lists what Hebno reads: your conversations, transcripts, summaries, action items, and your name and email address. Hebno does not request permission to edit, share or delete conversations.

## Connect Otter.ai

**1. Start the connection**

Open **Settings → Connections**, find **Otter.ai** under **Meetings and calls** and select **Connect**. Or type `/` in the composer, choose **Otter.ai** and select **Connect**.

**2. Sign in to Otter**

Sign in with your Otter account, choose the workspace if you belong to more than one, and select **Allow**.

**3. Return to Hebno**

The card shows **Connected** with your Otter email address.

Hebno reads with your own Otter access, so you see only conversations you own, attended or that were shared with you, including conversations in channels and folders you belong to. Tokens are encrypted at rest. Select **Disconnect** at any time, or ask an admin to revoke the connection under **Admin → Connectors → Connections**.

## What Hebno reads

| Otter object | Fields Hebno uses | Typical questions |
| - | - | - |
| **Conversation** | Title, date, duration, owner, speakers, folder, channel, link | "Which Contoso interviews did we record this month?" |
| **Transcript** | Speaker, timestamp and text of each paragraph | "What did Sarah Chen say about the pilot stores?" |
| **Summary** | Otter overview and outline by topic | "Summarise the Contoso pricing workshop." |
| **Action items** | Action text, assignee, completed flag | "What did Priya Nair agree to do after the interview?" |
| **Folder and channel** | Name and the conversations in it | "List the conversations in the Contoso folder." |

An Otter.ai conversation attached to a chat.

When Hebno reads a conversation, it uses the Otter summary and action items first, then a transcript excerpt, then the conversation details, and the source label shows which. Attaching a conversation offers **Details**, **Summary**, **Action items**, **Transcript** and **Full record** as separate files. A search returns up to three conversations.

Reads are live. Hebno queries Otter when a request needs it, and only what a reply used is stored with the conversation as its sources.

> [!WARNING]
>
> Transcript and summary excerpts a reply uses become part of the Hebno conversation. Anyone you share it with can read them, including remarks from interviewees and other attendees.

## Hebno reads only

Hebno does not write to Otter. It does not start recordings, send the Otter notetaker to meetings, edit transcripts, add comments or highlights, or change sharing. To schedule a follow-up, use [Google Calendar](https://hebno.com/docs/integrations/google-calendar.md) or [Outlook Calendar](https://hebno.com/docs/integrations/outlook-calendar.md).

## Link a project to an Otter folder

Linking marks which Otter folder or channel belongs to an engagement, so you can ask "what did the interviews say?" without naming each conversation.

1. Open the project and select **Brain**.
2. Under **Linked records**, select **Link record**, then **Otter.ai**.
3. Search by folder or channel name and select it, for example the Contoso stakeholder interviews folder.

In chats tagged to the project, Hebno starts with conversations in the linked folder or channel for any question about what was said. See [Linked records](https://hebno.com/docs/projects/linked-records.md).

## Use Otter.ai in chat

* **Attach**: open the **+** menu, choose **Sources → Otter.ai**, pick a conversation, then pick the summary, action items, transcript or full record. Or type `/` and choose **Otter.ai**.

* **Ask**: name the client, person, keyword or date. For example:

  > Compare what the six Contoso stakeholders said about regional pricing, with a quote from each.

  > Pull the action items from Thursday's Contoso workshop and draft the follow-up email.

  > Which interviewees raised concerns about the November rollout date?

* **Research runs** show a **Reviewing Otter.ai** step, with a chip for each conversation and the source used.

* **Agents** can read Otter on a schedule, for example a Friday digest of the week's client interviews. Otter has no write actions, so agents only read.

## Troubleshooting

| Symptom | Fix |
| - | - |
| Otter shows that your admin must approve the app | Your Otter workspace admin restricts connected apps. Ask them to approve Hebno, then connect again. |
| **Reconnect Otter.ai** appears | The authorisation expired or was revoked. Select **Connect** to authorise again. |
| A conversation you expect is missing | The Otter notetaker was not admitted to the meeting, or the conversation was shared by link only. Ask the owner to share it with your account. |
| **No summary** for a conversation | Otter is still processing it, or the conversation was too short for a summary. Try again later. |
| Speakers show as **Speaker 1** and **Speaker 2** | The speakers are untagged in Otter. Tag them in Otter and ask again. |
| A conversation returns not found | It was deleted or moved to the Otter trash. Restore it in Otter if it is still in the trash. |
