# Outlook Calendar

> Read your calendar, find free slots with colleagues, and send calendar invitations with a Teams link after you confirm.

The Outlook Calendar integration lets Hebno plan work around your diary. Ask when the Contoso team last met, find a 45-minute slot that suits three colleagues next week, and Hebno proposes an invitation with a Teams link. It is sent only after you select **Send**.

## At a glance

| | |
| - | - |
| **Connection** | Personal connection. Each member connects their own Microsoft account. |
| **Default access** | Read and write. Sending invitations is a second grant, **Allow invitations**, chosen by the member. |
| **Attach** | A calendar event, from upcoming events or a search |
| **Search** | Hebno searches your calendar when a request mentions a client, a domain, a person or a meeting history, and finds free slots when you ask for a time |
| **Link** | Not linkable. Calendar is searched by client, person or domain. |
| **Write** | Send a calendar invitation with a Teams link. Every send needs a person to confirm. |

## Before you start

You need a Microsoft work or school account with Outlook Calendar.

| Permission | Why Hebno needs it |
| - | - |
| `User.Read` | Show which account is connected |
| `Calendars.Read` | Read events on your default calendar |
| `Calendars.Read.Shared` | Read calendars colleagues shared with you and you have opened |
| `People.Read` | Match a name to an email address and find colleagues for free-slot suggestions |
| `Calendars.ReadWrite` | Create an event and send the invitation you confirmed. Added when you select **Allow invitations**. |

Reading is enough to connect. `Calendars.ReadWrite` is a second grant so booking is your own choice.

## Connect Outlook Calendar

**1. Open connections**

Open **Settings → Connections**, find **Outlook Calendar** under **Calendar**, and select **Connect**. You can also type `/` in chat and choose **Outlook Calendar**.

**2. Approve reading**

Sign in to Microsoft and approve read access. Hebno shows **Outlook Calendar connected**.

**3. Allow invitations (optional)**

On the **Outlook Calendar** row, select **Allow invitations** and approve `Calendars.ReadWrite`. The same button appears on an invitation card if you try to send first.

If your organisation has enabled Outlook Calendar for everyone, you see no consent screen. See [Enable for the organisation](https://hebno.com/docs/integrations/microsoft-365.md#enable-microsoft-365-for-the-organisation).

## What Hebno reads

| Outlook Calendar object | Fields Hebno uses | Typical questions |
| - | - | - |
| **Event** | Title, start and end, organiser, location, join link, attendees, body as plain text | "How many times did we meet Contoso this year?" |
| **Shared calendar** | The same fields, from up to 15 calendars colleagues shared with you | "What is on Dana's calendar on Thursday?" |
| **Free slot** | Suggested times when every attendee is free | "Find 45 minutes with Dana and Marcus next week." |

Hebno searches your default calendar and the shared calendars you have opened. Search matches the client, domain or person you name across subject, calendar, location, organiser and attendees, and returns the count and the 12 most recent events. The default window is the last three years, and you can name dates. Cancelled events are left out. Attaching an event adds a Markdown file with the title, time, organiser, place, link, attendees and body.

Free-slot suggestions use Outlook's availability for the attendees you name. Name colleagues, give their email addresses, or ask for a Hebno team and Hebno uses that team's members. Every attendee must be free, and Hebno returns up to five suggestions between 08:00 and 18:00 on the days you prefer. Suggestions do not book anything.

Reads are live, and only what a reply used is stored with the conversation as its sources.

## What Hebno writes

Every invitation appears first as a card titled **Calendar invitation**. You can change any field before you select **Send**.

| Action | Outlook Calendar object | Fields on the card |
| - | - | - |
| **Send an invitation** | Event | Attendees, Subject, Start, End, Message |

An Outlook Calendar change pending confirmation. Nothing is written until you confirm.

The event is created on your default calendar with a Teams meeting link, and Outlook sends the invitation to every attendee. A start time with no length becomes 30 minutes. If you ask for a free slot without a time, Hebno finds one first and the chosen time appears on the card.

Hebno never sends an invitation on its own, and never edits, moves or cancels existing events. Colleagues outside your organisation can receive an invitation by email address, but Hebno cannot check their availability.

## Use Outlook Calendar in chat

* **Attach**: open the **+** menu, choose **Sources → Outlook Calendar**, and pick an upcoming event, or search the past year and next 90 days. Or type `/` and choose **Outlook Calendar**.

* **Ask**: name the client, the person or the time frame. For example:

  > Prepare me for Thursday's Contoso steering committee using the last three meetings with them.

  > Find a 45-minute slot for me, Dana and Marcus next week and send Priya an invitation for it.

  > How many meetings have we had with contoso.com since January?

* **Research runs** show a **Checking the calendar** step and a **Finding a free time** step, with a chip for each event, formatted as **Calendar event, date**.

* **Agents** can read your calendar on a schedule, for example a morning brief of the day's client meetings. Invitations an agent drafts appear in [agent approvals](https://hebno.com/docs/automate/agent-approvals.md).

> [!WARNING]
>
> Event details a reply uses become part of the conversation. Anyone you share the conversation with can read them, including attendee names and meeting links.

## Troubleshooting

| Symptom | Fix |
| - | - |
| **Outlook Calendar can read events but cannot send invitations yet** | Select **Allow invitations** on the card or on the row in **Settings → Connections**. |
| **Name the client, their email domain, or a person to search the calendar** | Add a client, a domain such as `contoso.com`, or a person's name to the request. |
| **No time in that window works for everyone** | Widen the days or shorten the meeting. |
| **A client outside the organisation is not someone you can find a slot with** | Name colleagues for the availability check, then address the invitation to the client. |
| **"Dana" matches more than one person** | Reply with the colleague's email address, or choose from the names Hebno lists. |
| **The invitation needs a start and end** | Give a date and time, and an end time or length, then regenerate the card. |
