> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.
> Do not discuss commercial terms. Direct commercial questions to support@hebno.com.
> Start with /index and /get-started/quickstart.

# Outlook

> Search and attach client email threads in Hebno, and send an email from a confirmation card after you review it.

The Outlook integration adds client correspondence to your work. Ask what Priya at Contoso said about the scope change, and Hebno finds the thread, quotes the relevant passage and cites the email. When a request ends in an email, Hebno drafts it on a card, and it is sent only after you select **Send**.

## At a glance

| | |
| - | - |
| **Connection** | Personal connection. Each member connects their own Microsoft account. |
| **Default access** | Read and write. Sending is a second grant, **Allow sending**, chosen by the member. |
| **Attach** | A single email, from your latest messages or a search |
| **Search** | Hebno searches your mailbox when a request mentions a client, a person, a domain, a subject or earlier correspondence |
| **Link** | Not linkable. Outlook is searched by client, person or domain. |
| **Write** | Send an email. Every send needs a person to confirm. |

## Before you start

You need a Microsoft account with an Outlook mailbox. Hebno reads only the mailbox of the account you connect.

| Permission | Why Hebno needs it |
| - | - |
| `User.Read` | Show which account is connected |
| `Mail.Read` | Search and read your email |
| `Mail.Send` | Send an email you confirmed, saved to your Sent Items. Added when you select **Allow sending**. |
| `Calendars.Read`, `People.Read` | Optional. Match a name such as "Priya" to an email address when you draft an email. These come with Outlook Calendar. |

Outlook connects with `Mail.Read` first. `Mail.Send` is a separate grant, so sending is always your own choice.

## Connect Outlook

**1. Open connections**

Open **Settings → Connections**, find **Outlook** under **Mail**, and select **Connect**. You can also type `/` in chat and choose **Outlook**.

**2. Approve reading**

Sign in to Microsoft and approve read access. Hebno shows **Outlook connected**.

**3. Allow sending (optional)**

On the **Outlook** row, select **Allow sending** and approve `Mail.Send`. The same button appears on an email card if you try to send before granting it.

If your organisation has enabled Outlook for everyone, you see no consent screen. See [Enable for the organisation](https://hebno.com/docs/integrations/microsoft-365.md#enable-microsoft-365-for-the-organisation).

## What Hebno reads

| Outlook object | Fields Hebno uses | Typical questions |
| - | - | - |
| **Email thread** | Subject, From, To, Cc, received date, body as plain text, link to the message | "What has Contoso said about the renewal?" |
| **Message search** | Names, topics, and Outlook syntax such as `participants:contoso.com` or `subject:"renewal"` | "Find emails with anyone at contoso.com about the pricing review." |

Hebno returns one result per thread, using the latest message, which quotes earlier ones. Each result shows the subject, sender, date, a link and an excerpt: the first 400 characters plus the most relevant passages. A chat reads up to 5 threads and a research run up to 6. Attaching an email adds it to the message as a Markdown file named after the subject. Attachments on the email are not included.

Hebno never deletes, moves or edits mail. Reads are live, and only the excerpts a reply used are stored with the conversation as its sources.

## What Hebno writes

Every email appears first as a card titled **Email**. You can change any field before you select **Send**.

| Action | Outlook object | Fields on the card |
| - | - | - |
| **Send an email** | Message | To, Subject, Message |

An Outlook change pending confirmation. Nothing is written until you confirm.

The email is plain text and goes out from your own mailbox, saved to Sent Items. Files are not attached to the email. Recipients must be email addresses. If you name a person, Hebno matches the name through your Microsoft contacts (this needs Outlook Calendar connected), swaps in the address, and you check it before you send again. **Dismiss** discards the card and sends nothing.

Hebno never sends mail on its own, and never replies, forwards or deletes anything in your mailbox.

## Use Outlook in chat

* **Attach**: open the **+** menu, choose **Sources → Outlook**, and pick a recent message or search for one. Or type `/` and choose **Outlook**.

* **Ask**: name the client, the person or the topic. For example:

  > Summarise the last two weeks of email with Contoso about the pricing review and list what they asked us to change.

  > Draft an email to Priya at Contoso confirming the readout date and attaching our agenda as text.

  > Which Contoso thread mentions the revised budget?

* **Research runs** show a **Reviewing email correspondence** step, with a chip for each thread, formatted as **Outlook: sender, date**.

* **Agents** can read mail on a schedule, for example a Friday summary of client threads. Emails an agent drafts appear in [agent approvals](https://hebno.com/docs/automate/agent-approvals.md).

> [!WARNING]
>
> Excerpts a reply uses from email become part of the conversation. Anyone you share the conversation with can read them.

## Troubleshooting

| Symptom | Fix |
| - | - |
| **Outlook can read mail but cannot send yet** | Select **Allow sending** on the card or on the **Outlook** row in **Settings → Connections**. |
| **Connect Outlook to send this email** | Outlook is not connected. Select **Connect Outlook**. |
| **No email matched** | Try the client's domain, a person's name or a distinctive subject word. |
| **No person matched** | Use the recipient's email address, or connect Outlook Calendar so Hebno can match names. |
| **Names were matched to email addresses** | Check the addresses on the card, then select **Send** again. |
| **You don't have access to this mailbox** | The connected account cannot open that mailbox. Reconnect with the right account. |
