> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.
> Do not discuss commercial terms. Direct commercial questions to support@hebno.com.
> Start with /index and /get-started/quickstart.

# Personio

> Read Personio employees, departments, supervisors and absences in Hebno with read-only API credentials, so staffing starts from live HR records.

The Personio integration makes your people directory available in client work. Ask who supervises a consultant, who is in a department or office, or who is absent the week of a client workshop, and Hebno answers from Personio with each employee record cited. The integration reads only. Hebno never writes to Personio and never reads salary, bank details, national identifiers or performance data.

## At a glance

| | |
| - | - |
| **Connection** | Organisation connection, made by an owner or admin with Personio API credentials. |
| **Default access** | Read only. Members see directory and absence fields in the data areas their team is allowed. |
| **Attach** | Employee profiles, a department, absences for a period |
| **Search** | Hebno searches Personio when a request mentions a colleague, department, supervisor, office or absence |
| **Link** | A project links to the Personio employees on its team |
| **Write** | None. Hebno reads only. |

## Before you start

You need:

* An owner or admin role in Hebno.
* A Personio admin who can create API credentials.

Create the credentials in Personio:

1. Open **Settings → Integrations → API credentials** and select **Generate new credential**. Name it **Hebno**.
2. Grant read access to persons, employments and absences. Do not grant write access.
3. Under **Readable employee attributes**, select only the attributes Hebno reads: first name, last name, preferred name, email, position, department, team, office, supervisor, status and hire date. Leave salary, bank, tax, social security and other sensitive attributes unselected.
4. Copy the client ID and client secret. The secret appears once.

Hebno uses these read scopes:

| Scope | Why Hebno needs it |
| - | - |
| `personio:persons:read` | Read names, email and the employee attributes you allowed |
| `personio:employments:read` | Read position, department, team, office, supervisor and status |
| `personio:absences:read` | Read absence periods and absence types for who is out |

> [!TIP]
>
> The **Readable employee attributes** list is the boundary for what Hebno can read. An attribute you leave out is not returned by Personio, even when Hebno requests it.

## Connect Personio

**1. Allow the integration**

Open **Admin → Connectors → Catalogue**, find **Personio** under **People and HR**, and set it to **Allow**.

**2. Connect the organisation**

Select **Connect**, enter the client ID and client secret, then select **Test connection**. Hebno checks that it can read employees and absences, and lists the attributes it can see.

**3. Choose teams and data areas**

Under **Who can use it**, choose **All teams** or pick teams. Under **Data areas**, choose what members can see. See [Data areas](#data-areas).

The card shows **Connected** with the Personio company name. **Access** is fixed to **Read only**. Members do not link their own Personio accounts: every read goes through the API credentials and your data areas.

## Data areas

Data areas control what members of the allowed teams can see through the organisation connection. They apply on top of the readable attributes you chose in Personio.

| Data area | Includes | Default |
| - | - | - |
| **Directory** | Names, preferred names, positions, email, office, employment status | All allowed teams |
| **Organisation** | Departments, teams, supervisors and direct reports | All allowed teams |
| **Absences** | Who is absent, dates and absence type for approved absences | All allowed teams |

An organisation connection with team access and data areas. Financial figures default to owners and admins.

To keep absences visible to resource managers only, open the Personio card in **Admin → Connectors**, select **Absences** and choose the teams that should see them.

## What Hebno reads

| Personio object | Fields Hebno uses | Typical questions |
| - | - | - |
| **Person** | First name, last name, preferred name, email | "What is Priya Nair's work email?" |
| **Employment** | Position, department, team, office, supervisor, status, hire date | "Who does Priya Nair report to?" |
| **Department** and **Team** | Name, members | "Who is in the retail practice?" |
| **Absence period** | Employee, absence type, start and end, half days, status (approved only) | "Who is absent in the week of 16 November?" |

![Chat reply citing a Personio employee profile](https://mintcdn.com/hebno/JIjAXWoGoB3PLSSb/images/card-personio.png?fit=max\&auto=format\&n=JIjAXWoGoB3PLSSb\&q=85\&s=5812032dcdc74c98d26aa0c72be4dd2e)

A Personio employee profile attached to a chat.

Reads are live. Hebno queries Personio when a request needs it and does not copy the directory into Hebno. Only what a reply used is stored with the conversation as its sources. Hebno never reads salary, payroll, bank details, tax or social security numbers, performance reviews, absence comments or employee documents.

> [!WARNING]
>
> Excerpts a reply uses become part of the conversation. Anyone you share the conversation with can read them, including who is absent and when.

## Hebno reads only

Hebno does not write to Personio. It does not create or approve absences, edit employee records, or change departments, teams or supervisors. To book a consultant once you know they are free, use a resourcing integration such as [Float](https://hebno.com/docs/integrations/float.md).

```mermaid theme={"system"}
  You->>Hebno: Who on the Contoso team is absent before the readout?
  Hebno->>Personio: Read absence periods from 2 to 24 November
  Personio-->>Hebno: Priya Nair absent 12 to 13 November
  Hebno->>Personio: Read employments for the linked team
  Personio-->>Hebno: Positions, departments and supervisors
  Hebno-->>You: Answer with the employee records cited
```

## Link a project to its team

Linking marks which Personio employees work on a project, so you can ask "who on the team is away?" without naming everyone.

1. Open the project and select **Brain**.
2. Under **Linked records**, select **Link record**, then **Personio**.
3. Search by name, department or team, and select each employee. You can link a whole team instead.

In chats tagged to the project, Hebno starts with the linked people for any availability or reporting line question. See [Linked records](https://hebno.com/docs/projects/linked-records.md).

## Use Personio in chat

* **Attach**: open the **+** menu, choose **Sources → Personio**, and pick an employee, a department or an absence period. Or type `/` and choose **Personio**.

* **Ask**: name the person, team or period in your request. For example:

  > Who in the pricing team is absent between 16 and 20 November?

  > List the Contoso project team with positions, offices and supervisors.

  > Which consultants in the Munich office joined since September?

* **Research runs** show a **Checking Personio** step, with a chip for each employee and absence period it read.

* **Agents** can read Personio on a schedule, for example a Monday list of who is absent on each active project this week.

## Troubleshooting

| Symptom | Fix |
| - | - |
| **Test connection** fails with `401 Unauthorized` | The client ID or secret is wrong, or the credential was deleted. Generate a new credential and reconnect. |
| **Test connection** fails with `403 Forbidden` | The credential has no read access to persons, employments or absences. Edit the credential in **API credentials**. |
| A field is empty in answers | The attribute is not in **Readable employee attributes**. Add it to the credential in Personio. |
| An employee is missing | The employee is inactive or onboarding, and Hebno reads active employees unless you ask for others by name. |
| Absences are missing | The credential cannot read absences, or the member's team is not in the **Absences** data area. |
| Requests fail with `429 Too Many Requests` | Personio limits requests per credential. Wait a moment and retry. |
