> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.

# SharePoint

> Search the SharePoint sites you can open, link a client site to a project, and save deliverables into its document libraries after you confirm.

The SharePoint integration makes the firm's document libraries available in client work. Ask what the engagement team has already written for Contoso, and Hebno searches the project's linked sites first, then every site you can open, and cites each document it reads. When a deliverable is ready, you choose a linked site or a folder in a library and confirm the save.

## At a glance

| | |
| - | - |
| **Connection** | Personal connection. Each member connects their own Microsoft account. |
| **Default access** | Read and write |
| **Attach** | Files from a site's document library, recent site documents, and folders as references |
| **Search** | Hebno searches linked sites first, then every site you can open, when a request mentions a client, a topic or an existing document |
| **Link** | A project and the organisation library link to SharePoint sites and libraries |
| **Write** | Save a deliverable to a linked folder, or to a library folder you choose. Every save needs a person to confirm. |

## Before you start

You need a Microsoft work or school account with access to the SharePoint sites you want to use. Hebno can read only what that account can open. SharePoint shares one Microsoft connection with the other Microsoft integrations.

| Permission | Why Hebno needs it |
| - | - |
| `User.Read` | Show which account is connected |
| `Files.ReadWrite` | Read files and save a deliverable you confirmed |
| `Files.ReadWrite.All` | Browse, search and read files across the sites you can already open, and save into their libraries |
| `Sites.Read.All` | Open a site from its link, list the sites you can open and read recent-use insights |

SharePoint permissions are requested only when you first use SharePoint, so members who only use OneDrive never see them. An admin can approve them once for everyone (see below).

## Connect SharePoint

**1. Allow the integration**

An owner or admin opens **Admin → Connectors → Catalogue**, finds **SharePoint** under **Files**, and confirms it is set to **Allow**.

**2. Connect your account**

Open **Settings → Connections**, find **SharePoint** and select **Connect** (or **Grant access** if your Microsoft account is already connected for OneDrive). You can also type `/` in chat and choose **SharePoint**.

**3. Approve in Microsoft**

Sign in and approve the permissions. Hebno shows **OneDrive and SharePoint connected**.

### Enable for the organisation

SharePoint permissions can be approved once by a Microsoft directory administrator, so members never see a consent screen.

1. In **Admin → Connectors → Catalogue**, open the **SharePoint** card.
2. Select **Enable for the organisation** and approve in Microsoft as a directory administrator.
3. Members select **Grant access** on their SharePoint row. It shows **Enabled by your organisation**.

This removes a prompt only. Each member still connects their own account and sees only the sites and files Microsoft allows them to open. See the [Microsoft Entra admin guide](https://hebno.com/docs/integrations/microsoft-entra-admin.md).

## What Hebno reads

| SharePoint object | Fields Hebno uses | Typical questions |
| - | - | - |
| **Site** | Name, address, whether you follow it | "Which sites do we have for Contoso Retail?" |
| **Document library** | Library name, folders, files, modified dates | "What is in the Delivery library on the Contoso site?" |
| **File** | Name, path, link, modified date, text of Word, PowerPoint, Excel and PDF files | "What did we recommend in the last Contoso pricing deck?" |
| **Recent files** | Documents you used recently in SharePoint sites | "Pull up the SharePoint documents I was in last week." |

Selected sites and folders are searched by meaning as well as by keyword.

Search runs in four steps, and the first step that returns results is used. The research trace names the step that ran.

1. **Linked sites**: topic words are searched within the project's linked sites. If none are linked, Hebno searches for a site or folder named after the client.
2. **Every site you can open**: the same words are searched across all your sites.
3. **Client and project names**: used when the topic words found nothing.
4. **Newest files**: the most recently changed files in the linked sites, when no search matched.

Hebno lists up to 10 files per search and reads the best matches: three in a research run, two in chat. Files it found but did not read appear as **Found, not read** chips. Hebno reads Word, PowerPoint, Excel, PDF and text files up to 25 MB. The sites and libraries your organisation selects are stored in the [knowledge index](https://hebno.com/docs/get-started/how-hebno-works.md) and searched by meaning, with SharePoint permissions applied. Attaching a specific file reads it as it is now, and only the excerpts a reply used are stored with the conversation as its sources.

## What Hebno writes

Every save appears first as a confirmation dialog titled **Save to** the destination.

| Action | SharePoint object | Fields on the card |
| - | - | - |
| **Save to folder** | File in a linked site or library folder | Site and library, folder, filename, format (Markdown, PDF, Word, PowerPoint, or Excel for workbooks), template |

![Confirmation card for SharePoint with editable fields](https://mintcdn.com/hebno/A7yItabWdPf4lOIs/images/card-sharepoint.png?fit=max\&auto=format\&n=A7yItabWdPf4lOIs\&q=85\&s=0c103951696ca0f08fb336e7d92ca709)

A SharePoint change pending confirmation. Nothing is written until you confirm.

You can save to a folder linked on the project, or choose a folder inside the library, for example `Delivery/Reports`. If the same deliverable was saved to the same place before, Hebno updates that file in place and the dialog says **This will replace the existing file**. Documents, decks and spreadsheets all save the same way.

Hebno never deletes files, edits other files in the library, changes permissions or shares links.

## Link a project to a site

Linking marks which SharePoint sites and libraries belong to a project, so searches start there.

1. Open the project and select **Brain**.
2. Under **Linked sources**, select **Link source**, then **SharePoint**.
3. Paste the site or library link, for example `https://contoso.sharepoint.com/sites/client`, or choose **Browse**. Select **Link**.

The link must be https, on a `*.sharepoint.com` address, with a path that starts `/sites/` or `/teams/`. Personal `-my.sharepoint.com` addresses link as OneDrive folders instead. Link as many sites as the engagement uses. An owner or admin can also link a site to the [organisation library](https://hebno.com/docs/library/workspace-library.md) for knowledge the whole firm uses.

## Use SharePoint in chat

* **Attach**: open the **+** menu, choose **Sources → SharePoint**, pick a site (or paste its link with **Open this SharePoint site**), browse its libraries and select a file. Or type `/` and choose **SharePoint**.

* **Ask**: name the client, the site or the document. For example:

  > Find our previous retail pricing work on SharePoint and list the assumptions we reused.

  > What is in the Contoso delivery library that we have not used in the readout?

  > Save this deck to the Contoso delivery folder.

* **Research runs** show a **Searching SharePoint** step, and the trace group **Checking context in SharePoint**. Chips marked **Searched first** came from a linked site.

* **Agents** can read linked sites on a schedule. Saves an agent proposes appear in [agent approvals](https://hebno.com/docs/automate/agent-approvals.md).

> [!WARNING]
>
> Excerpts a reply uses from SharePoint documents become part of the conversation. Anyone you share the conversation with can read them.

## Troubleshooting

| Symptom | Fix |
| - | - |
| **Your Microsoft account has not been granted SharePoint access yet** | Open a SharePoint source from chat, or select **Grant access** under **Settings → Connections**. If Microsoft asks for administrator approval, an admin selects **Enable for the organisation**. |
| **You don't have access to this site or file** | Your Microsoft account cannot open it. Ask the site owner for access in SharePoint. |
| **Enter a SharePoint site or library link** | Use an address like `https://contoso.sharepoint.com/sites/client`. |
| **No SharePoint file matched** | Try fewer or broader words, or ask Hebno to list the linked site and browse its folders. |
| **This connection cannot write yet** | Select **Grant access** under **Settings → Connections**, then save again. |
| A file shows **Found, not read** | The file type cannot be read as text, or it is over 25 MB. Open it in SharePoint, or attach an export. |
