> ## Agent Instructions
> Hebno is an AI work platform for client research and delivery: chat, research runs with sources, deliverables (Word, PowerPoint, Excel, email), projects, a shared library, agents, Office add-ins, and integrations with Microsoft 365, Google Workspace, CRM, project delivery, ERP and finance systems.
> Use British English (organisation, not organization).
> Every feature and integration described in these docs is available. Describe it as documented.
> Hebno never writes to a connected system without a member confirming a card. Finance and ERP writes are drafts only.
> Do not discuss commercial terms. Direct commercial questions to support@hebno.com.
> Start with /index and /get-started/quickstart.

# Xero

> Read Xero contacts, invoices, bills, reports and projects in Hebno, and prepare draft invoices, draft quotes and project time entries after you confirm.

The Xero integration makes the books available in client work. Ask what a client owes and how late it is, how a project's revenue compares with its costs, or what the Profit and Loss looks like for a tracking category, and Hebno answers from Xero with each record cited. When a request implies a change, such as preparing an invoice or logging project time, Hebno shows a confirmation card and writes to Xero only after you confirm.

## At a glance

| | |
| - | - |
| **Connection** | Organisation connection, made by an owner or admin who authorises one or more Xero organisations. Members can link their own Xero account. |
| **Default access** | Read only. Financial figures are visible to owners and admins until you share them with teams. |
| **Attach** | Contacts, invoices, bills, reports, Xero Projects projects |
| **Search** | Hebno searches Xero when a request mentions a client, invoice, bill, payment, balance, report or project |
| **Link** | A project links to a Xero contact and tracking option, or to a Xero project |
| **Write** | Prepare a draft invoice, prepare a draft quote, add a Xero Projects time entry. Every write needs a person to confirm. |

## Before you start

You need:

* An owner or admin role in Hebno.
* A Xero user with the **Adviser** or **Standard** role, or higher, in each Xero organisation you want to connect. The connecting user must be able to authorise apps for the organisation.
* Xero Projects enabled in the organisation if you want project reads and time entries.

### Permissions

Xero apps created from 2 March 2026 request granular scopes, and Hebno requests the granular scopes on every connection.

| Scope | Why Hebno needs it |
| - | - |
| `offline_access` | Renews access between requests |
| `openid`, `profile`, `email` | Identify the connecting user |
| `accounting.contacts` | Read and create contacts, and read client details |
| `accounting.settings` | Read tracking categories and options, accounts and organisation settings |
| `accounting.invoices` | Read invoices, bills and quotes, and create draft invoices and draft quotes |
| `accounting.reports.aged.read` | Read Aged Receivables and Aged Payables |
| `projects.read`, `projects` | Read Xero Projects projects, tasks and time, and add time entries |

Hebno also requests the granular scopes Xero publishes for payments, Profit and Loss and Balance Sheet. The Xero consent screen lists every scope before you approve it.

> [!TIP]
>
> Connect with a Xero user whose role matches what you want Hebno to access. Xero enforces that user's access on every call, and a request outside it returns a permission error rather than partial data.

## Connect Xero

**1. Allow the integration**

Open **Admin → Connectors → Catalogue**, find **Xero** under **Finance**, and set it to **Allow**.

**2. Connect the organisation**

Select **Connect** and sign in to Xero. Choose each Xero organisation Hebno may use and approve the scopes. Hebno lists the organisations it can access.

**3. Choose teams and data areas**

Under **Who can use it**, choose **All teams** or pick teams for each Xero organisation. Under **Data areas**, choose what members can see. See [Data areas](#data-areas).

**4. Set access**

**Access** is **Read only** by default. Choose **Read and write** to let members propose draft invoices, draft quotes and project time entries.

The card shows **Connected** with the name of each Xero organisation. To add another Xero organisation later, select **Add organisation** on the card.

### Link your own account

Members can link their own Xero account so writes are made in their name under their own Xero role.

1. In Hebno, open **Settings → Connections**, find **Xero** and select **Link your account**.
2. Sign in to Xero and approve the request for the organisations you use.

When your account is linked, Hebno reads and writes as you, and you see only what your Xero role allows.

## Data areas

Data areas control what members of the allowed teams can see through the organisation connection. They apply on top of what the connecting Xero user can read.

| Data area | Includes | Default |
| - | - | - |
| **Contacts** | Contacts, contact groups, email and phone | All allowed teams |
| **Projects** | Xero Projects projects, tasks, time entries, status, estimates | All allowed teams |
| **Financials** | Invoices, bills, payments, tracking category figures, Profit and Loss, Balance Sheet, aged reports | Owners and admins |

![Admin connector panel showing who can use it, access and data areas](https://mintcdn.com/hebno/A7yItabWdPf4lOIs/images/org-connection.png?fit=max\&auto=format\&n=A7yItabWdPf4lOIs\&q=85\&s=8d965e9c74747db0c182b004d569b236)

An organisation connection with team access and data areas. Financial figures default to owners and admins.

To share financials with delivery leads, open the Xero card in **Admin → Connectors**, select **Financials** and add the teams that should see them.

> [!NOTE]
>
> When a member has linked their own account, Hebno uses that member's Xero role instead of the organisation connection. Data areas still apply, so a member never sees more through Hebno than both Xero and your Hebno settings allow.

## What Hebno reads

| Xero object | Fields Hebno uses | Typical questions |
| - | - | - |
| **Contact** | Name, email, status, outstanding and overdue balances | "What does Contoso Retail owe us?" |
| **Invoice** (sales) | Number, contact, date, due date, status, amount due, line items, tracking | "Which Contoso invoices are overdue?" |
| **Bill** (purchase) | Supplier, date, due date, status, amount due, line items | "What bills are due this month for subcontractors?" |
| **Payment** | Date, amount, invoice, account | "When did Contoso last pay us?" |
| **Tracking category** | Category, options, figures by option | "What did the Contoso engagement earn and cost?" |
| **Report** | Profit and Loss, Balance Sheet, Aged Receivables by contact | "Show the Profit and Loss for the quarter by tracking option." |
| **Xero Projects** | Projects, tasks, estimates, time entries, status, amounts invoiced | "How many hours are logged against the Contoso project?" |

Reports come from Xero as they are at the time of the request, so figures match what the finance team sees. Reads are live. Hebno queries Xero when a request needs it. Only what a reply used is stored with the conversation as its sources.

> [!WARNING]
>
> Excerpts a reply uses, including balances and profit figures, become part of the conversation. Anyone you share the conversation with can read them.

## What Hebno writes

Every write appears first as a confirmation card. You can change any field before you select **Confirm**. Hebno writes drafts only.

| Action | Xero object | Fields on the card |
| - | - | - |
| **Prepare a draft invoice** | Invoice with status **Draft** | Contact, date, due date, line items, quantities, unit amounts, account, tax rate, tracking option, reference |
| **Prepare a draft quote** | Quote with status **Draft** | Contact, date, expiry, line items, quantities, unit amounts, tax rate, title, summary |
| **Add a time entry** | Xero Projects time entry | Project, task, date, duration, description |

![Confirmation card for Xero with editable fields](https://mintcdn.com/hebno/A7yItabWdPf4lOIs/images/card-xero.png?fit=max\&auto=format\&n=A7yItabWdPf4lOIs\&q=85\&s=535172d3fd27e82499e42c279be3e194)

A Xero change pending confirmation. Nothing is written until you confirm.

A draft invoice or quote is in **Draft** in Xero until a person reviews it there. Hebno never approves, authorises or sends an invoice or quote, records or applies a payment, posts a manual journal, reconciles a bank transaction, or changes contacts, accounts, tax rates or other settings.

If you have linked your own account, the record is created as you. Otherwise it is created through the organisation connection, with the write recorded against you in **Admin → Logs → Integrations**.

## Link a project to Xero

Linking marks which Xero records belong to a project, so you can ask "what has Contoso been billed?" without naming the contact.

1. Open the project and select **Brain**.
2. Under **Linked records**, select **Link record**, then **Xero**.
3. Choose the Xero organisation. Link a **contact** and, if you track engagements that way, a **tracking option**, or link a **Xero project**.

In chats tagged to the project, Hebno starts with the linked records for any billing, receivables or profitability question, and cards default to them. See [Linked records](https://hebno.com/docs/projects/linked-records.md).

## Use Xero in chat

* **Attach**: open the **+** menu, choose **Sources → Xero**, and pick a contact, an invoice, a report or a project. Or type `/` and choose **Xero**.

* **Ask**: name the client, period or report in your request. For example:

  > Show Aged Receivables for Contoso Retail and draft a polite reminder for anything over 30 days.

  > Compare revenue and cost for the Contoso tracking option this quarter.

  > Prepare a draft quote for Contoso for a four-week pricing review.

* **Research runs** show a **Checking Xero** step, with a chip for each record or report it read.

* **Agents** can read Xero on a schedule, for example a Monday summary of overdue invoices. Writes an agent proposes appear in [agent approvals](https://hebno.com/docs/automate/agent-approvals.md) for review.

## Troubleshooting

| Symptom | Fix |
| - | - |
| The Xero sign-in shows a scope error | Reconnect and approve every scope listed. Xero requests it again when a scope was not granted. |
| A Xero organisation is missing from the list | The connecting user is not a member of it, or did not select it. Reconnect and select it. |
| Financial figures are missing from answers | The member's team is not in the **Financials** data area. |
| Reports return less than expected | The connecting user's Xero role cannot see that report. Reconnect with a user who can. |
| Requests are slow or return a rate limit message | Xero limits calls per organisation each minute and each day. Wait a minute, or narrow the request. |
| Project time entries do not appear | Xero Projects is not enabled for the organisation, or the member lacks access to the project. |
