# Zoho CRM

> Read Zoho CRM accounts, contacts, leads, deals and activities in Hebno, and add notes, tasks, calls and deal updates after you confirm.

The Zoho CRM integration shows your pipeline next to your client work. Ask what is open with an account, which leads came in from an event, or what was agreed on the last call, and Hebno answers from Zoho CRM with each record cited. When a request implies a change, such as adding a note or moving a deal to a new stage, Hebno shows a confirmation card and writes to Zoho CRM only after you confirm.

## At a glance

| | |
| - | - |
| **Connection** | Personal connection. Each member connects their own Zoho CRM user. |
| **Default access** | Read and write |
| **Attach** | Accounts, contacts, leads, deals |
| **Search** | Hebno searches Zoho CRM when a request mentions a client, contact, lead, deal, stage, closing date or past activity |
| **Link** | A project links to a Zoho CRM account and to one or more deals |
| **Write** | Add a note, create a task, log a call, update a deal, create a contact. Every write needs a person to confirm. |

## Before you start

You need:

* A Zoho CRM user in the organisation that contains your CRM data.
* A Zoho CRM profile with API access and permission to the modules you want to use. A Zoho CRM administrator manages this under **Setup → Users and Control → Security Control → Profiles**.
* An allowed integration. An owner or admin sets **Zoho CRM** to **Allow** under **Admin → Connectors → Catalogue**.

Hebno connects to the Zoho data centre your account belongs to, for example `accounts.zoho.eu` for an EU account or `accounts.zoho.com` for a US account. You do not need to choose it: Zoho returns the right one when you sign in.

Hebno requests these OAuth scopes:

| Scope | Why Hebno needs it |
| - | - |
| `ZohoCRM.modules.accounts.READ` | Read accounts and their related lists |
| `ZohoCRM.modules.contacts.ALL` | Read contacts and create them after you confirm |
| `ZohoCRM.modules.leads.READ` | Read leads, lead status and lead source |
| `ZohoCRM.modules.deals.ALL` | Read deals and update stage, amount and closing date after you confirm |
| `ZohoCRM.modules.notes.ALL` | Read notes and add them after you confirm |
| `ZohoCRM.modules.tasks.ALL`, `ZohoCRM.modules.calls.ALL` and `ZohoCRM.modules.events.READ` | Read activities, and create tasks and log calls after you confirm |
| `ZohoCRM.settings.fields.READ` and `ZohoCRM.settings.layouts.READ` | Read field labels, picklist values and deal stages |
| `ZohoCRM.coql.READ` | Run filtered queries, for example open deals for one account |
| `ZohoCRM.users.READ` and `ZohoCRM.org.READ` | Show record owners by name and identify your organisation |

## Connect Zoho CRM

**1. Start the connection**

Open **Settings → Connections**, find **Zoho CRM** and select **Connect**. You can also select **Connect** from the prompt in a chat.

**2. Sign in to Zoho**

Sign in with your Zoho account. If you belong to more than one Zoho CRM organisation, choose the one that contains your client records, then select **Accept**.

**3. Return to Hebno**

The card shows **Connected** with your Zoho CRM organisation name.

Hebno reads and writes with your own permissions, so you see only the records and fields that your Zoho CRM profile, role and data sharing rules allow. Tokens are encrypted at rest. Select **Disconnect** at any time, or ask an admin to revoke the connection under **Admin → Connectors → Connections**. You can also remove Hebno in Zoho under **My Account → Security → Connected Apps**.

## What Hebno reads

| Zoho CRM module | Fields Hebno uses | Typical questions |
| - | - | - |
| **Account** | Account name, website, industry, account owner, billing address | "What do we know about Contoso Retail?" |
| **Contact** | Name, title, email, phone, account name, contact owner | "Who are our contacts at Contoso?" |
| **Lead** | Name, company, lead status, lead source, lead owner, created time | "Which leads came in from the November retail breakfast?" |
| **Deal** | Deal name, amount, stage, pipeline, closing date, probability, account name, contact name, deal owner | "Which Contoso deals close this quarter?" |
| **Task, call and meeting** | Subject, due date or start time, status, call result, related record, owner | "When did we last speak to Priya Nair?" |
| **Note** | Title, content, parent record, created by, created time | "What did we note after the discovery meeting?" |

Reads are live. Hebno queries Zoho CRM when a request needs it. Only what a reply used is stored with the conversation as its sources. Custom fields appear by their field label, so a request can name them as your team does in Zoho.

> [!WARNING]
>
> Excerpts a reply uses become part of the conversation. Anyone you share the conversation with can read them, including notes and contact details from Zoho CRM.

## What Hebno writes

Every write appears first as a confirmation card. You can change any field before you select **Confirm**.

| Action | Zoho CRM module | Fields on the card |
| - | - | - |
| **Add a note** | Notes | Parent account, contact, lead or deal, title, note content |
| **Create a task** | Tasks | Subject, related record, due date, priority, task owner |
| **Log a call** | Calls | Subject, call type, start time, duration, call result, related record, description |
| **Update a deal** | Deals | Stage, amount, closing date, next step |
| **Create a contact** | Contacts | First name, last name, email, phone, title, account name |

A Zoho CRM change pending confirmation. Nothing is written until you confirm.

Hebno never deletes or merges records, converts leads, changes layouts, workflows or blueprints, or sends email from Zoho CRM.

Writes are made as your Zoho CRM user, so Zoho shows you as the person who modified the record.

## Link a project to an account and a deal

Linking marks which Zoho CRM records belong to a project, so you can ask "where does the deal stand?" without naming it.

1. Open the project and select **Brain**.
2. Under **Linked records**, select **Link record**, then **Zoho CRM**.
3. Search for the account and select it. Repeat to add the deals that belong to the engagement.

In chats tagged to the project, Hebno starts with the linked account and deals for any client or pipeline question, and cards for notes and tasks default to them. See [Linked records](https://hebno.com/docs/projects/linked-records.md).

## Use Zoho CRM in chat

* **Attach**: open the **+** menu, choose **Sources → Zoho CRM**, and pick an account, contact, lead or deal. Or type `/` and choose **Zoho CRM**.

* **Ask**: name the client, contact or deal in your request. For example:

  > Prep me for Thursday's meeting with Contoso Retail: open deals, the contacts we have met and the last three notes.

  > List every deal in the Proposal stage with a closing date in November 2026 and no activity in the last 14 days.

  > Log a 30 minute call with Priya Nair on the Contoso Phase 2 deal and add a note that she wants a fixed-fee option.

* **Research runs** show a **Reviewing Zoho CRM** step, with a chip for each account, deal and activity it read.

* **Agents** can read Zoho CRM on a schedule, for example a Monday brief on deals closing this month. Writes an agent proposes appear in [agent approvals](https://hebno.com/docs/automate/agent-approvals.md) for review.

## Troubleshooting

| Symptom | Fix |
| - | - |
| Zoho shows **OAUTH\_SCOPE\_MISMATCH** | The connection was made before a scope was added. Select **Disconnect**, then **Connect** again and accept the full list. |
| A module returns **NO\_PERMISSION** | Your Zoho CRM profile has no access to that module. Ask a Zoho CRM administrator to grant it under **Profiles**. |
| Hebno cannot find a record you can open in Zoho | Check that you connected the right Zoho CRM organisation. Disconnect and reconnect, choosing the correct one. |
| A write fails with **INVALID\_DATA** | A field on the card does not match Zoho, often a stage or picklist value. Fix the field the message names and select **Confirm** again. |
| **Reconnect Zoho CRM** appears | The refresh token was revoked, for example from **Connected Apps** in Zoho. Select **Connect** to authorise again. |
| Requests fail with **TOO\_MANY\_REQUESTS** | Zoho limits API calls per organisation in each rolling 24 hours and per minute. Wait and retry, or ask a Zoho administrator to check usage under **Setup → Developer Hub → APIs and SDKs**. |
