How Clarasys writes proposals in a third of the time

Clarasys · clarasys.com

Clarasys is an employee-owned management and transformation consultancy of 150 to 200 people, based in London with a US office in Boston. It calls itself The Experience Consultancy. Its teams run transformation, billing and revenue management, and customer experience programmes for clients from start-ups to government bodies.

Most new work comes in through proposals and tenders, and the firm now drafts them in Hebno from its own archive of client work.

“Our consultants spent a lot of evenings on bids. Now we have a first draft in a day, with the right case studies and CVs in it, and we’re winning more of them.”

Matt Cheung

CEO, Clarasys

The challenge

Each proposal started from whichever old proposal someone could find. Case studies, from finance transformation at a law firm to customer self-service at Thomson Reuters, sat in old decks, so teams used the ones they remembered. CVs were rewritten by hand for every bid.

Bid work fell on the senior consultants who also lead client delivery. Some tenders were declined or rushed because the team did not have capacity, and the win rate had stayed flat.

Why Hebno

Hebno searches the firm’s whole archive of client work, so a bid can cite any past engagement. It drafts in Clarasys’s own structure, tone and templates, and a first draft already reads like a Clarasys proposal.

Teams in London and Boston search the same archive. The bid team was working in Hebno within its first week.

How the team uses Hebno

The team uses Hebno to analyse RFPs, select case studies, tailor CVs, draft proposals and build pitch decks. Consultants also use it for client deliverables on live programmes.

The result

Proposals now take about a third of the time they used to. The firm submits up to 20% more bids with the same team, and each person saves around 8 hours a week.
