This creative agency in Copenhagen has 45 people. Like most agencies its size, its work lived in many places: briefs and decks in Google Drive, conversations in Slack, tasks in Asana, client records in HubSpot, and budgets and time in Workbook.

The challenge
Finding an old brief, budget or decision meant searching several tools and asking colleagues. Project plans, budgets and resource plans were built by hand and then keyed into Workbook. Estimates often started from memory, not from what similar jobs had cost, so the same overruns came back and ended up as write-offs.
There was also no approved AI tool. Some staff used public tools with client material, and clients had started to ask how their data was handled.
Why Hebno
The partners wanted something that worked on top of the tools the agency already used. Hebno connects to those tools and respects the access rights already in place, so people see only what they could see before.
Answers come from the agency’s own past work, with links back to the source. Data is encrypted and hosted in the EU, which gave the partners a clear answer when clients asked.

The agency uses Hebno to search past work, draft project plans and budgets for Workbook, plan resources, and review margin and overruns across jobs. Partners also use it to prepare their reporting.
The result
Each person saves around 6 to 7 hours a week. Budgets and resource plans are up to 75% faster to produce, and estimate overruns have roughly halved within six months.
