Project brain
A project is one client engagement. Its Brain tab contains everything Hebno should know about that client and engagement:- Instructions & context: background, tone and constraints included on every turn in the project. Write who the client is, what is in scope, who reads the work and what to avoid.
- Files: uploads, and anything saved from chat or research. Organise them in folders.
- Connected sources: SharePoint sites and OneDrive, Google Drive, Dropbox and Box folders linked to the project.
- Linked records: the project’s counterparts in other systems, such as a CRM deal, an ERP job or a Jira project.
- Templates: the Word and PowerPoint look used for this project’s deliverables.
Library
The library is firm-wide. It contains the material every project can draw on: methodologies, credentials, standard terms, reference decks and templates. It has two tabs, Files and Templates, and its own Library instructions that say how the material should be used. Everyone in the organisation can read the library. Who can add to it is an admin setting under Admin → Organisation brain → Library contributions: Admins only (the default) or Everyone. See Workspace library.
Put client-specific facts in the project and reusable firm knowledge in the library. A pricing methodology belongs in the library. The Contoso pricing assumptions belong in the Contoso project.
Linked sources
A linked source connects a folder or site to a project or to the library: a SharePoint site, or a OneDrive, Google Drive, Dropbox or Box folder. Select Browse or Paste link, then Link. The files are stored in the knowledge index with their source permissions, and Hebno checks each member’s own access when it reads, so a person never sees a file through Hebno that they could not open in the source. Select Open in source to see the original, or Remove to unlink. Linked sources on the library are visible to everyone in the organisation, and each person still opens files with their own access. Linked folders are also destinations: Save to folder writes a deliverable to a linked SharePoint, OneDrive, Google Drive, Dropbox or Box folder after you confirm.Linked records
Linked records connect the project to its counterpart in systems of record. Select Link record, choose the system, search and pick the record. You can link a CRM account or deal, an ERP job, a finance customer, a Jira project, an Asana project, a monday.com board, a Slack channel, a Confluence space or a Notion page. In every chat tagged to the project, Hebno starts with linked records when a request concerns that system (“what is our budget burn”, “latest from the client”), and confirmation cards default to the linked record. See Linked records.Templates
Templates set the look of new Word documents and PowerPoint decks. Hebno uses the project default if there is one, then the library default, then the built-in look. Templates are in Library → Templates and in a project’s Brain → Templates. See Templates. What context a chat gets
Attach a chat to a project later with Attach to a project. If a follow-up appears to concern a different client, Hebno suggests a new chat so each client’s material remains separate.
Organisation context, library instructions, project instructions and your own custom instructions all apply together. Keep them consistent, and put each rule at the narrowest level where it is true.
