The Brain tab contains everything Hebno uses for a project: standing instructions, uploaded files, templates, linked folders and linked records. Every chat tagged to the project starts from it.

Instructions and context

Instructions & context contains the background, tone and constraints included on every turn in the project. Write the client’s industry, the engagement facts, the methodology, the terms to avoid and the style of deliverable.
Project admins edit this text. Members read it. The same text appears under Brain in the chat header. Instructions apply in addition to your personal instructions and the workspace’s library instructions. See Memory and instructions.

Files

Brain → Files contains Files (“Uploads and anything saved here from chat or research”). Upload briefs, past decks and Excel models, drag them between folders, and work in grid or list view.
  • New folder creates a folder. Give it a colour from its row menu.
  • Move to files a document in another folder.
  • Accepted formats include PDF, DOCX, XLSX, PPTX, CSV, TXT and Markdown, up to 25 MB each.
  • Open in Hebno from a file’s menu opens it in the chat’s files pane.
Hebno indexes long files and reads the relevant pages when you ask. Files saved from a chat appear here, and saving again replaces the same file. See Files in a chat.

Templates

Brain → Templates contains the look of the project’s decks and Word documents. Project admins upload a client’s .docx, .dotx, .pptx or .potx file, or build a presentation template in Hebno. The template marked Default applies to the project. Without one, the library default applies, then Hebno’s built-in look. See Templates.

Linked sources

A linked source connects a folder or site that already exists in another system. Its documents are stored in the knowledge index, and each person’s own access is checked when Hebno reads them.
1

Choose Link source

On Brain → Files, select Link source under Connected sources.
2

Pick the system

Choose SharePoint, OneDrive, Google Drive, Dropbox or Box.
3

Browse or paste a link

Select Browse to pick a site or folder, or Paste link to paste its address, then select Link.
In a tagged chat, Hebno looks at the top two folder levels of every linked source before it answers. You can refer to “the PR folder” or “the existing files” and it starts there. Search matches file names and contents, including subfolders. Use Open in source to jump to the folder, and Remove to unlink it. Linking does not change who can open files. A person who cannot open a document in SharePoint cannot open it through Hebno. Saving a deliverable to a linked SharePoint, OneDrive, Google Drive, Dropbox or Box folder prompts you to confirm the folder, filename and format first. See Save and export.

Linked records

Linked records connect the project to its counterpart in other systems, such as a CRM deal, an ERP job or a Slack channel. The Brain tab lists each linked record with its system, name and a link to open it. Hebno starts from linked records when a request concerns that system, such as “what’s our budget burn”. See Linked records for how to link and use them.

Brain in a chat

In a chat tagged to a project, the header shows Chat and Brain. Brain opens the same instructions, files, linked sources and linked records. Project admins can edit them in place. Members can read them and attach a file to the current message. Agents on the project share the Brain tab’s linked sources, so linking a folder there links it for the agent’s runs too. See Agents.
