The onboarding wizard
The wizard runs the first time you sign in without a membership. A progress bar shows each step. Until you finish it, you are returned to the wizard.1
Invitations
If you have pending invitations, choose Join project name to accept one, or Create a new workspace to start your own. If you have none, the wizard goes straight to your profile.
2
Profile
Enter Your name. Hebno prefills it from your email address. It appears on chats, comments and anything you share.
3
Workspace
Enter your Company name and Country. Your company name appears in the sidebar, in invitations and on built-in Word documents. Check the contact email prefilled from your sign-in address.
4
Data residency
Choose where your organisation’s data is hosted: EU or US. The choice applies to the whole workspace and cannot be changed afterwards, so confirm it with whoever owns your client contracts before you continue. See Data residency.
5
Team
Enter a First team name. The default is General. Teams set which models and spend limits apply to their members, so name it after how you plan to manage people, for example a practice or a delivery group. Select Create workspace. This is the point where your organisation is created, with you as owner and member of the first team.
6
Currency
Choose the display currency for limits and usage reports: USD, GBP, EUR, DKK, SEK, NOK, CHF, CAD or AUD. Hebno preselects one from your browser locale. Change it later under Admin → Settings.
7
Invite
Enter teammate emails separated by commas or spaces. They join as members of your first team. Select Send invites, or Skip for now and invite people later from Admin → Members. Select Continue to app to finish.
Recommended setup checklist
Work through these in the order below. Each step needs a few minutes, and you can return to any of them later from Admin.1
Create your teams
Go to Admin → Teams and select Create team. Add one team per group you want to manage separately: a practice, an account team, a function. Each member needs at least one team, and teams drive model access and spend attribution. See Teams.
2
Choose models
Go to Admin → Models. On the Organisation tab, enable the models your firm may use. On the Teams tab, give a team Custom restrictions when it needs a narrower set. A team can only use models the organisation has enabled. See Models.
3
Set spend limits
Go to Admin → Limits and select Set budget limit. Start with an organisation limit, then add team or member limits inside it. Use Soft enforcement to alert without blocking while you learn your usage, and Hard to block requests at the cap. See Limits.
4
Allow and connect integrations
Go to Admin → Connectors → Catalogue. Allow the systems you use, set each one’s Access to Read only or Read and write, and connect organisation systems such as your ERP or finance tool. If you use Microsoft 365, enable the integrations for the organisation so members skip the consent screen. See Connectors.
5
Seed the library
Open Library, write the Library instructions (how firm material should be used), then add the files and linked sources every project should be able to draw on: methodologies, credentials, standard terms. Decide under Admin → Organisation brain whether Admins only or Everyone may add to the library. See Workspace library.
6
Add templates
In Library → Templates, upload your Word and PowerPoint templates or build a presentation template in Hebno, then choose Make default. New documents and decks use the default. See Templates.
7
Write the organisation context
Under Admin → Organisation brain, describe your firm in a few paragraphs: what you do, how you write, what to avoid. Hebno includes this in every member’s chats. Review Chat memory and Blocked sources while you are there. See Organisation brain.
8
Invite the rest of the firm
Go to Admin → Members → Add member to send invitations, or add your company’s email domain under Domain access so colleagues join on their own. See Members.
