At a glance
Before you start
You need:- An owner or admin role in Hebno.
- Your DATEV consultant number (Beraternummer) and client number (Mandantennummer) for each client you want to connect. If a tax adviser does your bookkeeping, they can give you both numbers.
- A DATEV sign-in with DATEV SmartLogin, a DATEV SmartCard or mIDentity.
- The client set up for DATEV Unternehmen online, with Belege online for document uploads.
- Rights for your DATEV user on each client, assigned in DATEV Rechteverwaltung online by the DATEV administrator in your company or at your tax adviser. Grant read access to accounting data, and the right to upload documents if you want members to pass invoices to bookkeeping.
Permissions
DATEV shows the requested scopes when you sign in. Hebno requests:
Hebno also requests the DATEV read scopes for accounts, open items and evaluations. The DATEV consent screen lists every scope before you approve it.
Connect DATEV
1
Allow the integration
Open Admin → Connectors → Catalogue, find DATEV under Finance, and set it to Allow.
2
Connect the organisation
Select Connect and sign in with DATEV using SmartLogin, SmartCard or mIDentity. Approve the scopes, then choose each client Hebno may use. Hebno lists the clients by consultant number, client number and name.
3
Choose teams and data areas
Under Who can use it, choose All teams or pick teams for each client. Under Data areas, choose what members can see. See Data areas.
4
Set access
Access is Read only by default. Choose Read and write to let members propose document uploads.
Link your own account
Members can link their own DATEV sign-in so uploads are made in their name under their own DATEV rights.- In Hebno, open Settings → Connections, find DATEV and select Link your account.
- Sign in with DATEV and approve the request.
Data areas
Data areas control what members of the allowed teams can see through the organisation connection. They apply on top of the connecting user’s DATEV rights.
An organisation connection with team access and data areas. Financial figures default to owners and admins.
When a member has linked their own account, Hebno uses that member’s DATEV rights instead of the organisation connection. Data areas still apply, so a member never sees more through Hebno than both DATEV and your Hebno settings allow.
What Hebno reads
Reads are live. Hebno queries DATEV when a request needs it, so figures match the last evaluation your accounting team or tax adviser prepared. Only what a reply used is stored with the conversation as its sources.
What Hebno writes
Every write appears first as a confirmation card. You can change any field before you select Confirm. Hebno uploads documents only.
A DATEV change pending confirmation. Nothing is written until you confirm.
Link a project to DATEV
Linking marks which DATEV records belong to a project, so you can ask “what does Contoso still owe?” without naming the debtor account.- Open the project and select Brain.
- Under Linked records, select Link record, then DATEV.
- Choose the client, then search and select the debtor account for each client company the engagement bills.
Use DATEV in chat
-
Attach: open the + menu, choose Sources → DATEV, and pick an account, an open items list, a BWA or a document. Or type
/and choose DATEV. -
Ask: name the client, account or month in your request. For example:
Which Contoso Retail invoices are still open in DATEV, and how overdue are they?
Compare the September and October BWA for revenue and personnel costs.
Upload the attached subcontractor invoice to DATEV as Rechnungseingang.
- Research runs show a Checking DATEV step, with a chip for each account, report or document it read.
- Agents can read DATEV on a schedule, for example a monthly summary when a new BWA is available. Uploads an agent proposes appear in agent approvals for review.
