At a glance
Before you start
You need:- An owner or admin role in Hebno.
- A Productive user for the integration whose role can view the projects, budgets, deals and people Hebno should read. Productive applies that user’s permissions to every API call.
- An API token for that user and your organisation ID.
Connect Productive
1
Allow the integration
Open Admin → Connectors → Catalogue, find Productive under PSA, time and resourcing, and set it to Allow.
2
Connect the organisation
Select Connect, enter the API token and organisation ID, then select Test connection. Hebno checks that it can connect to Productive and lists the areas the token can read and write.
3
Choose teams and data areas
Under Who can use it, choose All teams or pick teams. Under Data areas, choose what members can see. See Data areas.
4
Set access
Leave Access on Read and write to let members propose time entries, tasks, bookings and comments, or choose Read only.
Link your own account
Members can link their own Productive token so writes are made in their name under their own Productive permissions.- In Productive, open Settings → API integrations, select Generate new token and choose Full access.
- In Hebno, open Settings → Connections, find Productive and select Link your account.
- Paste the token and select Link.
Data areas
Data areas control what members of the allowed teams can see through the organisation connection. They apply on top of whatever the token can read in Productive.
An organisation connection with team access and data areas. Financial figures default to owners and admins.
When a member has linked their own token, Hebno uses that member’s Productive permissions instead of the organisation connection. Data areas still apply, so a member never sees more through Hebno than both Productive and your Hebno settings allow.
What Hebno reads
Profit and margin come from Productive’s own budget calculations at the time of the request, so figures match what finance sees in Productive. Reads are live. Hebno queries Productive when a request needs it. Only what a reply used is stored with the conversation as its sources.
What Hebno writes
Every write appears first as a confirmation card. You can change any field before you select Confirm.
A Productive change pending confirmation. Nothing is written until you confirm.
Link a project to a Productive project
Linking marks which Productive project and budgets belong to a Hebno project, so you can ask “how much budget is left?” without naming them.- Open the project and select Brain.
- Under Linked records, select Link record, then Productive.
- Search by project name, number or client, and select the project. Add budgets or a deal if the engagement uses more than one.
Use Productive in chat
-
Attach: open the + menu, choose Sources → Productive, and pick a project, a budget, a deal, a task or your time entries. Or type
