The Visma e-conomic integration makes your bookkeeping and project time available in client work. Ask what a customer owes and how late it is, how many hours were registered on a project, or what an account balance was at the end of the month, and Hebno answers from e-conomic with each record cited. When a request implies a change, such as preparing an invoice or registering time, Hebno shows a confirmation card and writes to e-conomic only after you confirm.

At a glance

Before you start

You need:
  • An owner or admin role in Hebno.
  • An e-conomic user with administrator rights on each agreement you want to connect. Only an administrator can install an app on an agreement.
  • The Project add-on active on the agreement if you want projects and time entries.

Permissions

e-conomic grants each installed app a role on the agreement. The role controls which REST API endpoints Hebno can call, and you choose it when you approve the installation.
Choose the role that matches what you want Hebno to access. A request outside the role returns a permission error rather than partial data.

Connect Visma e-conomic

1

Allow the integration

Open Admin → Connectors → Catalogue, find Visma e-conomic under Finance, and set it to Allow.
2

Connect the organisation

Select Connect and sign in to e-conomic as an administrator. Review the role the app requests and select Add app. Repeat for each agreement. Hebno lists the agreements it can access by agreement number and company name.
3

Choose teams and data areas

Under Who can use it, choose All teams or pick teams for each agreement. Under Data areas, choose what members can see. See Data areas.
4

Set access

Access is Read only by default. Choose Read and write to let members propose draft invoices and time entries.
The card shows Connected with each agreement. In e-conomic, Hebno appears under Settings → All settings → Extensions → Apps, where an administrator can also remove it. Members can link their own e-conomic user so time entries are registered against their own employee.
  1. In Hebno, open Settings → Connections, find Visma e-conomic and select Link your account.
  2. Sign in to e-conomic and select your employee on the agreement.
When your account is linked, time entries are registered against your e-conomic employee, and you see only the projects your e-conomic access allows.

Data areas

Data areas control what members of the allowed teams can see through the organisation connection. They apply on top of the role granted to the app in e-conomic.
Admin connector panel showing who can use it, access and data areas

An organisation connection with team access and data areas. Financial figures default to owners and admins.

To share financials with delivery leads, open the Visma e-conomic card in Admin → Connectors, select Financials and add the teams that should see them.
When a member has linked their own account, Hebno uses that member’s e-conomic access for projects and time. Data areas still apply, so a member never sees more through Hebno than both e-conomic and your Hebno settings allow.

What Hebno reads

Reads are live. Hebno queries e-conomic when a request needs it, so figures match what the finance team sees. Only what a reply used is stored with the conversation as its sources.
Excerpts a reply uses, including balances and overdue amounts, become part of the conversation. Anyone you share the conversation with can read them.

What Hebno writes

Every write appears first as a confirmation card. You can change any field before you select Confirm. Hebno writes drafts only.

A draft invoice is listed under Sales → Invoicing in e-conomic until a person reviews and books it there. Hebno never books or sends an invoice, registers a payment, enters vouchers in a daybook, approves time or changes customers, accounts or settings. Writes are made through the organisation connection, with the write recorded against you in Admin → Logs → Integrations. If you have linked your own account, time entries are registered against your employee. Linking marks which e-conomic records belong to a project, so you can ask “what has Contoso been invoiced?” without naming the customer number.
  1. Open the project and select Brain.
  2. Under Linked records, select Link record, then Visma e-conomic.
  3. Choose the agreement, then search and select the customer and each project the engagement uses.
In chats tagged to the project, Hebno starts with the linked records for any billing, hours or receivables question, and cards default to them. See Linked records.
