The Calendly integration lets you see who has booked time and hand clients a way to book the next session. Ask which Contoso stakeholders have booked interviews, what they answered on the booking form, or who cancelled this week, and Hebno answers from Calendly with each event cited. When you need a client to pick a time, Hebno prepares a single-use scheduling link on a card and creates it in Calendly only after you confirm.

At a glance

Before you start

You need:
  • A Calendly account with the event types you want to use. For team or collective event types, you must be a host.
  • An allowed integration. An owner or admin sets Calendly to Allow under Admin → Connectors → Catalogue.
Hebno connects through Calendly OAuth and uses these Calendly API v2 endpoints: Calendly applies your own role. If you are an organisation member, Hebno reads only events where you are a host.

Connect Calendly

1

Start the connection

Open Settings → Connections, find Calendly under Meetings and calls and select Connect. You can also select Connect from the prompt in a chat.
2

Sign in to Calendly

Sign in with your Calendly account and select Allow.
3

Return to Hebno

The card shows Connected with your Calendly email address.
Hebno reads and writes with your own Calendly permissions. Tokens are encrypted at rest. Select Disconnect at any time, or ask an admin to revoke the connection under Admin → Connectors → Connections.

What Hebno reads

Reads are live. Hebno queries Calendly when a request needs it, and only what a reply used is stored with the conversation as its sources.
Invitee details a reply uses become part of the conversation, including email addresses and answers to booking questions. Anyone you share the conversation with can read them.

What Hebno writes

Every write appears first as a confirmation card. You can change any field before you select Confirm.
Confirmation card for Calendly with editable fields

A Calendly change pending confirmation. Nothing is written until you confirm.

After you confirm, the card shows the booking URL. Select Copy link to paste it anywhere, or Add to email to place it in an email draft in Gmail or Outlook, which you send yourself. The link allows one booking and expires once it is used. Hebno never books, reschedules or cancels an event, never changes event types or availability, and never emails invitees from Calendly. Linking marks which Calendly event types belong to an engagement, so you can ask “who has booked?” without naming the event type.
  1. Open the project and select Brain.
  2. Under Linked records, select Link record, then Calendly.
  3. Search by event type name and select it, for example Contoso stakeholder interview. Repeat for each event type in the engagement.
In chats tagged to the project, Hebno starts with events of the linked types for any booking question, and scheduling link cards default to them. See Linked records.

Use Calendly in chat

  • Attach: open the + menu, choose Sources → Calendly, and pick an event type, a scheduled event or its invitees. Or type / and choose Calendly.
  • Ask: name the client, invitee, event type or date. For example:
Which Contoso stakeholders have booked interviews, and who is still missing from the list of twelve?
Summarise what invitees said in the booking questions for next week’s Contoso interviews.
Create a single-use link for Sarah Chen to book a 30 minute readout prep call and add it to an email.
  • Research runs show a Checking Calendly step, with a chip for each event type and event it read.
  • Agents can read Calendly on a schedule, for example a morning list of the day’s client bookings and their answers. Links an agent proposes appear in agent approvals for review.
